1. HOW TO BROWSE AND DOWNLOAD


PHOTOS?
- Multimedia Library – quick guide to search, access & download

ACCESS
a. Internet Site https://www.who.int/westernpacific/ news/multimedia/p
i. Home page -> News tab ->
Multimedia -> Photos

• For external - Access is free for all public
images.
• For WHO Staff - Log in using WHO User ID
and password to access restricted images.

d. For consultants, volunteers and interns: To access more features, regis

ii. Fill in the form and note that USER
ID and EMAIL ADRESS should be the
same

SEARCH
a. Browse more photos on health topics, events, countries and areas and go
on GALLERIES.

b. Search by browsing
i. Sample browsing search -> Click
‘Countries and areas’ category

ii. It will display all the galleries under
‘Countries and areas.’ If you hover
your mouse at the ‘i’ icon of each
gallery it will show a text to give a
short description of the gallery.

iii. It will display all the photos catalogue


in that gallery.

c. Search by simple search
i. To search a specific subject, use the
search box.

ii. Type in your ‘search term’ then enter. It


will show all photos related

d. Search by advance search

i. Use the advanced search, to look within
the description, consent, photo
orientation, file type, date range,
contributor and country.

ii. The search term will find the data


associated to the photo. Sample of a
photo with search term ‘immunization’.

SHARING PHOTOS
a. Single photo can be shared with
external users and colleagues by
clicking on the Share by
email button and typing their email
address as the recipient. This
function is available for external as
well.

b. When logged in, WHO staff
can create a lightbox (like an
album) where selected images can
be stored separately by clicking
the add to lightbox icon.

c. The add to lightbox function is also


available in screen preview.

d. The lightbox can be shared with
WHO staff and external users by
clicking on the envelope button.
Then type in the email address of
the recipient.

DOWNLOADING PHOTOS
a. Photos can be downloaded in low
resolution by simply right clicking
and selecting Download Preview
(for internal and external users)

b. To request for high resolution
photos, click on the Share by
email button. Type the recipient's
email wpromedialib@who.int and
kindly indicate where the photo is
going to be used in the additional
message box.

c. To request download of multiple photos


saved in your lightbox, click the envelope
and type wpromedialib@who.int in the
Recipient’s Email. In the additional message
box, please indicate the reason for
downloading the photos.

2. CONTRIBUTING PHOTOS TO WPRO


MULTIMEDIA LIBRARY

I. REVIEW AND SELECTION OF PHOTOS


A. Quality
i. Images should be of high resolution (at least 300 dpi at A4 size)
- Low quality photos are accepted if they are documenting
unique scenarios (e.g. emergency)
ii. Requested file formats are .tiff and .jpg (.gif and .png formats
are not accepted).
iii. No blurred, duplicate, private and personal photos
iv. If you have multiple photo shots of one angle, submit only one
photo which you think is the best in terms of its quality (Avoid
photos that show one similar scene but taken in different
angles)
v. No branding of commercial and private companies. In case it
cannot be omitted remedies like blurring, cropping or any
photo manipulation will have to be applied.
B. Relevance: photos should illustrate the content of the
accompanying text
C. Message: photos should support and clearly reflect WHO’s
programmes

D. Source: all photos should be owned by and copyrighted to WHO
i. WHO staff photos
ii. photographers commissioned (APW or consultant) by WHO
iii. where material is prepared jointly by an external body at its
own expense and WHO, joint copyright of the material as a
whole may be agreed upon only when the technical
contribution of the partner agency has matched that of WHO
and when the partner agency’s marketing and dissemination
activities will complement and coordinate with those of WHO.
Other factors that should be taken into consideration are:
a. the extent of technical input from the partner;
b. the nature of the partner (WHO should not hold joint
copyright with a commercial entity);
c. the partner’s ability to market and disseminate the
material; and
d. the need for clear prior agreement on how copyright
should be administered
iv. If you have multiple photo shots of one angle, submit only one
photo which you think is the best in terms of its quality (Avoid
photos that show one similar scene but taken in different
angles)

II. CONSENT AND PERMISSION REQUIREMENTS IN

- Signed consent forms need to be obtained from individuals
pictured or their legal guardians

III. UPLOADING PHOTOS TO WPRO MULTIMEDIA


LIBRARY
- Metadata must be provided for each image, so that WHO can
ensure that the photographs are used in the correct context.

b. Upload the selected photos by:
Going to “My Account” – “Manage
Archive”

c. Create a folder by going to “Folder


Editor” then click “New Folder.”
*Suggestion is for you to create a
folder each day of the project. This
will guide you and the admin on the
chronological arrangement of the
photos.

d. Click the BLUE round button, it
will open a new window then select
the photos you wish to upload

“My files” or created folder. From
there you can edit the captions of
the photos. By clicking the
“Metadata editor” icon

IV. PUBLISHING PHOTOS IN WPRO MULTIMEDIA

Once the photos are completed with caption and metadata, kindly
