PD Project Definition – VBSL/01
This document describes the proposed (To-Be) Project Initiation process of MSRDC. The process
flow described in this document is based on ‘AS-IS’ documents. The detailed workflow of the To-
Be process is mentioned in ‘Process Flow’ Section of this document.
The content of this document forms the basis for system configuration and testing phase.
For VBSL project, MSRDC will create project structure in SAP system, on the basis of Schedule–
H payment process. Thus entire Project and WBS creation function is statndardised and made in
line with best business practices that are followed across the globe, for Project System.
Firstly, you create the Project Definition. Then, each WBS is created independently and given a
Level Number, which determines where in the hierarchy it is placed. Each WBS carries lots of
information, such as Organization, Dates, Special Settings, Project Type, who is responsible etc.
All of this is discussed in detail later.
Below project structure is suggested for VBSL project considering Schedule – H for EPC work.
There are other projects to be created for other than EPC work like Authority Engineer Work,
System Integrator Work etc.

When a project is created manually, it initially has a status of CRTD (Created). This means
it cannot have any real costs and revenues posted against it.
For creation of VBSL project for EPC, AE and SI, project nomenclature must be defined in the
system. All project/s created for VBSL must follow this defined structure at each hierarchy level.
As per schedule – H and convenience of the user, project can be created up to 4th (Fourth) level
WBS. Coding mask must be followed, as all reports will be generated on the base of project
coding. For understanding purpose, project coding mask is provided below. Project coding
mask can be created using maximum 24 characters, which includes special characters &
numbers.
Different Masks can be used with one or many Project Profiles. Each project that you create
(Template and Operative) has Coding Masks Associated with it. Configuration of the mask falls
into 2 areas:
Special Characters to define formatting rules
Coding Mask to define the visual representation (the Mask)
This will determine such things as the length of your prefix for project numbering and what
special characters are permitted within the Coding Mask.
Notes
Ensure to get your Coding Mask right from the beginning. Once you have created
Operative projects, you cannot change the mask.

1st Level WBS Element
For VBSL project, MSRDC will transfer WBS code up to L – 4 Levels to BIM System from SAP
System, for mapping the Functional location details in SAP System from BIM System on project
design approval.
