Purpose
Hyatt wishes to use Ecolab for their purchase as a supplier in BSS. Ecolab supports EDI
transmission for receiving orders and the fulfilling them. For this Ecolab needs to be
added to Hyatt Marketplace as an adopted catalog supplier where Ecolab will be
responsible to maintain their catalog on BSS in BSS defined process (Updating of
Catalog is outside of the scope of this document).
Assumptions
Ecolab will maintain their catalog in BSS format and functionality.
Ecolab will provide the FTP site to BSS for receiving Order Files and sending the
confirmation back. BSS can provide the FTP site for an additional charge of $50.00
per month ($ 600.00 per year).
Functionlaity Agreement
The following changes will be made to the Birch Street application to support this
Ordering Mechanism:
1. BSS has to create a new functionality through which once the Order is created in
BSS, the data will be converted to EDI 850 format, and will be placed on Ecolab
provided FTP site. The order status in BSS will be set to ‘Transmitted to Suplier’.
2. Each order will be in sent as One EDI 850 file, as soon as the Buyer submits the
order in BSS.
3. In return Ecolab will place a receipt for each order file as EDI 997 on the same FTP
site in a differet Folder.
4. Birch Street will develop a processed, that will be excuted through an hourly
scheduler. This process will download the 997 file , process it and based on the order
identifier received in the 997, will set the PO status to “Accpted by Supplier”, for
which 997 is received.
5. There will be no further communication received or sent after the PO status is set to
“Accepted by Supplier”.
6. If the FTP site is not available while placing the EDI Order on Ecolab FTP site or while
downloading the EDI 977s, Ecolab will be notified via automated email about the
non-availability of the FTP site.
7. This EDI 997 from this supplier will be considered as order acceptance and nothing
else be communicated in this document.
8. Any discrepancies in the orders be resolved between Buyer and Supplier, outside of
this process and process of EDI 997.
9. User will NOT be able to submit the order again as the Order EDI 850 will be sent via
email as attachment to Ecolab and the PO status will be changed to ‘Transmitted to
Supplier’.
10. If the orders Confirmations EDI 997s are not downloaded and processed, the user -
if calls BSS support will be directed to the ECOLAB Support for inquiring about the
order that has not received.
Development Estimate:
The Testing Estimates can increase based on the availability of Ecolab and responding to
BSS Test data.
General Assumptions:
The fees listed in this proposal are based on the following assumptions:
Scope:
Additional functionality will be provided at an additional fee.
Services and options not specifically listed are provided at an additional charge.
Optional Services not otherwise listed are typically provided on a time-and-materials
basis at $150 per hour.
Work associated with hourly billing will not be commenced without prior written consent
from the customer.
Interfaces:
The timing and overall feasibility of third-party interfaces (including PunchOuts) are
dependent on the third-party’s ability and willingness to devote the resources and
attention required to complete their part of the interface. Birch Street has completed
numerous third-party interfaces successfully and maintains good working relationships
with many industry suppliers. Birch Street will make a good faith effort to work with any
third-party the customer asked us to, but ultimately Birch Street cannot be responsible
for the failure of third-parties to complete their part of such interfaces in a timely
manner.
The terms and conditions of the Professional Services Agreement apply in full to the
services and products provided under this Statement of Work.
