1. OBJECTIVE

 To confirm the Company’s compliance to the stipulations made in the Company’s


Policy and ensures Continual Improvement.
 To review the effectiveness of the Company’s IMS.

2. SCOPE

 The procedure covers all documentation, responsibilities and tasks necessary to review on
a regular basis.
 All aspects of Integrated Management System and determine any necessary amendments
to maintain or improve the effectiveness of the Company’s operations and its delivered
products and services.

3. DEFINITIONS

 Company: SAHARA ENGINEERING & STEEL CONSTRUCTION LLC, DUBAI


 GM: General Manager
 PM: Project Manager
 IMS: Integrated Management System.
 MRM: Management Review Meeting.

4. RESPONSIBILITY

 The GM is responsible for chairing the MRM.


 The PM is responsible for making the necessary arrangements to hold the MRM, as well
as maintaining records of the minutes of meeting and notes. Moreover, should the review
meeting take place on-site, the PM is responsible to organize said meeting and send the
meeting minutes to the GM.
 All Company Executives and senior staffs are responsible for attending MRM and
reporting any areas of improvement required to the Company IMS.

5. PROCEDURE

 A meeting is held to review the effectiveness of the IMS system on a semiannually or


whenever a significant change that may arise. In addition, the meeting date and topics to
be discussed should be set in co-ordination with the GM and involved staff members.

 The PM will circulate an internal memo to all prospective attendees informing them
about any change in the meeting time (held earlier or postponed).
 During the meeting the Agenda items, are discussed with the Executive and Senior
Management staffs.
 A minimum of three persons should attend the Management Review. The GM and PM
shall always attend the MRM.
 Agenda for Management Review Meeting

 The agenda for the Management Review includes, but not limited to, the following:
• Review the minutes of previous MRM.
• Outstanding action items
• Customer complaints, feedback and satisfaction survey
• IMS Policy and Objectives
• Internal and external audits findings.
• Progress and effectiveness in the implementation of the Company’s IMS Objectives.
• Corrective and preventive actions (assessed for effectiveness).
• Organizational issues.
• Training needs and training plans status.
• Changes to the IMS system (changes to procedures, organization structure, resources, etc.).
• Recommendation for Improvement
• Review the performance and effectiveness of the Processes, HSE and Services / Product
Quality.
• Project’s quality and safety related issues as well as OH&S related Management Program
• Legislative / Regulatory Compliance / Non-Compliance if any and actions arising out of that
• Improvement opportunities and recommendations and the allocation of the appropriate
resources for these needed improvements actions.
• Environmental Management System changes.
• Suppliers’ performance review.
• Other subjects as appropriate to the meeting.

• Communication from external interested parties, including complaints.

 Attendees of meeting discuss all presented conclusions, determine proposed corrective


actions and agree on an action plan to implement results of the MRM.
 Should the need arise to remedy a situation before the next review meeting takes place,
the concerned attendees agree on a realistic target date by when such action will be
accomplished and by whom.
 Management Staff are involved in implementing the action plan and monitoring the
implementation process for the upcoming MRM. The same is executed to assess the
effectiveness of these changes for additional future modifications.
 PM will ensure to circulate the minutes of meeting to all concerned to ensure proper
follow up of the decision been taken, any pending topic shall be discussed to the next
MRM.
