DESCRIPTION OF MAJOR DEPARMENTS


PRODUCTION AND SERVICE DEPARTMENT
The production department is responsible for converting raw materials and other inputs
into finished goods or services. In between the processes of production, the department works to
improve the efficiency of the production or assembly line so that it can meet the output targets
set by company management and ensure finished products or services offer consumers the best
value and quality
 Identifying Inputs- Our business determines the quantity of services that
should be done within a certain time frame and passes the information to the
production and services department. To meet quota, the department establishes
the quantity of raw materials and types of machinery and equipment required to
achieve the desired output level, and may collaborate with the purchasing
department to source the inputs. If there isn't sufficient manpower to support
productions process, the production and service department asks the firm to
hire more personnel.

 Scheduling Production- With the inputs ready, the production and service
department schedules the processes. This involves planning the tasks to be
completed along the production and services line, and allocating the tasks to
various personnel. In a landscaping business, for example, the department
determines the amount of available materials and the needed materials for a
before the operations proceed.

 Minimizing Production Cost- The production and services department is


tasked with finding effective ways to lower production costs of both the raw
materials and the service operation. One simple way to do this is to keep the
machinery and equipment well-maintained so the firm does not regularly incur
repair costs. Along with advising the business to adopt newer technologies, the
department can also assess the production line to identify opportunities for cost
reduction. For example, if cultivating our own plants requires a lot maintenance
and doesn’t really profits the company, we can consider having a plant supplier
to supply our demand in plants.

 Ensuring Service Quality- A production and services department must ensure


finished projects meet minimum quality standards. Apart from checking for
faults in project operations as they move through the process, the department
must perform rigorous tests on prototypes for new ways to ensure they meet
quality benchmarks before applying it to service operations. Techniques such as
waste elimination and process standardization also help to ensure and improve
service quality.

 Improve Existing Products and Services- From time to time, the production
and services department will furnish the research and development department
with information it can use to improve existing products and services. For
example, when the production department of a smartphone manufacturer
notices that the material it uses to make phone casings bends when subjected to
some pressure, the department must advise the research team so that it can seek
stronger materials.
MARKETING AND FINANCE DEPARTMENT
Cooperation between multiple departments in a company is essential for increased
profits. Production and services departments and marketing or sales departments have
different functions, but a similar overall objective. Both departments look to enhance sales
and profits by supplying services that customers need or want. Marketing and sales support
within the production and services department can help tie customer preferences to the
production process.
 Product and Service Definition - Customer requirements, preferences and
needs can change rapidly. Services in demand in one season may exhibit low
demand in the following season. A marketing department’s research function
sheds light on shifts in customer demand. Marketing and sales can help
translate customer demand into service specifications. These definitions can
include types of plant, grooming designs, maintenance frequency and even
remodelling of existing landscape design.

 Set Services Quota Guidelines - Reports, meetings and strategy sessions


among production and services, marketing and sales personnel can help
estimate production and operation capacity needs and services changes. The
marketing department can help guide the timing and quantity requirements of
production and services. Well-orchestrated production and services scheduling
can minimize waste and increase profits. For example, marketing departments
can alert production and services to a special promotion that will lead to an
increased demand for the service. Production and services departments can
increase production of raw materials in advance of the promotion to ensure
sufficient product and services supply.

 Quality - Sales personnel often see the constant trade-off between quality and
price. When customers are not as price sensitive, they may demand higher-
quality services. At other times, customers prefer low-cost. Marketing and sales
personnel help relay these preferences to the production and services
department. Production managers can then modify source materials, product
offers and specifications according to quality demands.

 Customer Communications - The marketing and sales department serves as an


intermediary between customers and services. Customers discuss their needs,
concerns or requests with the sales personnel of the company. In turn, sales
relay this information to the various departments in the company, including
production and services. Sales communication requirements vary based on the
type of service and the sales channel. For example, highly specialized project
often require heavy interaction between customers, sales personnel and
production for service definition and pricing.
 Problem Resolution - Recalls, quality problems or an unsatisfied customer can
cause long-term problems for a company. The marketing department must
orchestrate media campaigns, customer support and help minimize the impact
of any production problems in the company. For example, the marketing
department is responsible for managing any recall announcements, press
requests and managing public perception during a product recall.

HUMAN RESOURCE DEPARTMENT


The human resources department handles a range of different functions within an
organization. The department is responsible for hiring and firing employees, training workers,
maintaining interoffice relationships and interpreting employment laws. The department
works diligently behind the scenes to ensure an organization runs efficiently. The HR
department's duties will vary between companies, but can generally be summed up in six main
functions.
 Hiring and Recruiting - One of the primary functions of the human resources
department is to oversee hiring and recruiting within an organization. The
department actively recruits, screens, interviews and hires qualified candidates
for open positions. The department administers skills assessment and
personality tests to match candidates with the right job within the company.
The human resources department also develops employee handbooks that
explain company policies and procedures to new hires.

 Training and Development - The human resources department handles the


training and development of staff within an organization. It creates training
programs and conducts training for new hires and existing employees. The
human resources department also works in conjunction with department
managers and supervisors to determine the training needs of employees. They
are also responsible for contracts with training providers and monitoring
training budgets.

 Handling Compensation - The human resources department is responsible for


various aspects of employee compensation. The department typically handles
employee payroll and ensures employees are paid accurately and on time, with
the correct deductions made. Human resources departments also manage
compensation programs that include pensions and other fringe benefits offered
by the employer.

 Employee Benefits - The human resources department manages all aspects of


employee benefits, including health and dental insurance, long-term care or
disability programs as well as employee assistance and wellness programs. The
department keeps track of employee absences and job-protected leave, such as
family medical leave. Human resources department representatives ensure
employees receive the proper disclosures regarding benefit eligibility or if
benefits are no longer available because of a layoff or termination.

 Employee Relations - The human resources department handles employee


relations matters within an organization. Employee relations involves employee
participation in different aspects of organizational activities. The department
maintains the relationship between employees and management by promoting
communication and fairness within the company. The department also handles
disputes between employees and management, as well as disputes between the
company and labor unions or employee rights organizations.

 Legal Responsibilities - The human resources department is responsible for


interpreting and enforcing employment and labor laws such as equal
employment opportunity, fair labor standards, benefits and wages, and work
hour requirements. The department also investigates harassment and
discrimination complaints and ensures company officials remain compliant
with United States Department of Labor regulations.

Chief Executive Officer (CEO) or President -- This person will be the driving force behind the
company; he or she will make things happen, put together the resources to support the company
and take the product to the market place.

FINANCE DEPARTMENT
Marketing Manager -- Few businesses can be successful without marketing their products to
the customer. The individual in this slot must have both marketing and industry experience. If
finances permit, a marketing manager may be on staff to handle all aspects related to promoting
and selling the product. 
Chief Financial Officer – responsible for managing the financial actions of a company. Its
duties include tracking cash flow and financial planning as well as analyzing the company’s
financial strengths and weaknesses and proposing corrective actions. He acts like a treasurer and
is responsible for managing the finance and accounting divisions and for ensuring that the
company’s financial reports are accurate and completed in a timely manner.
Accountant – Provides financial information to management by researching and analyzing
accounting data; liability, and capital account entries by compiling and analyzing account
information. Documents financial transactions by entering account information.
Customer Service Representative – responsible for attracting potential customers by answering
product and services questions; suggesting information about the products and services. He also
records the feedbacks and the recommendations of the customers.
Purchasing manager - Duties of this position may be filled by either or both the general
manager/top management person and the office manager. The supervisor or lead person often
also is involved.
Sales Staff- The sales staff represent the face or voice of the business, they are the first to
interact with the customers and are expected to be the ambassador of the business. He is
responsible for finding potential customers and persuading them to purchase company’s products
or services.

PRODUCTION AND SERVICES DEPARTMENT


Operations manager - This individual is the leader for the operation and has overall
responsibility for the financial success of the business. The operations manager handles external
relations with lenders, community leaders and vendors. Frequently, this individual also is in
charge of either production or marketing for the business. This person will set in motion the
vision, strategic plan and goals for the business.
Production Workers – responsible for operating the machineries and equipment as well as
doing the maintaining the plants and doing the actual landscaping.
Engineers – responsible for the budget, client needs, functionality, government regulations and
environmental impact when designing a site. They research both natural and man-made features
that exists on proposed sites to determine how to improve them and work them into plans.
Safety officers – responsible for the safety of every worker in the company specially in the
production department.
Security Personnel – responsible for protecting the company from various hazards such as
damaged property, unsafe worker behavior and criminal activities such as theft.
Driver- to operate the van or truck used by the company to deliver equipment and materials to
the site.

HUMAN RESOURCE DEPARTMENT


Human Resource Manager- plan, direct, and coordinate the administrative functions of an
organization. They oversee the recruiting, interviewing and hiring of new staff; consult with top
executives on strategic planning; and serve as a link between an organization’s management and
its employees.
Secretary – responsible for the efficient administration of the company, particularly with regard
to ensuring compliance with statutory and regulatory requirements and for ensuring that
decisions of the senior management are implemented.
