Highlights
Q3 2018 Highlights Overview

This presentation is meant to provide an overview of the key release updates as determined by Exaserv and its
employees. This is not an exhaustive review that is specific to any one customer or implementation. The
expectation is that this will help facilitate the client review process to determine what features should be

User Experience

• Fiori user experience Upgrade in Preview in Q3, 2018


The upgrade includes Fiori user interface, People Profile and the new Home Page.
• Q3 release: the preview environment(s) of the customers that have RBP enabled
• Q4 release : the production environment(s)

• Custom Tile to support dynamic content from third-party applications


• create custom tiles that display dynamic content from a third-party directly on the new home page.
• display dynamic content directly on the face of the tile so that it is immediately visible to users.

• External user support in Home Page for Onboarding New Hire


• Next generation Onboarding feature for new hires to access the home page prior to their start date before the new
hire is an employee.
• Customers can now share company information through custom tiles to these external users so that the new hires will be
able to ramp up sooner

User Experience

• In-app help content can be delivered in SuccessFactors by SAP Enable Now


With SAP Enable Now license, by configuring the settings to use SAP Enable Now server and workarea ID, we can create
context-sensitive help and learning content for our users.
SAP Enable Now provides intuitive, engaging content embedded in the SuccessFactors application, providing step-by-step
guidance that enables people to get the most out of their HR solution experience.

• Digital Assistant: Integration of SAP Co-pilot in Action Search


HR workflows can be initiated in Digital Assistant from the Action Search to launch SAP Co-pilot. It allows an end user to
interact with SuccessFactors in a natural language chat conversation and perform common HR transactions.

• Global footer is removed in SuccessFactors


Global footer is removed in the SuccessFactors application suite for all employees and the custom footer capability will be
continued for Learning external users. The release versioning information is provided in the user menu.

User Experience

• PDF and print improvements to properly display text/photos between pages


With the improvements on Page Export in People Profile, Reporting and Talent applications will properly display
text/photos between pages on exporting to PDF and printing documents by detecting edges of the pages so that the text
and images are not cut-off between the pages.

• Add an email type in the 'navigation' tab in Home Page Custom Tile
New Home Page Custom tile URL navigation now supports mailto: link type.
The 'email' type selection has been added in the custom tile navigation.

• Ability to hide/show ToDo tiles per instance


Admin settings will provide the ability to allow admins to hide ToDo category tiles for all
users. Previously all ToDo tiles on the home page could not be hidden. Now an admin user can set show or hide for each
tile which will impact all users

Data Protection and Privacy

• Extension Center
• For Data protection and privacy relevant objects with existing data, validation has been introduced that prevents data
subject changes for a given instance of the object instance. Changing the data subject (e.g. for different time slices) can
impact Data protection and privacy compliance processes such as Change Logging, Audit Data Collection for GDPR.
• Change Management for Legally Sensitive Personal Data (LSPD) object configuration related to attachments. When
LSPD configuration is introduced to an object with existing data, any existing attachments are now updated with the owner
type and owner identifier of the data subject. This feature ensures that attachment data has the relevant data subject user
assigned and is important from the perspective of Data protection and privacy compliance.
• Rule parameter manual deletion versus data purge. Deleting rule parameters now adds additional context information
to distinguish between normal deletion of the rule parameter and data purge.

Business Rules

• Add to collection
When an assignment of multiple instances of the same type is required, it is now possible to add these instances in one
single statement or “collection” when we define a business rule.
This enhancement is available for all MDF objects. With this enhancement it is possible to assign any number of instances
instead of repeating several SET statements when defining a business rule. This is an improvement for user handling, rule
structure clarity as well as performance.

Integration Center

• Enhancements supporting metadata changes


Previously for an existing integration if there any change to the underlying metadata (e.g. addition or removal of fields
or navigation) then these metadata changes did not reflect automatically in the integration.
The impacted entity had to be deleted from the integration and added again. Now when an existing inbound integration
is edited, and the metadata has changed, Integration Center automatically refreshes the metadata and makes it visible.
This automatically adds missing fields, updates all the metadata including data types, removes fields that no longer exist
in the metadata, and at the same time keeps any mapped fields intact.

Instance Sync

• Self-service admin for source/target pairing


After enabling Instance sync on the source instance either through provisioning or Upgrade Center, sync across two systems
can now be performed automatically when the Instance Synchronize configuration wizard is launched. This eliminates the
need to open a customer support ticket to pair the source system with the target system.

• Enable through the Upgrade Center


Instance Sync can now be enabled through the Upgrade Center under the Recommended Upgrades section. This eliminates
the need to open a customer support ticket to enable Instance Sync.

• Row-level sync for background data


Instance sync now allows sync of selected rows within background data. There is an option to select all the rows displayed
for sync purpose. Instead of performing sync of all entities, this feature offers flexibility to sync only selected entities.

Instance Sync

• Data Model download capability


Through instance sync tool, we can now download data model XMLs on source and/or target instance
• Target XML could be used as backup if in case there are unintended syncs and we want to reverse sync
operation by importing data models back in the target instance
• Downloaded XMLs could also be used for identifying legacy permissions in order to migrate those to role based
permissions(RBP)

Instance sync allows sync of data models which is not reversible and data models are critical. Downloading target XML
could act as a backup in case we want to reverse the sync

Role Based Permissions (RBP)

• List of Permissions
To help customers search for specific permission by module or component, single consolidated list of all the permissions in
RBP with descriptions can be reported in this release. Currently, includes permissions for Talent and Employee Central. It
will be enhanced in subsequent releases.

Check Tool

• Role Based Permissions (RBP)


Currently RBP Checks are executed from provisioning, this feature enables self service administration. RBP is added as
Application selection option in Check Tool. RBP Checks include:
• Verify if the Everyone group exists
• Verify if roles exist without target population defined
• Verify if the number of rules associated with a role exceeds 100
• Verify if a user has been granted the same permission more than 30 times
• Verify if the target group names associated with a rule exceeds 1000 characters
• Verify if the access group names associated with a rule exceeds 1000 characters
• Verify if roles exist that are not associated with access permission groups or users

• Integration Center
A new check has been added to identify issues with Secure FTP (SFTP). This check identifies if Integration Center is
whitelisted for the SFTP Server and has read and/or write access to the SFTP folder. If an issue is identified when the
check is run, the proposed solution recommends a corrective action. This check is executed for scheduled integrations where
the source or destination is SFTP, and for Intelligent Services based integrations where the destination is SFTP.

Check Tool

• Extension Center
MDF Extension Center has been added as application selection option in the Check Tool.
Four new checks supporting extension objects include:
• Core MDF objects that are delivered by default should be marked as unsecured. If they are marked as secured then
functionality may not work as expected. This check identifies the impacted objects and recommends marking them as
unsecured.
• Custom associations should not be defined for core MDF objects. This check identifies if custom associations have been
added to these objects and recommends removing them.
• Check to validate if an MDF object has fields that are dependent on each other and one or other of those fields are
invalid. The check identifies the invalid field criteria and recommends removing them.
• Check to validate if there are missing rules associated with an MDF object. Examples might be field level or on-change
rules. This check identifies the missing rules and recommends removing them.

This Self service admin capability allowing customers to correct configuration issues before they have an impact.

Check Tool

• Upgrade Center
Upgrade Center is added as Application selection option in Check Tool. It verifies if the properties value:
• in the current (Succession) Data Model are consistent with those in the official Data Model.
• in the current (Corporate) Data Model are consistent with those in the official Data Model.

• Check results history


The Check tool has been enhanced to support capturing the history of check results. Previously the results generated,
when running checks, were not retained. When the user navigated away they would lose the results and have to run checks
again to see the latest results. Now the history of check results is retained and users can review the history of check runs in
the Check Tool user interface.

• List of all available checks


The Check Tool has been enhanced to generate a list of all available checks via the help feature in the tool. This summary
helps for any user who wants to understand the full capabilities of the Check Tool. It is not limited to the checks a user has
access to.

Data Retention Management

• Allow Upload of User List for Partial DRTM Application Data Purge
For Data protection and privacy, when we are setting up a partial DRTM purge of a specific kind of application data in
DRM tool, we can now specify multiple users by User ID (can upload a list of users in a CSV file). Before, we could only
specify individual users by User ID. This option is not yet available for the DRTM full purge.

• Support Immediate Purge for DRTM Master Data Purge


When we are setting up a DRTM Master data purge (full purge) of data for a single inactive user, we can now choose to
ignore the configured data retention time. This allows us to immediately purge data for a specific user when necessary,
without waiting for the normal retention period to elapse. This option is only available for the master data purge and only
for one user at a time.

Data Retention Management

• Use Employment End Date and Country in Employee Central for Data Purge
For users managed in Employee Central, the data purge function for Data protection and privacy is now based directly on
the termination date (end-date of the employment) and country records in Employee Central. We no longer need to sync
this record with the SuccessFactors platform for the purpose of data purge. For country, data purge now uses the country
of the Legal Entity. Previously, it used the country of the Corporate Address. For users who are imported from another
HRIS and not present in Employee Central, there is no change.

• Include Link in Email to Approve/Reject Purge Request


Approvers of a purge request created with DRM can now link directly from their email notification to the Purge Request
Monitor page, where they can review purge reports and then approve or deny the request. The user will directly land to
the approval page from the link in the email if the user is already logged in and the user session is active, otherwise it will
redirect the user to the log in page.

General Admin Tools

• Reuse old user name to log in after rehire


• When an employee is rehired (e.g. change the Legal Entity), he/she is able to reuse the old username to log in system,
which can also be applied to Global Assignment(GA)/Concurrent Employment(CE) cases
• To Search Users with Reset User Password/ Reset User Account, both username and login name will be shown in the
table list

• Two-Factor Authentication in Provisioning Login


The Two-Factor Authentication (2FA) will be used for provisioning login where the users without valid certificates on
browser will be prompted for a second factor. Two-Factor Authentication (2FA) doesn’t have impact on end user behavior.
The Multi factor authentication is security mandated for provisioning login, which is provided by SAP IAS framework. The
users need to activate 2FA through provisioning log-in process. Users need to install SAP Authenticator App in his/her own
mobile device for 2FA activation and passcode creation during login.

Employee Central – Q3 2018 release highlights

EC Core and Payments

• People Search in GA/CE


This is a new search for all customers that are using Global Assignment and/or Concurrent Employment. The new search is
available for Company Structure Overview, Fields in Termination Screen, Position Org Chart, My Workflow Requests, Job
Info Supervisor field, New Hire and Job History, Job Relationship Search in EP, New Hire, and Job Relationship History.
Now if you search for an employee you have a better visualization of the employments in the case where someone has
multiple employments.

• Support for Rehire Scenario with Change Hire Date Correction


This is now supported for the Rehire on New Employment Case and for Rehire on Old Employment. User with GA/CE can
be updated with the Change Hire Date Correction functionality until the date they are sent to a GA/CE. This is important
to remove limitations and enable a larger group to use this new functionality. This feature is for reducing data
issues/tickets and simplify the product.

EC Core and Payments

• Visas (and Permits) for Employee dependents


This function will allow: Browse employee dependents from SF EC, Admin will be able to initiate a request to
issue/renew/cancel document or visa for employee dependents, Agent assignment to process employee dependents
document or visa, Review and update the status of the process (and its activities) employee dependents document or visa,
and Employee able to see his/her dependents visas and documents.

Position Management / Company Structure

• Enhancement to Company Structure Overview


This feature enables customers to show the level of an entity in the hierarchy. The information is displayed on the card per
entity as a transient field information. It is being updated automatically whenever the association or field relation changes.
You can specify per Company Structure Definition, whether the level in the hierarchy is shown. You can also configure, whether
the level information on card is shown as text or as icon and the number, you would like to start the counting on root level.

Document Generation

• Mass Generation of Documents with a Template in Document Generation


Document generation now supports the possibility to generate and email the pdf document from a template for multiple users
(i.e only 500 users). The customers who are using Document Generation Tool are able to generate one document at a time for
a single user. Many of them have the need to send out large number of notifications ex: bonus letters, letters to new hires,
retrenchments and so on. Approximately they need to send out 3000 to 4000 letters a year. Now with this feature Document
Generation solution gives the capability for our customer to generate and email a document for multiple users at the same
time. The users can be filtered using the options of legal entity and by defining a rule of the choice by the customer.

Employee Central - Q3 2018 release highlights

Workflow

• Improvement of EC Alerts
• To-Do Take Action Tile shows incorrect number of alerts when action is removed: When Action was cancelled/removed, the
associated alerts were not cancelled. However, those alerts were still included in the alert counts on To-Do Take Action. The
redesign is done to have error message for the cancelled/removed alerts.
• Exclude alert for the terminated subject user: The rule is setup to send an alert in the future for subject user (for example, 5
days before end of contract). If subject user is terminated before alert date, the alert is still created.
• With Enhancement: During scanning the record and evaluation with alert rule, the records for the terminated subject user. (for
current terminated user) are excluded and didn’t get an entry in the alert table.
• When alerts reach the trigger date and are triggered, exclude record for the subject user who was terminated after entry
got to alert table. Alert is not created and email is not sent; status of alert is changed to compete.

Time Management

• Time Account accruals based on EC Time Sheet attendance data


Up to now time sheet data could not be used for the time account accruals engine. This has now changed and customers can now
cover the requirement of time account accrual calculation based on time sheet data.

• Flexible configuration for time account deduction sequence based on expiry


When one leave type deducts two or more different time accounts and time account balances from previous year exist customers
got the requirement to have the time account with the earliest expiry date to be deducted first. A posting order based on time
account type is not sufficient here, but in addition the configuration possibility to choose the time account that expires first. Hence
not only the order how the deduction sequence is defined in the posting rule is necessary, but also a configuration which time
account shall be deducted first when in addition a remaining balance in same time account type but from a previous period
exist.

Best Practices for EC

• New country versions


Via the Upgrade Center, on behalf of the customer SAP Professional Services and SAP Implementation Partners have the
possibility to automatically activate SAP Best Practices pre-configuration content for SAP SuccessFactors Employee Central for
eleven more countries: Switzerland, Spain, Italy, Netherlands, Canada, Brazil, Colombia, Mexico, India, New Zealand, Singapore

Recruiting Management

• Job Postings
Multi-Location Job Posting is now available from RCM. Previously this could only be done using RMK.
In CSB, the Picklist supports multiple-location search. This applies to the City, State, Country, Zip.
The Job Alerts Picklist supports multiple locations.

• Career Portals
CAPTCHA feature now works when Candidate Account Simplification (CAS) is enabled.
CAPTCHA is available by default.
Enabling this feature will decrease the security threat imposed in previous versions.

• Data Protection and Privacy


Change audit log report - The Provisioner ID and Provisioner E-mail is included.
Read audit log report - Background check results and assessment check results are included. SSN field will be recorded only
when you click the unmask button next to the field.
Existing orphan attachments are deleted from the system via a background job.
If an application has been anonymized, 'Jobs Applied' portlet will not be accessible.

• Candidate Relation Management


Email Campaign feature includes the following capabilities:
• Enter the name, description, locale, brand and email campaign code
• Enter details to email fields such as From, Reply-To, and Subject
• Select individual email recipients or select recipients from talent pools
• Select an email layout and content template
• Save the email campaign as a draft
• View a list of email campaigns that includes the following data: campaign name, status, date sent, number of recipients,
brand, created by, and description
• Ability to customize layouts: columns to be displayed, sorting, and filtering options.
• See feedback on the email campaign such as the number of recipients, clicks, unsubscribed emails, and undelivered emails
• Limit of 250k candidates to be added in a single transaction for an email campaign; you can add multiple chunks.
• Candidates can opt in/opt out of marketing emails via their profile.
• They have to opt-in first before receiving any emails. Three Statuses:
• Minus(-) sign – Unknown (candidates already in the system)
• Otherwise, it is checked or not checked

• Candidate Relation Management


Email Campaign feature includes the following capabilities:
• Candidate Search feature allows users to search for candidates by email campaigns.
• Talent Pools can be created that have a status pipeline attached to it.
• Updates to search and Data Protection and Privacy for candidate extension.
• Talent Pool sharing options such as private and public are available.
• Recruiting users with appropriate rights can see a candidate’s assigned Talent Pools via the portlet on the Candidate
Profile.
• Talent Pools can be deleted and talent pool data can also be imported or exported.
• Email Campaigns portlet now appears on the Candidate Profile.
• Emails can be sent to candidate directly from the Candidate Profile.

LinkedIn - LI 1.0 will be completely deprecated in the B1811 release. Users must migrate to LI 2.0 in order to continue using it.
The 2.0 integration is being added for RCM and RMK combined.

• Job Applications
New third-party assessment vendors were added: RIVS, ASSESSMENT_SYSTEMS, TALENTCUBE, TAG, SPEEXX, and WORLD-
CHECKONE

• API
Recruiting Permissions are now incorporated into Job Requisition and related OData API.

• Career Site Builder


• Users can filter by brand or choose Brand as a Picklist option when creating a category rule.
• ‘Date' token can be added to the Job Token component on custom job page layouts. This token will display the date the job
was posted.
• Candidate Relationship Management offers two ways to opt in/opt out of email campaigns:
• Data Capture Forms
• Request for Email Consent feature
• OTF custom fonts can be uploaded for use in Recruiting Marketing.
• Career Site Builder now supports custom Landing Pages.
• CSB Carousel Components
• Improved accessibility - it used to be open source which presents limitations; new technology is being used.
• Existing objects will be labeled with Legacy; Recommendation is to delete them and add them back.

• Candidate Management
• When candidates update their unsubscribe preferences in either Recruiting Marketing or Recruiting Management, the
update is reflected in both.
• A text field was added to the CRM form so that administrators could create text at the top of the form.
• Additional Candidate Profile Fields can be added to Data Capture Forms.

• Data Privacy and Consent


When DPCS is active, the same consent statements are displayed to users who enter information on the data capture forms

• MDF
• Method to setup an email and save it in an MDF format that CRM can access to use and send.
• Brands have been added to an MDF object with BizX, giving CRM users new branding capabilities.

• Visual enhancements to Job Board Market Place. Sufficient filters and search capabilities will aide Admins in finding their job
boards easily.
• Map RP to RCM fields moved from Command Center to Admin Center.
• Revamp of Job Posting form to add visual enhancements so errors can be easily detected.
• Now it is possible to map several Recruiting Management fields to one Recruiting Posting field. You can also prioritize RCM
fields.
• Improvement to Posting Profile and User Management - Inactive Posting Profiles or Users can be viewed so that they can be
purged/reactivated
• Ability to move the Posting Profiles or Users that are not linked to contracts or configurations.

Data Privacy and Protection

• Allow Upload of User List for Partial DRTM Onboarding Data Purge
For Data protection and privacy, when you are setting up a partial DRTM purge of Onboarding data in the data retention
management tool, you can now specify multiple users by HR Data ID. Now you can upload a list of multiple users in a CSV file.

• Capture secondary login information for every change


When data is changed by a Support user logged in through the Secondary Login feature, the provisioner’s information is
captured.

• Information Reporting needs to include data for offboarding process


Person Search returns users associated with onboarding and offboarding processes, meaning the Information Report can now
include offboarding users.

• US Maine W-4ME state withholding- Line letters on the personal allowance worksheet
• US Missouri MO W-4 state withholding - Values for filing statuses updated in the instructions. Instruction text: “the total of your
personal exemption plus“ changed to “If your income is less than your standard deduction”
• US Kentucky K-4 state withholding - Complete overhaul of the panel.
• US Remove Kentucky K-4M form and panel - Removing form and any panels associated with K4M
• US Georgia GA_G4 state withholding - Calculation on worksheet updated values for Single/Head of Household and Each
Spouse.
• US Washington DC D-4 state withholding - Calculation updates on Additional Withholding Allowances worksheet. Text updates in

• What is it?
Previously, the custom compensation fields did not support translated values when mapped to Employee Central translatable
fields. Due to this, Admins could only view the fields in the system default locale. For ease of use, Admins can now view the
custom fields in their logged in user's locale on Worksheets, Executive Review and exports. To achieve this, you need to
configure the custom fields as translatable on the Column Designer page, and then map the fields to the Employee Central
translatable fields. On launching the worksheets, the fields will now display the labels in the logged in user’s locale.
• Why is it important?
In certain regions, customers are legally required to show the texts based logged in users locale.
• Prerequisites
None
• Note: Only the read-only custom fields with the column type String will support translated values. Currently, we do not
support the translatable attribute for Standard Compensation fields and EC Foundation Objects.

Audit capability is now available for Compensation customers on HANA. This provides ability to report on historical data
changes made on worksheets, profiles and Executive Review. It allows companies to report on data changes made to
compensation data over time, including the changes made by proxy users.
Previously, enabling audit required reaching out to support and took many weeks to be enabled. Now, on HANA customers
can enable Auditing from the Admin Center themselves by enabling a switch.
• Why is it important?
Companies are required by various compliance laws to provide reporting around change control on Compensation data. This
feature makes such reporting easily available for our HANA customers.

• Hide Send Email Notifications on Executive Review


Admins can now control email notifications to planners, managers or reviewers of Compensation worksheets.
Based on the business process, some customers don’t wish to display this option to send email notifications, while others want to
have these defaulted. Now, admins can control the default behavior.

• What is it?
A new icon will be shown next to employee’s where EC promotion has been entered, indicating that user is being promoted.
• Why is it important?
In certain cases, planner would add a EC promotion on the MSS UI but not save the worksheet. The planner assumption in
such cases could be that the promotion was not saved, as the worksheet was not saved. In case, the worksheets get routed by
admin, this promotion would move forward and get published to EC later. Now, an icon tells the planner that promotion data
has been entered, and they could delete the promotion if it was unintended.

Now, the Goal Plan header is always visible on the Goal Plan page for enhanced user experience. The Goal Plan header is

without needing to scroll back to the top of the plan. This is a universal update.

• Admin Check Tool


Two new checks for Goals Management have been added to the Admin Check Tool. One for group goal validations and
another for validating permissions are only created for defined fields. This is an Admin Opt-in option.

• Data Protection and Privacy


SF now supports inclusion of soft-deleted data (that is, data that has been deleted but not fully purged) in the Data Subject
Information report. This is an Admin Opt-in option.

Previously, if you enabled the read audit data protection and privacy feature, one of the fields hidden in your Goal
Management ad hoc reports was gender. Now, gender is no longer a standard sensitive personal data field, therefore it will be
listed among the fields available when running an ad hoc report. This is a universal update.

• Check Tool
A new check for rating option has been added to the Check Tool for Performance Management. It determines discrepancies
between the permissions for a rating option you have configured and your expected permissions. The Check Tool will provide
possible solutions for the cases where there is already a suggested best practice. This is an Admin Opt-in option.

• Data Protection and Privacy


A few changes have been made for Information Report of Performance Management. The report will now display official rating
for behaviors. You can now generate an Information Report with personal data of external users, using the Admin Center>Data
Subject Information page. On this page, you can also search for external users by their name or email address. This is an Admin
Opt-in option.

Previously, using the application you could not track the feedback requests sent by you. You would get notified only when you

• Achievement Feedback
With the Q1 2018 release, the achievement feedback columns in the "Activity and Achievement" entity had been termed as
deprecated in the Continuous Performance Management ad hoc reports, and we recommended that you replace the deprecated
columns with similar columns from the Feedback entity. With the Q3 2018 release, the deprecated columns from the "Activity and
Achievement" entity have been removed from the application. This is a universal update.

• Proxy Assignment
You can now manage proxy assignments for Continuous Performance Management using the "Admin Center > Proxy
Management" tool. You can define proxy users and grant them access to Continuous Performance Management, or you can

• Canvas report import Ad Hoc Data Source – Depreciation Announcements
• What is it? The ability to build a query as an Ad Hoc report and then import into the Canvas Report is being
depreciated in 2018 Q4.
• Why is it important? Queries imported in this way can be resource intensive and do not reflect best
practices. It is import that customer edit their Canvas-Reports to replace queries built in Ad Hoc with queries
built in ORD directly.
