Impact of Technology on Business Communication

There are countless reasons why technology is important now in business communication.
Whether we like it or not, the role of technology in business communication is expanding and
will only keep growing in the future.

The few of many reasons why technology has now an important role to play in business
communication are mentioned below:

Instant Communication:

With the help of emails, chat boxes, communicators, virtual team meetings the
communications have become so fast and sharing information within and outside organization
has become faster and easier as well. Instant replies can be received on important and urgent
matters. Technology has become more portable, and people have constant access to the
internet, the world is just a click away from them and communication is virtually instantaneous.

Better Communication Tools:

Better communicators have been evolved over the period, now organizations tend to adopt the
latest means of communication for inside and outside communications. Tools like outlook,
gmail, skype, teams, googlenow & Zoom have completely changed the landscape of
communications, multiple applications are synced together to help the users do their job in a
simpler and quickest way.

Organized Communication:

Business communication has never been so organized as it is today, latest meeting tools are
available to help people send meeting invites to inside and outside stakeholders, keep a track of
older communication for better recalling or summarizing the discussions carried out earlier.
People can now conduct global meetings just in no time and can take benefits of a global
village. Communication is less rigid now and challenges traditional standards and rules. It’s less
formal. Mistakes are common. Acronyms are also common.

Time and Cost savings


In conventional communication means people had to wait for long time (sometimes days and
months) for the receiver to acknowledge to message and send his thoughts on proposal, the
same job can now be done if not in minutes then just a day or two. Which is quite fast and
helpful for making business decisions where time is of much importance. Also the conventional

methods of communications have also been expensive on the contrary, the modern world
communication is very cheap and it is getting even cheaper with the passage of time.

Innovations in Communication
Traditional face-to-face meetings / communications have become unfashionable. In a global
village people and businesses instead use video conferencing, a few modern communication
tools are discussed below:

WebEx – Contemporary platform that allows web conferencing and videoconferencing for up to
100 participants having HD video, screen sharing and personal room facilities.

Microsoft Teams – A latest communication and collaboration platform that combines


persistent chat capabilities, file sharing, video conferencing and integration with many other
Office 365 apps.

Zoom – A web-based video conferencing tool with an online, desktop and a mobile app that
allows people to meet online, having capabilities to record sessions, share screens or annotate
on one another's, screen & collaborate on projects with one simple to use platform.

Advantages of Technology in Business Communication:

• Speed-time – Much quicker to move information around.


• Cost – Emails are certainly cheaper than phone calls now. Video conferencing saves traveling
expenses.
• Online communication – Removes distance barriers, brings people together across distances.
• Education – A lot of free information available.
• Community – Provides platform to connect with people of same interests, help them solve
business.
• 24 / 7 Availability – Online shopping, banking, Chat support whenever required.

Disadvantages of Technology in Business Communication:


• Loss of face-to-face means – Loss of non-verbal communication skills like gestures, body
language and expressions & loss of the personal connection.

• Breach of privacy – Risks of losing private and organization’s confidential data on internet
through cyber tricks.
• Viruses, fraud and identity theft – Internet with great help, also brings great risks
• Interruptions – Use of too many tools altogether requires multi-tasking which can have
negative impact on productivity.
• Reliance on technology – Excessive reliance on technology stops people rely on their IQ. i.e.
use of spell-checker.
• Reliability of information – Too much availability of information makes everything doubtful
specially when they are contradictory.
• Cost – Maintaining the contemporary version of software & equipment.
• Addiction –Risk of social isolation and great health problems.
• Long-Term health related issues – Great risks related to cancer and fertility associated with
excessing exposure digital tools.
