CHAPTER I

INTRODUCTION
BACKGROUND OF THE STUDY
The era of globalization nowadays paves way to continuous movement of
different people in all parts of the world. Technology plays an important role in
this aspect as it is a driving force which makes this movement faster and easier.
In the context of machinery and equipment management, the advancement of
technology is vital for the efficient functioning of different processes. Exportation
is a growing industry in every corner of the globe and it entails the increasing role
of these machinery companies as a means of accommodation for both
international and local clients.
An online ordering system provides faster services to customers than
those local machinery industry without a system services such as reservations,
documentations, report generations and others. As a whole, a system gives a
more efficient service. An advanced technology which can monitor the records,
statuses of orders and information. The system provides a quick, hassle-free,
secure, less time, energy consuming, comfortable, simple, and user-friendly
transaction process for both staff and the customers.
According to the RHINOTEK NTP equipment and machinery inc. The
company started at august 2016. Wherein Mr. Wen Hui Bao and Mrs. Alma
Bristol decided to open an exportation company here at the Philippines to give
the country a good quality of products and affordable price, The company exports
construction equipments such as Tower Crane, Construction Elevator, Hydraulic
Press, Parking System Equipments, Concrete Placing Boom and Limited
Machinery Tools. With this, all equipments are exported from china to other parts
of the Philippines. The company is still in operational for almost 3 years and at
the present. In general location at Unit 516, Jocfer building, Commonwealth Ave,
Quezon City. This company is one of the best exportation company since 2016
onwards of it’s service.
STATEMENT OF THE PROBLEM
Based on the conducted interview and observations, the group had come
up with the following problems being encountered by the study and presently the
company is using a Microsoft Office Outlook and Excel where they experienced
some problems such as:
1. Manual ordering reports which can be easily lost/misplaced.
2. Delayed payment transactions.
3. Unsecured orders for their customers.
4. Unattended customers for transaction meetings.
5.Customer errors of placing orders which they provide wrong informations.
6. If ever the customers failed to comply on manual system, there was an
instances that some customers will not be able to be listed on their
records.
OBJECTIVE OF THE STUDY
The general objective of this study is to develop an online ordering system
for RHINOTEK NTP machinery and equipment inc, that will help them to
enhance their current system and Online Ordering System which is based upon
the following objectives:
1.To design a system that can easily monitor availability of products and
reservations.
2.To develop a system that can easily generate reports ordering,
cancellation, and billing.
3.To ensure correct placement of orders through visual confirmation.
4.To provide service to on-line customers and admin of RHINOTEK NTP.
5.To increase efficiency by shortening the purchasing time and eliminating
paper work like receipts through online transaction
6.To be able to stand out from competitors by automating daily operations
which will give machinery service providers the opportunity to increase sales.
SIGNIFICANCE OF THE STUDY
This study is so significant because it could offer benefits to the following
groups and aspects:
To the Company, It will be convenient to them having a computerized
system for ordering processes, record keeping of transactions, availability of
stocks and monitoring process of customers informations.
To the Admin’s, It will help them to be efficient in storing and monitoring
sales information for future purposes. Easier method of production and improving
sales projection compared to manual transaction.
To the Staffs, It will help them to be efficient and productive by increasing
sales, utilizing products with better and quality customer service which’s leads
every transactions to friendly environment.
To the Customers, It will help them to have organized and secured
transactions, guaranteed service applications and fast tracking service with
friendly environment.
SCOPE AND DELIMITATION
This system aim to develop an electronic-based online ordering since
they are still using a manual system for their current transactions, payments
and even in generating reports. This system will consist of some significant
modules in order to satisfy the company’s needs as well to utilize the customers
concerns, satisfactions and also to develop a friendly user system that will
serve as an aid to the said problems.
This works particularly exportation company to be faster, easier and
more accurate activities for both company and customers. In order to eliminates
common manual problems. Because nowadays concerns, is said to be more
feasible and reliable rather than to continue using the manual system. We
strongly suggest the Online ordering system is one of the most commonly being
automated system the way to be convenient and very useful for future
generations.
