Welcome and First Steps
We want to welcome you to the Hotel de la Monnaie (HdlM) family! This guide is intended to help you learn more
about your new home-away-from-home and navigate different aspects of your ownership.

A Brief History of Hotel de la Monnaie


Established in 1984 at the time of the World Fair held in New Orleans, our beloved hotel has provided happy times
and wonderful memories to thousands of owners and guests over the years. Many of our owners purchased their
weeks when the Hotel first opened and have remained dedicated to HdlM for the more than 35 years since! HdlM
is a 5-story building offering 53 one- and two-bedroom suites. The .46 acre property is situated in an amazing
location on the border of the French Quarter and the Marigny adjacent to the renown Frenchmen entertainment
district.

Things you should do right away


As a new owner, we encourage you to take the following steps quickly to get the best ownership experience.

 Ensure you have received a copy of your deed, and that the information on your deed is accurate. If any
information is incorrect, or you did not receive the deed, please contact our property manager via email
at hdlm@vacatia.com or by phone at (504) 947-0009.
 Provide your contact information to our property manager. You can do this by emailing our property
manager at hdlm@vacatia.com or calling (504) 947-0009. You will need to have your unit number and
week number handy, and you’ll be asked to provide your phone number(s) and email address(es).
 Register for a WildApricot account. WildApricot is a membership portal we use here at HdlM. You can
find more information about WildApricot and how to register later in this document, or jump directly to
that section by clicking here.
 Be sure to block your calendar for your weeks. For example, suppose you have purchased week 1, unit
301. Look at the calendar of weeks in the Appendix: Calendar of Weeks of this document so that you
know the exact dates for your weeks. Then, block your calendar and schedule your flights or other travel!
Remember, Hotel de la Monnaie weeks run from Friday at 3pm to the following Friday at 10:30am.
 Educate yourself about our governing documents. While it is the job of the Board and the property
manager to know and understand our governing documents, your ownership in Hotel de la Monnaie is a
deeded asset and should be treated as the valuable property it is. It is in your best interests to
understand your rights and responsibilities as an owner. These rights and responsibilities are spelled out
in the governing documents which are available to you on the hdlm.wildapricot.org website under the
“Docs” tab.

Manager

The Board of Directors


The Board of Directors is elected annually and is responsible for providing instructions to the property
manager on strategic directives and approving the annual budget. The Board represents the interests of
owners and has ultimate responsibility for the hotel’s successful operations. The Board uses the
services of a property manager to handle day-to-day operations.

Property Manager
Our property manager is Vacatia. In addition to handling the day-to-day operations of Hotel de la
Monnaie, they are your first point of contact when you have questions about the hotel or your
ownership.

Committees and Task Forces


We have a variety of committees and task forces comprised of your fellow owners. These committees
and task forces evaluate different challenges and make recommendations to the Board for best paths
forward. Unlike Board members, committee and task force members are NOT elected, but rather are
appointed by the President of the Board. As a result, the Board remains responsible for making final
decisions. Committees and task forces can change over time, as the needs of Hotel de la Monnaie
change.

Our committees and task forces include:

 Finance Committee: This group is responsible for providing recommendations to the Board regarding Finance
topics, including accounting best practices and sources of funding (e.g. mortgages, grants).
 Building/Grounds/Facilities Committee: This group focuses on our facilities and infrastructure (windows,
HVAC, plumbing, electrical, etc.). The group will also evaluate green initiatives such as solar panels and
energy-saving strategies.
 Community Engagement Committee: This group liaises with the local, state, and federal government groups
on topics impacting HdlM. Such initiatives may include things like (a) the Complete Streets program which is
helping the city become more pedestrian and bicycle friendly (b) participation in the Faubourg Marigny
Improvement Association (c) engaging with appropriate bodies to lobby for silencing the 4am train whistles
outside our hotel.
 Owner/Guest Experience Committee: This group focuses on how owners and guests experience the onsite
registration/check-in process, online reservations, housekeeping, owner retention, and owner recruitment.
 Election Task Force: This group is responsible for suggesting changes to our election process.
 Documents Task Force: This group is responsible to (a) create a "clean" set of governing documents (articles,
bylaws, etc) (b) propose modifications/amendments to those documents to bring us into compliance with
current laws while also addressing our existing needs, (c) create a "plain language summary" of the governing
documents, and (d) ensure all owners have easy access to these cleaned-up documents.
 Parking Task Force: This task force will assess options for ensuring owners have access to secure parking,
ideally onsite or very close to HdlM.

How do I join a committee?


As spots open up on committees or task forces, the Board will post a call for resumes from interested owners. The
Board will then review those resumes with the Committee/Task Force chair and select the owner(s) with the most
relevant experience for what that Committee/Task Force is trying to achieve.

How do I contact a Committee/Task Force?


There will be a section on the WildApricot site for Committee/Task Force communications. Will we also have an
email distribution list for each committee like we did for ETF and Finance located on hdlm.wildapricot.org.

Onsite Amenities
In this section, we introduce you to amenities available to you as an owner at Hotel de la Monnaie.

Parking
The parking garage is located on the left side of the building as you are facing Hotel de la Monnaie. There are 21
spaces in there. After you park your vehicle, you can walk through the garage into the hotel. You will enter the
hotel through the lending library/computer area.

Can I reserve a space?

Currently, we do not reserve parking spaces, since there are only 21 spaces but 53 suites. Parking is available on a
first-come, first-serve basis. However, the Parking Task Force has been chartered to investigate options.

Laundry Room
The laundry room is located in the garage. There is one coin-operated washer and one coin-operated
dryer. It costs $1.50 to run each machine for one cycle. Detergent is available at the front desk for
$1.50.

Lending Library and Computer Area


Upon entering the hotel lobby, there is a lending library and computer area to the left. Owners and
guests are welcome to use the computer. If you need to print anything (e.g. a boarding pass), please see
someone at the front desk.

Please feel free to borrow any of the books from the library shelves. We only ask that you return the
book upon completion. Also, if you would like to add books to the library for other owners and guests
to enjoy, we encourage you to do so.

Exercise Room
The exercise room is located on the third floor and contains a treadmill, elliptical machine, and exercise bike.

Concierge Services
Our Front Desk team is amazing and represents many years of experience with Hotel de la Monnaie. They are
happy to help you with planning excursions, can provide excellent recommendations for restaurants, and can assist
with other needs you might have while on vacation.

Wading Pool
There is a 4’ deep wading pool on the second floor, to the left as you exit the elevator area. Pool towels are
provided near the pool for guests.

Terrace on Second Floor


There is a large terrace with multiple tables, umbrellas, and lights located on the second floor immediately after
you step off the elevators. We encourage owners to mingle on the terrace, meet other owners and guests, and
exchange highlights of your NOLA experiences.

On either side of the large terrace, you will notice small walkways leading up to individual doors. These are the
suites of other owners, so please do not approach them unless you are staying in one of those suites. Also, we ask

that you not move the small tables outside of those suites over to the main terrace area; those small tables are for
the enjoyment of the people staying in those suites.

Finally, please be courteous to your fellow owners and guests, and refrain from making noise on the grounds
between the hours of 10pm and 8am. If you want to be loud, we encourage you to head over to Bourbon or
Frenchman Streets.

Patio/Terrace Areas Outside Each Suite


Each interior suite (i.e. the suites NOT facing the large front terrace) has a patio/terrace area outside of it
overlooking one of the atriums. In between suites are tables with two chairs. This is a wonderful area to enjoy
some morning coffee while reading a magazine. Again, we ask that you be mindful of noise.

Items You May Borrow


The following items are available on a first-come, first-served basis.

 Umbrellas: The front desk has umbrellas they can lend to you should you need one.
 DVD players: If desired, you may borrow a DVD player from the front desk, although you will need
to bring your own DVDs.
 Board games
 Festival chairs (so you can sit while enjoying the various street festivals)

Vending Machines
The vending machines are located on the second floor near the pool. We have a snack vending machine as well as
two drink vending machines.

Getting Around in New Orleans
There are a variety of ways to tour New Orleans. Below are some options to consider:

New Orleans Regional Transit Authority


The New Orleans Regional Transit Authority manages buses and streetcars throughout the city.
(www.norta.com). The Riverfront Streetcar has a stop right across the street from HDLM, and there are
several bus lines that run past or close to HDLM. You can download the GoMobile app on your
smartphone. Using the app, you can:

 Purchase fares right on your phone


 See where buses and streetcars are in real-time so you know when to head to a pickup location
 Find the stop nearest to you
 And many other cool things

Hop On/Hop Off bus tour


New Orleans has a network of hop on/hop off double-decker buses that tour the entire city in a single
loop that runs less than 2 hours. You can get off at any stop along the loop, and get back on when a
later bus comes by. The 3-day version of the hop-on/hop-off bus tour only costs a bit more than the 1-
day version, and there is a stop right across the street from HdlM. Unlike the 1-day pass, the 3-day pass
includes guided walking tours of the Garden District and French Quarter. This is a GREAT way to
familiarize yourself with a lot of New Orleans quickly. Then, you can decide on areas you want to

Cabs, Uber and Lyft


If you need a ride, you can always call United Cab (504) 522-9771. As with many cab companies, United Cab now
supports the “Curb” app, which you can download to your smartphone. Similar to Uber and Lyft, the Curb app lets
you summon a cab to your location and track where your cab is. If you jumped into a cab that was passing by, you
can use the Curb app to scan that cab’s identification so that you are automatically registered as the passenger in
that cab. And the Curb app lets you pay using your phone rather than having to give the driver cash or a credit
card.

You can also download the Uber and/or Lyft apps to your smartphone.

Bike Rentals
You will notice racks of blue bikes throughout the city. These are the New Orleans Blue Bikes, a
collaboration between the city of New Orleans and Blue Cross/Blue Shield. You can rent a bike for
$8/hour (prorated to the minute) or $15/month! You can download the Blue Bikes New Orleans app to
your smartphone. The app lets you reserve a bike so that you can be sure a bike will be available when
you arrive at the rack. The app also enables you to identify location of blue bike racks.

There are a variety of additional bike rental companies in New Orleans. We encourage you to search for
them online.

How Do I…?
In this section, we walk you through the steps needed to accomplish common tasks. Generally speaking, most
things you need to do as an owner can be accomplished by contacting our property manager via email at
hdlm@vacatia.com or by phone at (504) 947-0009. We list additional options in the sections below as applicable.

How do I update my contact information?


To update your contact information, including billing/mailing address, phone number(s), and email(s), please
contact our property manager via email at hdlm@vacatia.com or by phone at (504) 947-0009.

How do I pay my bill?


There are several ways to pay your bill:

 Mail a check made payable to Hotel de la Monnaie Owner’s Assocation, along with your billing statement, to:

 Call our property manager at (504) 947-0009 to pay by credit card. You will be charged a 3% transaction fee if
you use a credit card.
 We anticipate having an online payment option by the end of 2020.

How do I change or split my week?


To change or split your week, contact Susan Brown via email at sbrown@hoteldelamonnaie.com or by phone at
(504) 947-0009. The fee to do an in-house exchange or to split your week is $50.00 plus tax. Per our governing
documents, you must notify the hotel at least 90 days prior to the first day of your normal week.

Note: Splitting your week means that you will use some of the seven days of your owned week at one time, and
other days from your owned week at a different time. The total number of days must still add up to 7. For
example, you might take 2 days in January, 3 days in March, and the remaining 2 days in September.

How do I get extra nights at the owner (aka “charter”) rate?


Owners at Hotel de la Monnaie are able to rent suites at HdlM for a significant discount over public rates.
Currently, our owner rates are as follows:

 1-bedroom weeknight: $55 per night


 1-bedroom Friday and Saturday: $90 per might
 2-bedroom weeknight: $75 per night
 2-bedroom Friday and Saturday: $115 per night

You can purchase extra nights to extend your week, or when you make a separate visit to New Orleans outside of
your normal week. Please note that the owner/charter rates are ONLY for you as the owner; you cannot book
nights for family members or friends using that discounted rate. To add nights using the charter rate, email
hdlm@vacatia.com or call (504) 947-0009.

What can I do if I’m not going to be able to use my week this year?
If you won’t be able to use your week for the coming year, you have several options:

 Deposit your week with a timeshare exchange company like RCI or Interval International: To do this,
you will first need to purchase a separate membership directly with your timeshare exchange

company of choice. Each year, you will be contacted by Hotel de la Monnaie to indicate what your
plans are for the coming year: retain your normal week, put your week into the rental pool, do an
in-house exchange, or do a timeshare exchange with an outside company.
 Give your week to a friend or family member: If you are giving your week to a friend or family
member to use for a specific year, please contact hdlm@vacatia.com or call (504) 947-0009 to let us
know the name and phone number(s) of the people who will be using your suite.
 Put your week into the rental pool so that you can get some income to apply to your annual
maintenance fees.

How do I vote in the board elections?


Board elections normally occur in July of each year. You will receive separate instructions in advance of the annual
elections with instructions on how you can vote, including by mail-in ballot, online, or by designating someone as
your proxy.

Hotel de la Monnaie on WildApricot
WildApricot is a membership portal that we use to share important information with owners, and to enable the
exchange of ideas between owners. In this section, we’ll talk about how you can get a WildApricot account and
explain the different sections of WildApricot.

Why is it important to have a WildApricot account?


Periodically, the Board of Directors or the property manager will share information about HdlM with owners with
the WildApricot owner portal. Important information will also be sent via email, but WildApricot provides a single
repository for all information related to Hotel de la Monnaie.

In addition to receiving information via WildApricot, you can also participate in owner conversations via the
various Forums on WildApricot.

Getting a WildApricot account


If you already have an email address on record with HdlM, you can visit hdlm.wildapricot.org and set up your own
account automaticlaly. On the site, you will be asked to register using the email address you have on file with us.
You will also be asked to choose a password. If you do not remember which email you have on file with HdlM, or
you don’t already have an email on file, please email hdlm@vacatia.com or call (504) 947-0009 to provide that
information. Please alert the person at HdlM that you also want to set up your WildApricot account.

Navigating WildApricot
After you log into WildApricot, you will see a series of tabs across the top of the screen. An example screenshot is
below.

The tabs include the following information:

 Home: This is just a summary page with a quick link to recent posts.
 Hotel News: Items that are of general interest to all owners will be posted here. Owners are NOT able to post
their own entries on here; all posts on this tab are done by the property manager. However, you CAN reply to
any posts on here by clicking on the post, then clicking the button located in the upper left. You can
also click the button next to the Reply button if you want to subscribe to a forum. (Hint: Click
it again to unsubscribe from that forum). When you subscribe to a forum, you will receive an email synopsis
of activity that occurred in that forum over the prior day (by default). You can edit your profile if you want to
change your notification preferences to either get a WEEKLY synopsis of activity or an IMMEDIATE email any
time someone posts in that forum.
 Owner Forum: On this tab, you can post a new topic by clicking the button in the upper left of
the screen. You can also reply to any topic by clicking on that topic, then pressing the button in the
upper left.

 Docs: On this tab, you will find a variety of documents that are relevant for owners, including our governing
documents, meeting minutes and recordings, and similar content.
 Events: Any scheduled events we have will be listed on this tab. You can click on an event to get more details
about that event. There is also an “Add to my calendar” button in the upper right of each event that you can
click to automatically add to your personal calendar.
 Contact: Here, you can find contact information for the hotel.
 Archive: Archived items are topics that are no longer current, but which we kept around for future reference.
 Note: There will be other tabs on the WildApricot site from time to time based upon need. For example,
during the election window, we may have a tab dedicated to the election. We encourage you to explore the
site fully.

There are also several links in the upper right of the screen you can click. These are:

 Your name: When you click on your name in the far upper right of any screen, you can change your profile
information by clicking the , button in the upper left of that screen. When you edit your profile, you
can change your name (as it is displayed in WildApricot), your phone number, email address, information
about your profession, home address,you’re your avatar (aka picture). Note that all of this information is
optional except your name. Also, note that when you are editing your profile, there is a Privacy tab you can
click to control who can see different types of information. In my example below, I have chosen to display my
photo album, name, professional information, and avatar. All other information is hidden.

Also while editing your profile, you can click on the “Email subscription” tab and modify what information is
being sent to you. A “subscription” means that, if something gets posted to an area for which you are
subscribed, you will receive an email to your personal email account alerting you of that post. In this way, you
don’t have to log into WildApricot all the time looking for updates; you can be alerted automatically.

You can uncheck certain items if you do NOT want to get email notifications about those. Also, for the “Forum
subscriptions”, you can choose the frequency of email notifications: Daily, Weekly, or Immediately. If you
choose Daily, you’ll get one email per day with a summary of all updates to that forum. If you choose Weekly,
you’ll get one email per week with a summary of all updates to that forum for the prior week. If you choose
Immediately, you’ll get an email every time someone posts to a forum to which you subscribe.

We suggest setting your preference to “Daily”, which is the default. We also recommend you remain
subscribed to the “Automatic Event Announcements” and “Mass emails from administrators…” options.

NOTE: Items of importance to all owners will be sent via email in addition to being posted on WildApricot,
regardless of your subscription preferences on WildApricot.

 Change password: The link in the upper right (next to your name) enables you to change your
WildApricot password if desired.
 Enter search string: Below your name and the link, you will notice a box .
You can type in any search string you want and the system will search across all posts. Matching posts will be
displayed in a list below, and you can click on any of them to read them.

Changes to Your Ownership
We all recognize that life changes, and so do our circumstances. If you find yourself in a situation where you or a
family member can no longer remain an active owner at Hotel de la Monnaie, there are multiple paths forward.

Dation your week back to the Hotel de la Monnaie


If you dation your week back to Hotel de la Monnaie, that means that are relinquishing ownership of
your week. The cost to do this is $160, and that covers the cost of processing this dation. If you wish to
do that, please contact hdlm@vacatia.com or call (504) 947-0009. Our property manager will send you a dation
request form which you must complete and then have notarized. Once we receive your dation form back, we will
process it at the New Orleans Parish records to indicate the week is now owned by Hotel de la Monnaie Owners’
Association. You will no longer be responsible for any maintenance fees or assessments, but you will also no
longer be entitled to use the week nor experience any owner benefits (e.g. reduced rates). Essentially, your
relationship with Hotel de la Monnaie is legally severed at the time you dation your week back to us.

Sell your week


You may choose to sell your week to an interested party. In this case, you will be responsible for negotiating the
price and processing all paperwork. Vacatia offers a For Sale by Owner (FSBO) solution on Vacatia.com. To use
this service, either call Vacatia at 855-858-3950 or fill out the form online at https://vacatia.com/sell-hotel-de-la-
monnaie-weeks. Vacatia will handle posting the listing online and coordinating bids/questions. Because this is a
FSBO solution, the owner ultimately sets the price without brokerage guidance. Vacatia can, however, print
historical sales data -- e.g. the prices that were used in the past or prices set on other resale sites like Redweek.

If you prefer to sell your week using a broker, Vacatia can put you in touch with one or more licensed agents in the
Vacatia network. In that case, you may still contact Vacatia at 855-858-3950. They we will explain their FSBO
option, and then they can give you some names of reputable resale brokers if you prefer.

Give your week to a friend or relative


You may choose to give your week to a family member or friend. The same Vacatia team that handles dations also
do this work for the same fee ($160). The original owner "quit claims" and then Vacatia will input the new owner's
name on the deed.

If the owner wants Vacatia to help process a transaction where there is money crossing hands, Vacatia can

not want the week you have inherited, or it has an outstanding balance you do NOT wish to pay off, you
may contact Vacatia at hdlm@vacatia.com or call (504) 947-0009 within 6 months of receiving the week
to alert the hotel you wish to dation the week. Please follow the instructions noted above for dationing
your week. You will still be responsible for paying the dation fee.

This calendar is provided to help you plan your upcoming vacations. For example, if you own week
number 13, you will see that your week runs from March 26 through April 2 in 2021. Please note that,
per our covenants, Mardi Gras (week 9) and Sugar Bowl (week 52) are considered “floating” weeks.
What that means is that, if you own one of those weeks, you may ALWAYS stay at the hotel during the
week of that event. For example, in 2021, Mardi Gras takes place from February 12 through 19, which is
week 7 that year. The person who owns week 9 (the Mardi Gras “floating week”) can stay at the hotel
during that week. The person who owns week 7 will need to stay at the hotel during week 9 (in other
words, they two weeks flip flop during that year. This is what is meant by having a “floating” week. No
other weeks are designated as floating weeks per our covenants.
