DEFINING PROJECT SUCCESS

A successful project involves completion:
• Within the allocated time period
• Within the budgeted cost
• At the proper performance or specification
level
• With acceptance by the customer/user
• With minimum or mutually agreed upon scope
changes
• Without disturbing the main work flow of the
organization
• Without changing the corporate culture

PROJECT MANAGER’S ROLE

The project manager is responsible for coordinating and
integrating activities:
• Integrating activities necessary to develop a project plan
• Integrating activities necessary to execute the plan
• Integrating activities necessary to make changes to the plan

PROJECT MANAGER’S ROLE

Interface management is used to manage the relations
among different parties, which can be described as
managing relationships:
• Within the project team
• Between the project team and the functional organizations
• Between the project team and senior management
• Between the project team and the customer’s organization,
whether an internal or external organization

THE EXECUTIVE’S ROLE

• Executives are expected to:
– Closely participate in project planning and
objective-setting.
– Remain at a distance during execution unless
needed for priority-setting and conflict resolution.
– Act as a project sponsor.

DEFINING THE PROJECT

• A Project Requirements Definition defines
what the project will accomplish.
• The Project Requirements Definition is the
authoritative reference document of what the
project is all about.
• Acceptance of the Project Requirements
Definition by the different parties confirms a
common understanding of the project
between the executives and the project.

OWNER'S NEEDS AND PROJECT

OBJECTIVES
• “what is needed” isn’t always “what is wanted.”
• Because there are always constraints of cost and
schedule, the owner must develop a project
definition based upon need.
• Vague owner needs lead to project changes,
scope growth, cost overruns, rework, and
misunderstandings among team members.

PROJECT SCOPE MANAGEMENT

• Project scope identifies
those items and activities
that are required to meet
the needs of the owner.
• The purpose of project scope
definition is to identify the
work to be performed and
allow the design to proceed
with minimal changes.
• To accomplish this, the
project manager from the
design organization must be
involved early in the project.
