Introduction:
Communication is a mean of sharing, transferring, discussion, etc. between two or more than two
persons either formally or informally in simply termed.

Communication is the process of sharing ideas and thoughts towards others in appropriate
methods. It is “two-way process of reaching mutual understanding, in which participants not
only exchange information, news, ideas and feelings but also create and share meaning. In
general, communication is a means of connecting people or places. In business, it is a key
function of management an organization cannot operate without communication between levels,
departments and employees.” (Anon, 2018)

Communication skill is an essential thing in everyday activities. For any person like student,
teacher, doctor, businessman, or any other profession it plays vital role nowadays. It is most
essential quality to be a successful person in any field.

My name is Bikash Dhakal. I am currently studying B Tech in ISMT and I am also working as
an intern in the BDK IT Company for past 6 month.

Enhancing
As an intern in a company and study it’s pretty hard to manage time but professional practices
I am trying my best to
manage it. As per scenario’s demand I am going to discuss about my experience at BDK IT
company. In my company main works for an intern are:

1) Conduct workshops on emerging technologies

2) Educate and motivate clients to be benefited from applying e-commerce solutions, design
interactive websites.

On this duty, employee should have different kinds of qualities and skills. Good communication
skill is one of the them. As a diploma level student, it pretty hard to conduct any workshops on
emerging technologies unless you know about them as well as you must have good soft skill to
present it. Apart other skills we should have good communicating skills. The various knowledges
we gained from any field are no meaning, if we cannot deliver effectively to the target audiences.
Communication skill plays one of the best role to make workshops, training, presentation etc.
valuable and effective.

On the basis of my experiences and other sources here, I am going to discuss different types and
methods to develop effective communication skills along with my two days training event
design.

Gantt Chart:
Here, I am going to present my two days workshop schedule design on the topic “Emerging
Technologies” along with Gantt chart design by using project management software.

Enhancing professional practices

Figure: Gantt chart 1

In above chart, I scheduled my first day workshop event activities. In day first, I categorized my
event on three sessions with well managed learning outcomes and appropriate refreshment break
to conduct the very effective event. In day 1st the three sessions out of four was completed,
working reports out and adjourn the day.

Figure Gantt chart 2

Likewise, above Gantt chart shows my 2 nd day workshop which was continuing from 1 st day. In
the 2nd we had last session of our two days workshop and other extra activities like professional’s

motivational experiences and idea sharing presentation, quick review of our whole workshop
event, working reports out etc.

For an effective workshop event there would be lots of fundamental objectives need to be
fulfilled. For example; workshop need to be well managed, trainer should have good knowledge
on respective faculty, good communication skill, good presentation skill, easy way to describe &
teach. The above schedule shows effective time management too. On the right part of the Gannt
chart we can see the events being connected of two days workshop which helps us to make a list
of the things that we did in two days event. It helps us to do our work efficiently and effectively.

In my workshop I used various types and styles of communication skills. For example: verbal-
nonverbal, formal- informal, assertive, aggressive, passive-aggressive, submissive, manipulative
etc. I am going to describe how I used these various styles of communication in my workshop
briefly on following bullet points.

Bikash Dhakal | ISMT COLLEGE

Essentials for proper communication:

As an IT intern the most essential thing for proper communication are:

 Minimum two person is required for communication.

 Should be mutual understanding for effective communication.
 Persons should be gentle, calm down & respectful.
 Proper medium of communication should be required for proper communication.

Types of communication:

Enhancing professional practices

fig: Types of communication

1 Verbal communication:
It is a type of communication that is done by producing sound, language, conversation between
two or many persons. Verbal communication may be face to face, listening to audio-video, radio,
television, listening lecture, group discussion etc. (2011-2018, 2018)

A. Oral communication: Oral communication is the communication in which we can

communicates with target audiences through our voice or oral expression via different
languages. E.g. Face to face conversation, telephonic conversation, Lectures, Speech, Group
Discussion, etc.
B. Written communication: In written communication we can communicates with peoples
through written form. E.g. Letters, Emails, Newsletters, SMS, etc. (Graduateland, 2018)

Bikash Dhakal | ISMT COLLEGE

10

2 Non-verbal communication:
It is a type of communication that is done with body language, symbols, other than verbal.

In non-verbal communication we continuously give and receive wordless signals through the
various media or signal such as body language, text message, the way we sit, eye contact,
gestures we make etc.

A. Body language: example: Gestures, Postures, Body movements, etc.

B. Sign language: example: Hand movement, Facial expressions, etc. (Anon, 2018)

On my workshop I also used this type of communication to describe subject matter I used oral
communication, power point presentation with audio and videos, symbolical body languages,
figure and graphical representation and many more.

Way of communication:
1.Formal Communication
The communication that is done with professionally in an organizational sector e.g. between a
Enhancing professional practices
CEO and a middle level manager.

2.Informal Communication
The communication that is done in daily basis between friends, relatives etc. without any formal
communication. (Study.com, 2018)

Styles of communication:
1 The Assertive Style
The assertive style of communication is one of the best style of communication. This is the most
effective and healthiest style of communication and it is born of high self-esteem. This style of
communication is condition between being too aggressive and too passive. So it is called as
sweet spot of communication. But it is the least used style of communication. (Davies, 2018)

On this type of communication person love to achieve their goals without affecting or hurting
others. They do their work own choices and take responsibility themselves. And they are
emotionally and socially expressive. Somehow, they are straight forward asking directly about
unsatisfied things and can accept the possibility of being rejected. They have medium pitch,

Bikash Dhakal | ISMT COLLEGE

speed, volume, good eye contact, relaxed, have an open posture, and don’t fidget. The main thing
is the way they communicate builds trust and the other person feels they can take them for their
words. (Clairenewton.co.za, 2018)

2 The Aggressive Style

Aggressive communication is another style of communication. It is known as unhealthy style of
communication. Aggressive Communicator is so concerned with having his or her ideas accepted
that they often do so at the expense of others and trying to protect one's own ideas and
logic(opinions). (Davies, 2018)

Communicators indirectly aggressive and sarcastic. They generally use loud voice. Sometimes
they create huge problems because of their aggressions and languages. They also may have a
sweet and innocent facial expression but people on the receiving end will feel confused,
resentful, angry and hurt. In fact, Aggressive Communicators may often appear to be quite angry.
Eye contact is often used in a way that makes it intimidating. The words used may also be quite
intimidating, and an Aggressive Communicator can go so far as to verbally abuse others.

The Aggressive Communicator will often say things like: Enhancing professional practices

 Don’t teach me.

 Your idea is wrong.
 We do it my way, or we don't do it at all. (Clairenewton.co.za, 2018)

3 The Passive-Aggressive Communication Style

It is a style in which people appear passive on outside but are actually expressing out their anger.
For example, prisoners of War often act in passive-aggressive ways in order to deal with an
overwhelming lack of power. People with this type of nature usually feel powerless and
resentful. Actually, passive communication and aggressive communication very different from
one another but in combined to create a third communication style. (Davies, 2018)

Some of the common tactics of the Passive-Aggressive Communicator are to agree with others to
their faces and then belittle them behind their backs. Sarcasm is one of the biggest tools for this
type of interaction. Passive-Aggressive Communicators may enjoy watching others fail because
things were not done their way in the first place. Back-handed compliments are another tactic
employed.

Bikash Dhakal | ISMT COLLEGE

12

 That's fine with me, but don't be surprised if someone else gets mad.
 You did a great job. No one will probably notice that mistake.
 Sure, we can do things your way. (Then mutters to self that "your way" is stupid).
(UniversalClass.com, 2018)

4 The Submissive Communication Style

The submissive communication style is about pleasing other people and avoiding conflict. They
treat the needs of other as more important than theirs. This kind of persons feel like the victim
and they refuse compliments & don’t express their desires or how they are feeling.

They are non-expressive, use a soft volume and try to make themselves as small as possible.
They use to fidget a lot and will portray submissive behaviors. People on the receiving end will
feel guilty, frustrated, exasperated, and don’t know what they want.

The submissive Communicator will often say things like:

 "Oh, it's nothing, really."

 "Oh, that's all right; I didn't want it anymore."
Enhancing professional practices
 "You choose; anything is fine." (Clairenewton.co.za, 2018)

5 The Manipulative Style

Manipulative communicators are great at influencing and controlling others for their own
benefit. This style is scheming, calculating and shrewd. This type of peoples are cunning, control
other people in an insidious way such as sulking, using fake tears, indirectly asking for their
needs to be met, and making the other person feel sorry, obliged or guilt to help them.

They can a patronizing, envious, and often high-pitched voice. The other person will be left
feeling guilty, angry, frustrated, irritated, and not sure of where to stand with them.

The submissive Communicator will often say things like:

"You are so lucky to have those chocolates, I wish I had some. I can't afford such expensive
chocolates."

"I didn't have time to buy anything, so I had to wear this dress. I just hope I don't look too awful
in it." ('Fishing' for a compliment). (Clairenewton.co.za, 2018)

Conclusion
Above I have discussed about communication skills on the basis of my event experienced. In this
two days event I have designed a detailed data about how time will be spent and allocation of
time for different topics are categorized. In this event I learned that Time Management is very
important in hosting the event or in any thing and use of various kinds of communication skills.

practices
“Time
management can be defined as a person's ability to keep things balanced in their life. It involves
the setting of realistic expectations, a willingness to say "no," and a healthy perspective for the
short-term and long-term horizon. Time management requires both discipline and flexibility. In a
nutshell, "time management" could be described as a person's willingness and ability to prioritize
things that are most important to them.” (Mindtools.com, 2018)

Proper time management is most important in order to reduce stress, live mentally and physically
healthy. Due to effective time management more work can be accomplished with less effort. It
also helps to improve decision- making ability. In this task I am going discuss about time
management skill that I used in my two days workshop event.

Ways I managed time successfully

To manage schedule effectively I had decided to use following things:

Bikash Dhakal | ISMT COLLEGE

1. Prioritizing work load

we have many types of technologies and hence we can create a training event in any of those
technologies. As per my choice, I have chosen the “Emerging Technologies” as my event. Under
this topic there was also so many topic and I have chosen some selective subject on day first and
day second as follows:

A. Day first
Following are the subject selected for first day.

 Emerging/converging technologies and 21st century manufacturing.

emergency managers, and national security experts.
 Exchange information pertinent to the identification and management of risks associated
with accelerating technology development, convergence, and advanced manufacturing.

Bikash Dhakal | ISMT COLLEGE

16

 Identify critical knowledge gaps that may hinder risk assessment, emergency
preparedness/response, and national security as we enter a period marked by rapid and, in
many ways, unprecedented changes in technology development and manufacturing.

3. Planning and scheduling tasks and activities

It is necessary to planning and scheduling task and activities for well management of event with
perfect timeline. On brief I had scheduled tasks as follows:

Day First

Task 10[P5]

Discuss the importance of team dynamics in the success and/or failure of group work.
Enhancing professional practices

Introduction:

If you work in a company, then you should work with a team. While working in team there
should be good understanding between team mates and work should be distributed equally. As I
am working in BDK IT company with other twenty people in various levels. Working with
different levels with different this amount of people is challenging task especially for an IT
officer. In team people have various ideas and views. Each individual has their own role in a
team.

Bikash Dhakal | ISMT COLLEGE

28

Team is a group of certain people formed to accomplished a same goal. In team all are in group
to solve a same problem and also to complete the task. Team can be formed in permanent basis
or in temporary form.” A group of people with full set of Enhancing professional
complementary practicesto

complete a task, job, or project is called team.” (Open.ac.uk, 2018)

The behavior of relationship between members of a team which is formed to accomplished task
and the effect of that relationship of teammate in a team is team dynamics. “Team dynamics are
the unconscious, psychological forces that influence the direction of a team’s behavior and
performance.” (Teamtechnology.co.uk, 2018)

1 Group performance is primarily based on how their leader is, if their leader is lively then
group can perform nicely than that of not active chief.
2 Group performance is primarily based on have an effect on of other crew individuals.
3 Crew can carry out nicely if there are right interpersonal abilities among team
contributors.
4 Many factors affect group dynamics, inclusive of personalities of team individuals, how
the crew operates, how the team views itself and the crew's organization.
5 Group dynamics can improve the productiveness of group.

Bikash Dhakal | ISMT COLLEGE

29

To set up an awesome team dynamics crew contributor have to have appropriate interpersonal
abilities they have to have clear purpose, desires and team must have true leader that can manual
nicely.

On this task, I’m going to discuss the different factors of team dynamics in the success of a crew
and failure of team work.

Team dynamics of BDK IT company

BDK IT company have around thirty people working in different areas. It has well managed
system from lower level to higher staff. Each staff are divided into particular gatherings and their
parts are unmistakably uncovered to them.

A) Director

Director are the main officer in BDK IT Company it controls a business. It has to do a business
with more associations so directors have to contract between many other associations to perform
a work.

B) Manager
Enhancing professional practices
Manager is person responsible for controlling a staff or organizations. In BDK IT. The manager
has to play direct role to complete the goal which they have set. Manager have role to hire staffs
in a company, provide them specific role and task to complete. It also has to communicate with
different staffs, directors. As manager have to take control over all staffs and their work so it also
has to provide training to some staff to complete task.

C) IT/ computer Administrator

In IT department, the officers have to inform their boss about the latest advancement and the
need of it to affiliation. It also periodical upkeep PC equipment and server of BDK.

D) Secretary

Secretary are person hires to provide assists.” A person employed by an individual or in an office
to assist with correspondence, make appointments, and carry out administrative tasks:” (Oxford
Dictionaries | English, 2018)

Bikash Dhakal | ISMT COLLEGE

They furthermore support Fund Division with money, bookkeeping and receivables gathering.
Consequently, collaborator helps Human Asset Division for social affair CV/resumes of new
contracting for job opening as their commitments in the BDK IT Company. So, they accept a
fundamental part in gathering movement for any affiliation. Each staff in BDK IT company have
their different role. They work in team to achieve the goal of BDK IT company from their own
level. Each induvial play their own role to accomplished that goal.

Team dynamics in the success of team work:

If there is a superb group dynamic then group can be lead in the direction of the success of the
precise intention of each member satisfaction. Numerous group dynamics factors affect the
performance of a group, how they feature.

Example:
The Manchester united soccer team depended on the teamwork and cooperation among its
strikers, teddy Sheringham and Andy Cole. As they played a suit towards another group, that
opposition crew scored an intention. Sheringham blamed Cole and Cole blamed Sheringham.
After this, the two teammates in no way spoke to each other once more. Speedy-ahead to the
Enhancing professional practices
subsequent yrs. -- 1998-1999; Cole and Sheringham continued competing at the equal team and
cooperating with every other while at the football pitch, despite now not speaking to each other.
In that season, Manchester united gained the premiership league, the fa cup and the ecu cup. One
year later, the group made 50 dreams in 19 matches and scored 97 goals for the complete season.
People on a group might not like each other in my view, but if they're able to paintings
collectively in the direction of a commonplace goal, they could help the entire group attain that
intention. (Smallbusiness.chron.com, 2018)

From above example we can see that a terrific chief resulted to the prosperity of whole crew. He
made a concept of giving facilities to the team contributors which resulted in their performance
they were given precise productivity from their team members. It became because of the leader
group got suitable prosperity and the entire group got activity satisfaction additionally.

Bikash Dhakal | ISMT COLLEGE

Team Dynamics in the failure of team work.

Team dynamics can cause failure of team additionally. Bad reference to different crew
participants, warfare, bad arguments. These are some cause for the failure of a team. Here are
some of the examples of failure of group and organization because of bad Team dynamics.

Example:
The famous team of nowadays football Real Madrid was on their difficult times at 2003-2004.
They just picked up David Beckham, including him to an already amazing lineup that protected
Roberto Carlos, Zinédine Zidane, Ronaldo and Luis Figo. But they could not turn that expertise
into fulfillment. Real Madrid came in fourth in La Liga, seven factors in the back of first-location
Valencia, they misplaced to real Zaragoza in the final of Copa del Rey and lost inside the
quarterfinals of the UEFA champions league. To place it well, it become a complete waste of
time and, greater importantly, money.

On this time that they had tough time due to the fact they could not reflect on consideration on
group significantly what team wanted, they best sold star player however they couldn’t shape
coordination between them. They misplaced to many group in these 12 months they couldn’t win
Enhancing professional practices
any trophies and their overall performance become additionally low. For the benefit of the team
we must assume significantly and from every factors what will prosper the group.

Conclusion:
Every organisation desires the team work to fulfillment either it's far a business, project or sports
activities. In conclusion, one realizes that certain team dynamics generally affect worker
productivity, and one needs powerful techniques to address them. Those encompass factors
which includes communication troubles amongst personnel, loss of cohesiveness amongst
diverse organizations, position conflicts inside businesses, and immoderate intergroup conflicts.
A lot of these elements have their particular effect on worker productiveness whereby in many
instances, they negatively have an effect on employee output. Fortunately, remedial measures
