2. Guidelines for writing a reference letter

1. Explain how you know the subject of the letter and for how long you have known her.

2. Mention the qualities of the subject that make this person stand out in the crowd.  List her
qualities and skills, preferably those that are related to the field of interest of the
applicant, or the job position etc.

3. You must give references of her experiences and competency in the said field and also
highlight her academic achievements, interaction with others, communication skills,

say about her, it is best to decline writing the letter in the first place.

5. You may also state your own qualifications so that the reader can be impressed with the

7. Ensure that you make every word count without being too brief.

8. List your contact details with a willingness to answer further questions.

9. A general rule of thumb: reference letter for a job may be one page long, and that for a

3. Template of a reference letter


1. Salutation-If you know the recipient, write ‘Dear Mr. or Ms. So and So’. Else you may
write: “To Whom It May Concern”.
2. Para 1- This contains information about how you know the candidate and for how long.
You must mention your details and why you are qualified to provide the reference letter.
3. Para 2– This should encompass details as to why the subject is qualified for the
particular position. Explain how they can contribute to the position. If needed, you may
use more than one paragraph to give these details.  Always ensure asking for the copy of
the course/job position as well as the subject’s resume so that you can be as specific in
matching the two.
4. Summarize the letter using words like “highly recommend”, or “recommend without
reservation” etc.
5. Conclusion: This should have a brief mention of how the reader can reach you again for
more information. Include a phone number/email in your return address or signature. End
the note with ‘yours sincerely’.

d. A Recommendation Letter

A recommendation letter is a written reference designed to offer information about your


character and work ethic. A recommendation letter is very helpful in the working world and may
help you to get the job of your dreams.Writing a recommendation letter for another person is a

you have a clear understanding of what the letter will be used for and who will be reading it. You

5. Inside Addres
This section contains the name of receipt of the letter, its position, and the name

6. Attention Line
An Alternative is to place the recipient of the letter.

7. Salutation
In this section, the term used is "Dear Mr./Mrs./Ms. (last name of acceptance) ",
for example" Dear Mr. Fathoni ". But if the recipient's name is not typed, write
the name of the department, for example "Dear Director of the Department of
Human Resources". Leave a distance between the opening greeting and the
contents.

Regarding making it easier for recipients to find the purpose of the letter, for
example Invitation, Apology, and so on. This is an optional part of a business
letter, meaning we can include it or not. Writing a subject using British Style:
Subject is placed between the salutation and the contents of the letter.

Content Body Letter usually contains about ourselves, the qualifications we
have, age, experience, etc.
Example:
 We should like to know whether you can offer us a special discount.
 Please let us know terms of payments.
 Would you please let us know whether you can offer us special discount
for this month.

 Closing Paragraph
Example:
 We should be pleased to receive your prompt reply.
 We look forward to receiving your reply.
 We should appreciate your prompt reply.
 We look forward to receiving your reply immediately.
 We hope you will be able to send us reply by return.

10. Complementary Close


This section is a sign that your letter has been completed, usually ending with the
writing "Sincerely", "Sincerely yours", "Thank you", and so forth. Note, There is
a comma at the end of the cover and only the first letter uses capital letters. Give a
distance of 3-4 lines between the cover with the name, which will be used later for
the signature.
