What is Embarkation?
It is the act of passengers and crew getting on a ship or aircraft.

Embarkation is the process of loading a passenger ship or an airplane with passengers


or military personnel, related to and overlapping with individual boarding on aircraft
and ships.

Boarding (Ship) Embarkation involves the boarding and stationing of passengers in


accommodation (cabins) by staff and crew members

Cruise Embarkation Process

Embarkation day is one of the most exciting times on a cruise. On most cruises, there will
be thousands of people boarding so it can be a bit nerve-wracking if it is your first time
taking a cruise vacation. Knowing what to expect during the cruise embarkation
process can help you enjoy a smooth, stress-free experience.

Cruise ship check-in process along with boarding takes approximate between 15-30
minutes, if check in process is done by online, passengers need not to stand in line and fill
up the letters for check-in, passengers can find shorter lines if they arrive towards the end
of their embarkation window. Passengers need to be aware that if they missed their
embarkation time, they won’t be allowed to board on the ship.

1. Arrival at the Cruise Terminal

Guests must arrive at the cruise terminal no later than 3 to 4 hours prior to the
scheduled embarkation time printed on their cruise documents.

2. Baggage Check-in

If a luggage is already tagged with a name and stateroom, passengers can simply
drop the bags off with a porter. Otherwise, passengers should look for a baggage
desk where they can fill their labels, tag, and check their luggage. Most cruise lines
“encourage” each passenger to limit luggage to two suitcases, each one less than 50
pounds. In addition, you can also bring carry-on luggage (more on that in a
moment).

2.1 Online check-in

Most cruise lines offer this service to give passengers a faster embarkation. If
passengers wish to use this service they need to access the cruise line`s website and
fol low their instructions.

3. Security

Security to get on cruise ships is a bit less rigorous rather than airports. Passengers
will have to go through a metal detector and carry-on luggage which will be
scanned, passengers have to make sure that they aren’t carrying any accidental
contraband. Passengers should check to cruise line policies before trying to bring an
alcoholic beverages with them.

As a safety precaution, security staff may search a passenger and/or his/her luggage
and confiscate any articles that the Company considers could risk the safety of the
passengers, crew or ship (such as arms, diving knives, boilers, irons). Onboard, staff
reserve the right to remove any beverages present in passenger`s baggage. These
will be returned the evening before disembarkation. Passengers are not permitted to
bring unpacked food on board.

4. Check-in queue

Getting to the cruise port early or late can help passengers avoid some of the longer
check-in lines. Passengers will need to present their travel documents and ID when
they get to the head of the line.

5. Picture and Keycard

Passengers will get a printed cruise key card with their picture in it. Cruise keycard
is the lifeline for passengers on the ship, serving triple duty as a boarding card, room
keycard, and credit card once they are on board the ship.

6. Boarding

Once Passengers checked-in, they should follow the signs to board the ship and
begin to cruise! Occasionally passengers may have to spend some time in a small
waiting room first.

On embarkation, passengers should do as follows (in order specified):

a) Passengers must deliver their luggage to the designed staff, who will then have it sent
directly to your stateroom. All bags should be labelled beforehand with the passenger's
name and surname, the name of the ship, the cabin number and date of port of departure.

b) Go to the check-in desk with cruise ticket and passport.

c) After the document check, passengers will normally receive a cruise card that will
be used for onboard payment of excursions, bar bills, laundry, in-cabin service, hairdresser,
beauty centre, duty-free shops, photographer and service charge.

1. Arrival at Airport Terminal:

Passengers can find their terminal number on their e-mail confirmation. The gate
number will become available at the airport at the time of check in. Passengers can
also check for the gate number on the monitors at the airport that show information
about departure and arrival times.

Passengers are expected to present at the gate at the boarding time indicated.
Passengers who report to the gate too late are not allowed onto the flight and lose
their right to transport.

2. Airports Check- in:

Airport check-in is the process whereby passengers are accepted by an airline at the
airport prior to travel. The airlines typically use service counters found at airports.
The check-in is normally handled by an airline itself or a handling agent working
on behalf of an airline. Passengers usually hand over any baggage that they do not
wish or are not allowed to carry in to the aircraft's cabin and receive a boarding
pass before they can proceed to board their aircraft.

Check-in is usually the first procedure for a passenger when arriving at an airport,
as airline regulations require passengers to check in by certain times prior to the
departure of a flight. This duration spans from 15 minutes to 2 hours depending on
the destination and airline During this process, the passenger has the ability to ask
for special accommodations such as seating preferences, inquire about flight or
destination information, accumulate frequent flyer program miles, or pay for
upgrades. The required time is sometimes written in the reservation, sometimes
written somewhere in websites, and sometimes only referred as "passengers should
allow sufficient time for check-in".

The airline check-in's main function, however, is to accept luggage that is to go in


the aircraft's cargo hold and issue boarding passes.

2.1 Passenger identity registration: At the time of check-in, one of the agent's
primary duties is to check for valid documents. This includes tickets, passports, visas,
letters of consent, and in some cases, passengers' address and contact details to comply
with immigration requirements.

Some airlines may ask passengers to present the original credit card used for payment.

2.2 Baggage registration: At the time of check-in, the passenger hands over baggage
which is checked by the airport security and may be sealed. Anything that is above
the weight limit or which is not allowed to be carried by the passenger themselves
in the aircraft cabin is usually handed over to the agent at the time of check-in.
Excess of baggage will warrant additional surcharges.

2.3 Self-service bag drop: It is a self- service where passengers can check their
baggage directly. They can scan their boarding pass and passport, and check
the bag after attaching the baggage tag.

2.4 Online check-in: It is the process in which passengers confirm their presence on a
flight via the Internet and typically print their own boarding passes. Depending on
the carrier and the specific flight, passengers may also enter details such as meal
options and baggage quantities and select their preferred seating.

3. Security check:

It includes the whole area where passengers and boarding passes are controlled
under certain security parameters before getting accepted to boarding. All
passengers have to follow the instructions for airport safety and to have a safe flight.

4. Immigration and Customs:

Crossing international borders usually involves some kind of checkpoint and since
international airports are the first point of entry to a new country, they have

checkpoints in them through which travelers must pass before they leave the airport.
Collectively, these are typically referred to as customs and immigration.

Officials at customs and immigration are checking travelers for things like whether
they have the right documents to be in the country, whether they’re legally allowed
to be there, and whether they’re bringing anything illegal with them.

Passengers have to go through customs and immigration both ways on an


international trip—when they arrive in the foreign country they’re visiting, and
again when they return to their home country from abroad.

Passengers must carry their ID, Passport, Visa and other related travel
documents with them when they present themselves for the check.

5. Departure:

The departure time refers to the time by which all passengers have boarded and the
plane leaves the gate.

After boarding pass checking is finished passengers must head to the gate assigned.
Boarding closes 10–20 minutes before departure. Late passengers would be called
by name at least twice before closing the flight. Once the flight is closed, no more
people would be entertained.
