Seven Cs of Communication

 Concise - sentences should be clear and simple, communicating one concept per
sentence.
 Complete - the communication must be complete. It should convey all facts required by
the audience.
 Clear - clarity implies emphasizing on a specific message or goal at a time, rather than
trying to achieve too much at once.
 Concrete - concrete communication implies being particular and clear rather than fuzzy
and general. Concreteness strengthens the confidence.
 Correct - correctness in communication implies that there are no grammatical errors in
communication.
 Courteous - Courtesy in message implies the message should show the sender’s
expression as well as should respect the receiver.
 Considerate - consideration implies “stepping into the shoes of others”. Effective
communication must take the audience into consideration, i.e., the audience’s
viewpoints, background, mind-set, education level, etc.

Traits in Technical Writing


 Clarity - a technical writing document needs to have a single reading that the reader can
understand.
 Conciseness - technical writing is supposed to be clear, so having a massive document
that takes time to read.
 Accessible Document Design - means the ease of which the readers can locate the
information they seek, include headings, lists of reports, or a table of contents.
 Audience Recognition - If your audience cannot understand your writing, then there will
be no way to adapt to your own writing.
 Accuracy (grammar) - accuracy refers to the truthfulness and the variety of a given
statement. It basically refers to "getting the facts straight".

Traits and 7 Cs in the Letter


 Complete – the letter is complete as it states all the important components of writing
such as who, what, when, where and why and proper structure and facts.
 Clear – the letter clearly states the purpose and strategies to overcome the problem
faced by company as an employee was tested positive and the future preventive
measures.
 Considerate – the letter shows consideration by telling the employees how to take
preventive measures and such as using sanitizers and masks etc.
 Correct – the letter is well written and well-structured with no grammatical mistakes
 Concrete – the letter is clear and concrete as it shows a clear picture of the situation at
the company with definite details, facts, and measures.
 Accessible Document Design – The letter is well written and well structured with all the
facts and figures and proper full/complete block format.
 Audience Recognition – the audience is recognized and clear i.e. employees of Softech
Solutions. The letter is directed to them clearly.
 Accuracy – the letter is accurate bearing no grammatical mistakes and to the point
statements with complete facts and clarity.
