Executive Summary

This report is assigned by honorable course teacher Piana Monsur Mindia. The goal of this
report is to analyze and find the communication process, procedures and problems of an
organization. In this report, Prothom alo is the organization that has been analyzed. Also the
main objective of this report is to relate business communication process of Prothom alo
with the text book that was studied in this course.

This report includes information that was collected through primary and secondary research.
Also an intensive survey and interview was done with the Deputy General Manager
(Accounts) of Prothom alo.

This report covers the internal communication of Prothom alo and the medium used to do
internal communication. As a media house, Prothom alo prefer informal or personal
communication to formal communication. The external communication of Prothom alo with the
medium they used to do external communication has also been discussed in this report. The
barriers of communication faced by Prothom alo have also been thoroughly discussed in this
report.

Thorough analysis and recommendation about the communication process of Prothom alo is
discussed with realistic comparison with the text book that has been studied in the class.
The report also investigates the fact that the analysis conducted has limitations. Some of the
limitations include: confidential data, time limitation and inadequate information.

Introduction:

Business communication is the sharing of information


between people within and outside the organization that is
performed for the commercial benefit of the organization. It
can also be defined as relaying of information within a
business by its people.

Every Business, even a one-person business, is actually an


economic and social system. To produce and sell goods and
services, any business must coordinate the activities of many
groups of people: Employees, Supplier, Customer, Community
Representatives and government agencies that might be involved.
These connections are achieved through communication.

The role of Communication in business:

- Communication is an essential part of the work of business.


- Employees must have good communication skills to advance professionally.
- High co-relation between communication skills and income.
- Technologies help to strengthen ones communication process and skill.
- Ability of communication with others will determine the relation with other employees.
- It is vital to build trust and teamwork among employees.

Main Categories of Business Communication:

Internal operational communications: Internal


communications is the function responsible for
effective communications among participants within
an organization. The scope of the function varies by
organization and practitioner, from producing and
delivering messages and campaigns on behalf of
management, to facilitating two-way dialogue and
developing the communication skills of the
organization's participants.

Externaloperational communication: External business
communication is any information the company distributes
to the public, either about the organization itself or their
products and services. A well-thought out communications
plan not only defines the target audience, but also focuses
on how to reach it effectively. Because the goal of external
communications is to promote the company and increase
revenue, external communications are an important part of
an overall marketing plan.

Personal Communication: Not all the communication that occurs in business is operational. In fact,
much of it is without apparent purposes as far as the operating plan of the business is concerned.
This type of communication is personal. Personal communication helps to make and sustain the
relationships upon which business depends, and it is more important for business.

Origin of the Report

This report is based on the communication process of The Daily Prothom alo, which is a
renowned Bengali newspaper of Bangladesh. It is a part of our Business Communication course,
to gather practical knowledge about Business Communication, process of Business
Communication and barriers of communication and relate them with the text book after the
completion of theoretical part of this course.

Scope of the Study

The scope of this report is the discussion of various aspects of communication process and
techniques used by “The Daily Prothom alo”to communicate inside and outside of their
organization.

Objective of the Study:

The first objective of writing this report is fulfilling the partial requirement of the
Business Communication course. The main purpose of this study is to have a
better knowledge about the communication process. In this report, I have tried
to give an overview of the communication process of “The Daily Prothom alo”
and relate them with text book.

Following are the main objectives:

 To relate the practical Business communication knowledge with the text book.
 To have a better knowledge about business communication.
 Analysis the communication process of “The Daily Prothom alo”
 To identify the problem related to our course.

Limitation of the Study:

The employees of “The Daily Prothom alo” are very co-operative but they are
too busy to complete their job duties and responsibilities. Every task has some
limitations. However few problems appeared in the way of conducting this
report. I faced some usual constraints during Primary data collection. These are
as follows:

Originated with tea plantation in 1885, TRANSCOM LIMITED today is one of the leading and
fastest growing diversified business houses in the country employing over 10000 people. Not
many industrial groups in Bangladesh can claim a history of continuous business pursuit’s
stretching back over 125 years! Initially tea later jute formed the backbone of the family
business. Although these are still parts of the activities which continuing marginally to the
overall group turnover. Presently those early industrial ventures have moved over to business
involving high-tech manufacturing, international trading and distribution, forming strong ties

The Daily ProthomAlo (Bengali: প্রথমআলোProthomAlo "First Light") is a


major daily newspaper in Bangladesh, published from Dhaka in the
Bengali language. ProthomAlo is second largest newspaper in
Bangladesh based on circulation. According to National Media Survey
2014, conducted by MRB Bangladesh; more than 4.3 million people read
the print edition of ProthomAlo every day. The online portal of
ProthomAlo is the most visited Bangladeshi and Bengali website of the
world. It started its journey on 4 November 1998.

ProthomAlo was founded on 4 November 1998. The circulation of


ProthomAlo grew from an initial circulation of 42,000 to a circulation of
a half million copies. The newspaper distinguished itself by its
investigations of acid attacks and violence against women and pushing
for tougher laws against the sale of acid. From press facilities located in
Dhaka, Chittagong and Bogra, around 5,00,000 copies (as of March
‘2014) are circulated each day. According to National Media Survey
2012, everyday 5.1 million people read the print edition of ProthomAlo.

The claimed readership of the print edition of this newspaper is 9.6 million. According to a
brand equity study conducted by Quantum Consumer Solutions Limited, ProthomAlo is
considered to be the most influential newspaper brand in Bangladesh.

The online portal of ProthomAlo (www.prothom-


alo.com) is the number 1 Bangladeshi website in the
world. This portal is accessed by 1.6 million visitors
from 200 different countries and territories across
the globe with 60 million page view per month. The
e-paper site of ProthomAlo
(www.eprothomalo.com) is also the Number 1 e-
paper Web site of Bangladesh. From 160 countries,
465 thousand visitors access this website with more
than 26 million page view per month. On an average, each of the visitors stays for 20 minutes in
this Web site. Based on Face book fan following, ProthomAlo is one of the leading corporate
houses of Bangladesh. Till November 2015, 6.75 Million people are following this newspaper
through Face book. This is the biggest FB Fan page for any organization in Bangladesh.
ProthomAlo's blog (www.prothom-aloblog.com) provides a well-moderated platform where
thousands of bloggers share their constructive thoughts on various contemporary issues.
Moreover, nearly 700 thousand of the ProthomAlo app for various digital and mobile platforms
has been downloaded as of October 2013. Altogether, printed and digital versions of
ProthomAlo are being read by 12 million people from Bangladesh and 200 other countries and
territories in a month.

Matiur Rahman has been the editor of the newspaper since its founding
in 1998.He received the Ramon Magsaysay Foundation Award for
Journalism, Literature, and Creative Communication Arts in 2005.

 Each day’s newspaper comes up with 20 to 24 pages in 6 editions. Besides, its attractive and
wide-ranging supplements have a spread of 4-24 pages daily.
 Its top news story deals either with the most important news of the day or highlights a
special or investigative report. Sometimes social incongruities are vividly displayed in
cartoons featured by the country’s leading cartoonists. Additionally, the first and the
last pages encompass a variety of other news items.
 Desh (Country) and Bishal Bangla (The Vast Bangladesh) sections focus on the cities and
countryside of Bangladesh in search of news of the joys and sorrows, the crises and
exciting events that shape up the lives of the urban and rural people. Several versions of
Bishal Bangla allow the readers to have more news of their respective regions.
 Important news, features, pictures and happenings of the capital Dhaka are placed in the
Rajdhani (Capital) pages.
 Every day Bidesh (Outside of Country) page presents a selection
of the most recent developments around the globe.
 Its editorial section informs readers about Prothom Alo’s

Important personalities are also regularly interviewed in these
pages. In letters to the editor, citizens express their opinions on
issues that affect their lives. Besides, it also publishes translated commentaries from Project

stories of achievement to the readers through Saturday's Special Report and also on other
days.

 ProthomAlo regularly organizes roundtable discussions on important national and social
issues. Many of these discussions are jointly organized with UNICEF, UNFPA, BRAC,
Action Aid and other organizations. A complete transcript of these discussions is
published with the main newspaper.

Regular Columnists:

Noted columnists regularly write columns for ProthomAlo. Writer and columnist Muhammad
Zafar Iqbal regularly contributes his column "Shadashidhe Kotha". Another writer and Deputy
Editor of ProthomAlo Anisul Hoque regularly contribute his satirical column "Godyo Cartoon".
Other regular columnists include Farukh Wasif, Syed Manzoorul Islam, A B M Musa, Syed Abul
Maqsud, Abul Momen, Abul Hayat, and Abu Ahmed.

Recognition:

ProthomAlo, under the leadership of its editor, Mr. Matiur Rahman, has been
carrying on a campaign against acid violence, drugs, HIV/AIDS, and religious
terrorism. For his contribution to this fight, the Philippines-based Ramon
Magsayy say Award Foundation has described Mr. Matiur Rahman as ‘the
guiding force in the positive changes in society and culture’ and in 2005
honored him with a Magsaysay Award, which is considered to be the 'Nobel Prize of Asia'. Mr.
Rahman donated the prize money in equal proportion to the three funds that the ProthomAlo
Trust has set up to help and support acid-burnt women, anti-drugs campaign, and persecuted
journalists.

Prothom Alo has the following powerful wings:

 ABC Radio FM 89.2: Commercial operation of ABC Radio FM 89.2 commenced from 7
January 2009. It is one of the most popular FM radio channels of Dhaka city. Besides
Dhaka, it is also being aired from Chittagong and Cox’s Bazar stations.
 Prothoma Prokashon: Prothoma Prokashon is a publication house that started its
journey from 2008. This publication house has been highly praised by different quarters
for its quality publication works. Prothoma Prokashon received awards from Bangla
Academy in 2011, 2012 and 2013.
 Prothoma Boier Dunia: Prothoma Boier Dunia or Prothoma World of Books is a book
selling outlet with five stores in Dhaka, Chittagong and Rajshahi.
 Protichinta:Protichinta is a quarterly journal on social, economical, and political issues.
 Kishor Alo: KishorAlo, a monthly magazine for the youngsters, started its journey from
October 2013. Stories, novels, poems, quizzes, magic, adventures, traveling, science,
drawing, and many other interesting features are published in this colorful monthly
magazine.
 Prothom Alo Jobs: ProthomAlo Jobs offers regular recruitment circular and solutions,
corporate training services, and career counseling.

Communication Process of Prothom alo:

Prothom alo is a media house and they work 24/7 to publish the recent news in their
newspaper. If any special event takes place such as International Cricket match, Pohela
Boishakh or any type of political unrest in the country, they work whole night to publish the
latest updates.

Internal Communication:

As prothom alo is a news portal and their main objective is to publish latest news, they
frequently have to communicate both internally and externally. They perform their
internal communication with staffs and employees of their organization.

When they need to take quick decisions or to communicate large
information quickly they perform informal communication. They also
perform informal communication based on different circumstances. Most of
their regular communications are oral and informal.They do their informal

But as a media house prothom alo prefers informal communication to formal communication,
because they get more benefits frominformal communication. The benefits they get are:

External Communication:

As a media house they need to stay connected and communicate with people outside the
organization. They perform external communication to get feedback and collect information.

target audience based on a specific situation.

 E-Mail
 Phone calls

Personal Communication:

Not all the communication that occurs in business is operational. The


employees of prothom alo also do non business related communication,
which is known as personal communication. They think that personal
communication enhances their relationship among themselves and also
improve their performances. They do meeting personally whenever
needed. Also during lunch break or any other break they talk about their
personal life to refresh their mind.

Barriers to effective communication:

Prothom alo is a media house. They providelatest news to their customers. To provide latest
news and information they have to communicate effectively. As like other organization
Prothom alo also faces some barriers while communicating. Barriers they face during
communication:

 Prothom alo uses E-mail as one of their communication medium. They send important
information via E-mail but sometimes users do not open their mail timely. This creates
barrier to their communication.
 Sometimes due to internal server problem E-mails bounces and do not reach the user.
 Sometimes letters (hard copy) are sent by postman. Often the recipient is not in the
office, so they do not get the letter in perfect time and the letters are missed
sometimes.

 As a news portal they need to collect information from remote areas and
sometimes they faces:

- Network Problem: Few remote areas are out of telecommunication network


coverage. As a result important information is not received timely. This
creates problem.
- Difficulty in understanding unfamiliar accents: Bengali language has different
accents in different areas. This is difficult to understand for the news collectors.
- Cultural difference: The cultures of some areas are totally different from the
culture of other areas, which creates problem in data collections.

Research Methodology:

The study is performed based on the information extracted from different sources collected by
using specific methodology. Data have been collected from both primary and secondary
sources. Based on our topic, most of the information has been collected through secondary
sources like company websites and online articles. Important information has been collected
through primary sources by survey and interview. Survey has been done by making both open
end and close end questionnaire.In addition, some information is collected through personal
interviewing the deputy general manager of prothom alo and collected information.
Throughout this research we have collected some information which was not available in
secondary data. They also provided us some confidential data. As one of our group
member’suncleis the general manager of Transcom Limited, it was easy for us to accumulate
important information.

Analysis:

 Internal operational communication is all the communicating that is done in
conducting work within a business. It is vital for business success. In our analysis we
have found that they do their internal communication with their employees and staffs.
They perform their internal communication through letter, mail, notice board and
desktop notification. Here we have seen everything related to our text book except
desktop notification. Desktop notification is a process by which they send instant
massages to their employees via desktop. By which they can communicate quickly.

 External operational communication is all the work related communicating that


is done outside the business. Prothom alo has to constantly stay up to date with their
information, so they frequently have to communicate with their external parties. Most
of the information that we got from prothom alo is related to the text book.

 Personal communication is non business related exchange of information and


feelings among people. Employees of prothom alo frequently do personal
communication. They do personal communication to build up their bonding and
relationship which is beneficial for internal communication.

 They prefer informal communication to formal communication because they


have to provide latest information to their audience. It takes much time to perform
formal communication. Most of their communication is based on informal
communication.

 In the text book the communication barrier was related to listening. However
from our primary research we have found that most of their communication barriers
are not related to the text book.

Recommendation:

As a media house, Prothom alo is a successful business and they carry their communication
effectively and efficiently. However, like every organization they are also not perfect in every
aspect of communication and need to improve their communication process in some areas.
Prothom alo needs to improve their internal server which will reduce the rate of E-mail bounce.
Every employee should check their E-mail daily including the spam and junk section. Because
sometime unknown mails are marked as spam and stays in the spam section. By checking e-
mail and spam section daily, employees can avoid missing important information. If letters are
sent by postman and the recipient is not in the office, then the sender should send an instant
message or phone call to the recipient. This will reduce the communication gap.

Conclusion:

Prothom Alo is a major daily newspaper in Bangladesh, published from Dhaka in the
Bengalilanguage. Prothom Alo is considered as the largest & most popular newspaper in
Bangladesh based on circulation and readership. It started its journey from 4 November 1998.
MatiurRahman is the publisher and editor of Prothom Alo. Transcom Limited group is the
owner of Prothom Alo newspaper. They work 24/7 to provide latest and updated information.
The online portal of prothom alo is the most visited Bangladeshi and Bengali website of the
world, which shows that they are very much efficient in communicating. Depending on the
receiver they choose their communication medium. To conclude we can say The Daily Prothom
alo is very much efficient in communication and their communication process is up to dated.
They use all latest technologies and software to communicate both internally and externally.
