We are looking for a Special Events Planner - Intern to work part-time, approximately 16 hours a week
for 12 weeks. The Special Events Planner - Intern will provide support in the areas of planning and
logistics for B2B trade shows, conferences and special events. This is a paid internship.

The primary responsibilities of the Special Events Planner, Intern will include, but are not limited to, the
following:
 Extensive internet research as it relates to hotel and venue sites, basic comparative cost and price
analysis of properties, vendors, and/or products researched
 Research and analysis of promotional item trends within budget(s) provided and executing
according to campaign objectives
 Coordinating services with suppliers, including but not limited to transportation, hotel allotments
and meeting space, restaurants, catering companies and various others as needed
 Creation/management of RSVP lists, load lists, badge lists, etc.
 Assist with on-site coordination (minimal travel required)
 Pickup and delivery of products for events
 Attend meetings with internal team as needed
 Assist with client communication via email, phone and letters
 Various related projects as needed

Qualifications
Qualified applicants for the Special Events Planner, Intern will meet the minimum requirements as listed
below:
 Must be a current college/university student in pursuit of Bachelor’s Degree or currently
pursuing meeting planning course load.
 Robust volunteer experience in meeting planning and/or event coordination highly desired.
 Excellent verbal and written communication skills.
 Computer literacy with proficiency in MS Office; primarily Excel and PowerPoint.
 Excellent time management skills expected - ability to handle multiple projects simultaneously.
 Meticulous attention to detail.
 Motivated self-starter with strong work ethic and the ability to exercise good judgment.
 Strong interpersonal skills with the ability to interact with personnel at all levels in a team
environment.
 Ability to work independently and as a team.
