Using MS Project Online (Project Web App)

Project Web App (PWA) is what we will use for creating and editing MS Project files
through an internet browser.

Access
The Project Web App cannot be accessed through the typical Office 365 site.
From your internet browser, navigate to
https://hawaiioimt.sharepoint.com/sites/dot-hwy-ms_project

If you haven’t already logged in to your Microsoft account, please do so.

The opening screen should be similar to the following without the top row of green tiles:

Creating/Saving a New File Online
Click on the Projects tile.

All files you already have will appear in the Project Center. To create a new project,
click on the Projects tab at the top.

Click on New and choose the appropriate type of project to create. Choosing In Project
Professional will open the desktop version of MS Project. To create on online file
similar to the desktop version of Project, select Enterprise Project..

A screen titled Create a new project will appear. Type in the file name, description, start
date and choose the Owner. The start date can be selected from the calendar by
clicking on the calendar to the right. Note, only the one person can be listed as the
owner will be able to see the file. The owner’s email address may be typed in or the
owner can be selected from the list that appears by clicking on browse.

Click on finish to create the project.


The new file will open and be ready for editing.

Once done, on the TASK tab, click on Save to save any changes then click on Publish
so that the newly saved file will be available online. Finally, click on Close to finish
editing.

This will pop up another window asking about saving and checking the file in.

Check the file back in and ok to truly close. It is important to check the file back in
when done editing. If the file is kept checked out, it will not be available to be opened
again from a different location.

Opening/Editing a File Residing Online
When returning to PWA, to open a project previously published, highlight the project
then click on Open and choose the appropriate option.

Saving a PWA File to mpp Format
The desktop MS Project will be needed to save a PSA file to mpp format. Open the
PWA file as indicated in Opening/Editing a File Residing Online section making sure to
choose the “In Microsoft Project for Editing” option.
Allow Project to open when asked:

If comfortable, click on Yes to allow file to open:

Once in the desktop Project, click on File, Save As, and navigate to any location
besides the Project Web App.

Select what you’d like the mpp file to include and click OK.

Navigate to the file location. Change the Save as type to “Project (*.mpp), type in/edit
the file name and click Save.

Saving a File Created on the Desktop to PWA
To publish a file from the desktop version to PWA, the file will need to be opened in the
desktop version of Project. When opening the desktop version, select the profile as
shown below:

If the HawaiiOIMT profile does not appear, open Project using the Computer profile and
open a Blank Project. Once a project has been opened, click on File, then Info, then
Manage Accounts.

From the Project Web App Accounts, click on Add. In the Account Properties dialog,
type in
Account Name: https://hawaiioimt.sharepoint
Project Server URL: https://hawaiioimt.sharepoint.com/sites/dot-hwy-ms_project

Accept changes and exit Project. Reopen the desktop Project. There should now be
the option of logging in with the hawaiioimt.sharepoint profile. This will need to be used
for interacting with the online Project Web App (PWA). Although it is possible to switch
profiles once desktop Project is opened, there appears to be a glitch that it will only
recognize the profile selected when opening the program.

Once in Project (desktop) with the HawaiiOIMT.sharepoint profile., open the desktop
Project file. Once open, click on File and Choose Save As.

Select Project Web App as the location, check to Use Import Wizard then click on Save.

If there are resources to map do so and validate them, if not continue:

Similarly map fields as necessary and continue or go back:

Click to save to Project Web App, fill in the appropriate data, then close.

At
this

point, the file is “saved” to


the Sharepoint site but not
visible in project listings.
Next, we need to publish it so it can be accessed.
Click on File like before.

Choose Info and Publish Project Progress.

The project should now be visible from PWA.

Saving, Publishing, and Checking in a PWA File
Regardless of method used to edit your file, the file needs to be:
1. Saved
2. Published
3. Checked in
Saving is like other Office products.
Publishing will have the changes appear on the Sharepoint site. For more information,
see page 4 for Project Online and page 13 for the desktop app.
Although already covered in the Creating/Saving a New File Online section, checking in
the PWA file is an important topic so it is mentioned here again. After opening and
editing an online file, when closing the file, the user will be prompted to Check In the file.

It is a good practice to check the file in. If the file is kept checked out, it will prevent it
from being used from other locations.

Renaming an Online File
Only files created in PWA can be renamed in PWA. From the list of projects that
appear on the Projects tab, click on the project ID to highlight the project then click on
Open and select In Broser for Editing.

Select Project Details on the left then type in a new name. Click on Save and Close to
enact name change.

Check in the file. The new name should show in the project listings.

Deleting an Online File


Should a file be deemed unnecessary, please contact HWY-EE to have it deleted.
Users do not have the ability to delete files on their own.
