Reply to the letter of performance appraisal & further employment status of my job, dated 30
January 2014

Sir,
This is strictly a request with reference to the above mentioned letter by GM, and this letter
contains humble opinions from my side for the betterment for the sale of this organisation also
to improve the organizational activities. I have reached in this vision with my three months
experience through intensive interactions with dealers in the districts of Ernakulam, Idukki,
Thrissur, Alappuzha, Kollam, Malappuram and Palakkad.
The details have been following...
First of all let me express it as an electrical shock, reached to me, when I receive such a letter in
this short span of time, about my activities. Main shocking part is that the GM who has issued
the letter consisting the company’s complete controls and he involves in everybody’s
everyday’s business for sure. Without his involvement nothing will happen especially in the
sales and financial matters. So, let me keep it in short, all the sales I did and issues happened
through that, came with the knowledge of him only.

Joining in this company


While joining in this company, my assignment was to sell 25-100 containers per month as
mentioned in the offer letter. But till now only 18 containers have reached the port for sale. So
whatever it may be, according to the offer letter calculation, the minimum earnings would have
been 1’07’500/- (One Lakh seven Thousand and Five Hundred only) for a month. It would be
three times or more for three months now.
This offer found attractive for me so, I have joined in this organisation on September 23rd 2013
as Marketing Manager for Kerala, though there was no field marketing staff I did the initial
marketing survey in Ernakulam about the dealers and their brands dealing with.
While waiting for the shipment to come for sale and with the existing stock in the meanwhile
I have completed the drafting of website contents and dealership application forms for printing
As Ernakulam market found congested and highly competitive, I have moved to suburban cities
to check the status. But found a demand of quality tiles for selling in such rural area segments.
Some of them are new comers and others don’t have quality products in their shelf. So they
welcomed our products, but in credit. I was unable to take a decision alone about the price and
credit facility, so I have the only option to go with GM to finalise the deals between the
company and the clients.

The price has been fixed upon the discussion with the GM and the dealers, dealership
appointment has been done stocks have been delivered; the initial payment also has come to
the bank account. Till this point everything was alright, but by the end of December 2013 the
payment got completely stuck from the dealers. The reason was due to less movement of our
products and the market was dull for two months. So I have put up an option to take back the
dead stocks from the dealers to GM and agreed after getting the approval from MD, we took
back the stocks and moved to different locations for better options.

Still some payments are pending with some dealers and some of them are being very crucial in
our accounts, this has to be rectified and GM offered me whole hearted support for collecting
this debts from the market, I need GM’s support in these existing outstanding because all these
deals finalised by him in person.

Assumptions and clarifications


However this is the scenario I have received a letter from GM to show the causes for few
mentioned below….

Assumption-1, Failed to accomplish the assigned duties and responsibilities


Clarification: There nothing assigned to me other than verbal instructions to find the dealers, all
the roles and responsibilities was kept with GM alone.
Assumption-2, Specifically applied for the post of Asst. Sales manager
Clarification: Fortunately in my career I never worked as any Assistant posts any where, then
why should I here, I might have mentioned ASM which means Area Sales Manager for Kerala,
which would have wrongly understood as assistant sales manager.It is insane to think as an
assistant sales manager in a propriotory firm after gaining the marketing experience of a
decade.
Clarification : It was my privilege to accept this offer with a nominal salary and un confirmed
variables
Assumption-3, Happy to hear the admittance that the company was not in full swing and I
found it remains still
Clarification: My ID proofs and address proofs are already with the company, while joining
everything have been submitted, when I leave the company must get back those documents
without any damage.
My needs and humble requests

1, My territory should be all Kerala (Including Malappuram)


2, To gather the information about the dealers, require two frontline sales executives
3, For the products presentation fixing the price and deals, I will go personally to the dealer’s
place along with the executives
4, The dealesrship appointments and payment terms has to be fixed by GM which I finalise and
short listed counters considering their merits and subsequent documents submitted. Further
responsibilities related to financial has to be completely at company’s scope
5, Once the dealer is appointed further follow-ups and random visits can be done
6, Whatever is my target the imported goods will be sold within three months till 15 container
7, There should not be any freelancers appointed for marketing our products neither wholesale
nor projects, because it will spoil the brand name.
8, Whenever company wanted to terminate me, inform me one month in advance, because I
want to search for another job for me and to feed my family.
9, If I want to continue, the company has to hike my salary minimum as INR. 35,000/- (Thirtyfive
Thousand only) The salary structure is enclosed with this letter.
10, My commition also has to be reworked, from .5% to 1%; the details of commission structure
also has been attached with slary structure sheet

Thank you for the opportunity to work in this organisation and greatful for the supports given in
this short span of time.

Works accomplished in this period


1, Website for Q-Nineth Ceramics done (Write ups made, given guidelines for designing etc.)
2, Website for Vitrofied has done (Write ups made, given guidelines for designing etc.)
3, Dealership application has been prepared (Entire matter has been prepared for printing)
4, Business cards redesigned and printed
5, Visited more than 100 dealers and short listed around 20 Nos.
6, Approached major distributors to attach our products in the supply chain
7, Approached wholesale business people to do our products sale
8, Contacted major hotel group for supplying tiles needs for the expansion
9, Approached KOMET for their tiling requirements
10, Could worked for dealership appointments and gained 11 dealers till now.

Salary Opinion and calculations
This calculation just an indication to the calculation of the salary attractive for the employment
and to increase productivity and organizational improvement. You may consider with actual
financials before approving this.

Basic Salary: 35’000/- Per Month + TA, DA, Lodging and other expenses at actual
basis for Three months
Target: Minimum 5 CTR (Up to 5 CTR not eligible for any incentives or commissions, if target is
not achieved dues will be carry forwarded to next month)

Commission Structure
Above 5 CTRs to 20 CTRs commissions will be @1% of the total revenue excluding taxes and
transportation paid. Above 20 CTRs .5% of the total sale
