Monique Odom, Director

Employee Name

Dear _____________________,

This letter is to advise you that as an employee of Metropolitan Government of Nashville & Davidson
County’s Parks and Recreation Department, you were overpaid when awarded the recent Hazard
Pay Bonus. The intended payment was for $3.13 for each eligible hour that you worked performing
duties that met the specific hazard pay criteria. These hours represented a percentage of your hours
worked during the eligible period. Instead, you were paid and received the bonus payment of $3.13
for all hours worked during the program period. This error resulted in the overpayment. You
received gross hazard pay of $___________. You were eligible to receive ____ % of that gross amount.
The overpayment of this federally funded bonus was through no fault of your own. However, it is
an error and unfortunately, you are not entitled to keep the overpaid amount. Metropolitan
Government of Nashville & Davidson County must reclaim this overpayment. The difference, net of
taxes, must be repaid.
To achieve the repayment and lessen the financial impact, Parks has worked with Metro Finance
and has developed a repayment process that will result in equal instalments that will be deducted
over an extended period of time. The final calculations of the net difference to be repaid and the
exact period will be communicated to you over the coming weeks. The amount that will be deducted
from your gross pay each pay period will be communicated before any initial deduction takes place.
An option of a lump sum payment is will also be available to you.
Please note that work hours and time accruals will not be impacted by this repayment process. If
your employment with the Parks department ends for any reason and the full amount of this
overpayment has not been repaid, the remaining balance of the overpayment will be deducted from
your final paycheck.
Metro Government of Nashville and Davidson County fully realizes the difficulty that this could
cause and regrets the inconvenience created by this error.
Further details will be provided to you as they are received by Metro Parks and Recreation. If you
have any concerns regarding this matter, please contact Aaron Shelton, HR Administrator
at 615-862-8400 ext. 72929.

Sincerely,

Monique N. Odom, MPA, CMFO
