Proceedings

Meeting called to order at 2.30pm by Mr. Kelvin Teoh. The purpose of meeting was to have
frequent meetings in future to discuss the happenings in the company.
1. Proper filing system for respective department (filing according to index) for easier
reference
Mr. Kelvin mentioned the filing systems prior implementation of ISO 9001:2015 which is about to
set next year. He mentioned that proper filing is necessary when another person wants to access
the files.
2. Document outlining individual job description (which needs to be emailed to Ms. Fong)
Mr. Kelvin asserts that all staffs should outline their job description and email it to Ms. Fong for
rereviewing of jobs descriptions and so that this might help to distribute the tasks evenly.
3. Reporting of every department
Every department needs to come up with their respective checklists which will be discussed in
future meetings. Also, the monthly report will be generated using the checklist as guidance when
preparing the report.
4. SOP/flowchart to synchronization of packaging
SOP to stick labels to end products was discussed to synchronize the labels position on end
products. Also, SOPs for proper packing using shrink wrapping was suggested to be continued to
prevent spillage to repeat in future.
5. Enhancing usage of emails within departments
Usage of emails is encouraged for better communication. Also, it acts as evidence so that it doesn’t
gets lost in daily communication.
6. Wastage of returns
Methods to reduce wastage on returns of products due to colour quality, dents on products and so
on was discussed.

The meeting adjourned at 3.30 pm. The next meeting date was decided on 18 December 2020
(Friday).
