Please find enclosed our detailed proposal for your kind consideration.

We believe that each client is unique and so we take a unique approach to each brief. In this case we
have noted and analysed your requirements as well as undertaking a thorough review of the site
including a feasibility analysis and a detailed costing and modelling of the whole project. Drawing
on our long experience in this area, we have come up with a solution to your exact specifications by
fusing form and function to create the ideal space for you. In practical terms we have also identified
and outlined key strategic milestones in the life of the project to ensure a smooth completion as well
as accountability throughout all stages of the build and compliance with all local and national laws
and regulations.

THE PROJECT
To provide Architectural Design consultancy service for the completion of 4000sq. ft. of Residence
villa.

SECTION 1 : ARCHITECUTRAL SCOPE OF SERVICES

Schematic Design
To produce design concept plans and sketches for key areas of the Project.

Design development
After approval of the concept plans and sketches, the scheme will be developed into design
elevation drawings, floor plan layouts and basic sections.

Construction drawings
After approval of the design concept and development, produce the necessary construction details,
specifications and for the contractor.

Tender
Issue the Construction Drawing, Specifications, Schedules and Bill of Quantities to selected
Contractors of costing

Site inspection
To co-ordinate with the contractor and suppliers on-site, to ensure that the work are completed
correctly with the specified materials to the required standard

SECTION 2 : PROFESSIONAL SERVICES


Schematic design phase
• Taking the client's instruction and analysing the project brief
• Research about the site conditions, local Codes and customs project programmes, and thereby
preliminary plans, elevations sections.
• Preparation and presentation to clients, documents illustrating about the idea
• Preparation of photographic imagery and sketches.
• Presentation to Owner/ Developer and Operator's of all schematic phase documentation for
review
and approval or modification, as required
Design development phase
• To develop sketches/ 3d renders to give basic idea of the project
• To prepare layout/ basic drawings for understanding the project in context with site.
• After the approval on basic layouts, preparation of construction drawings
• Establish design schedule in accordance with the project delivery and design development

Construction development phase


• Development of the approved design development phase documents to establish the final scope,
relationship form, size, details, material.
• Development of the working drawings , Specifications, Schedules and Bill of Quantities
• Working drawings will be in 1:100, 1:50, 1:25, 1:10 scale, as determined necessary.
• Periodic site visits and report to confirm executions of works are in accordance with contract
documents.

SECTION 3 : ADDITIONAL SERVICES


If the client authorize any additional services, than they shall be paid by the clients
• Providing services of outside professional consultants, such as landscaping, lighting design or
desigining water bodies
• Making revisions to drawings, specifications or other documents when such revisions are in
confliction with written approvals ( example- making major design element or area which were
not marked within this phase)
• Providing services made necessary by the default of the contractor , major defects or deficiencies
in the work of contractor or failure of performance of either client or contractor
• Providing any other services not specifically mentioned in this agreement

PAYMENT TERMS
Our professional fee for seeing the project through from start to completion will be
7.5% of the total cost which is 4,50,000
STAGES PERCENTAGE AMOUNT IN
RS.

1. On appointment/signing of agreement/ acceptance offer 10% 45000/-

2. On submission of conceptual design 20% 90,000/-

3. On submission of required preliminary schemes 25% 1,12,500/-

4. Upon preparations of working drawings, specifications and 25% 1,12,500/-


schedule of quantities
5. After receiving tenders and advising clients for contractors 10% 45000/-

6. After completion of project 10% 45000/-

Total 4,50,000/-

PAYMENT SCHEDULE
Professional services will be invoiced at the end of each stage based upon the percentage or pro-rata
of percentage of work completed. Each phase of week wall requires approval in writing and
payment in full by the Client prior to commencement of wok on the subsequent phases. Invoices
shall be due and payable by the Client within 30 days of date of invoice.

*This lump sum fee is not inclusive of service tax where applicable which shall be borne by the
Client.

*This proposal shall remain open for sixty day and is withdrawn if not accepted within that period.

TERMS AND CONDITIONS

The Client shall:


• Advise the Architect of the requirements and of any subsequent changes required
• Shall supply timely, without charge, all necessary and relevant information in the possession of
the Client or any of the Client’s Agents, consultants or contractors
• Give decisions and all necessary instructions, consents or approvals necessary for the
performance of the Services.
• We normally ask for staged sign offs during the design stage of the project, at least.
• The Architect shall rely on such information provided by the Client as above and shall not be
liable for the consequences of any delays to the services arising from any failure by the Client
to comply with these obligations.
• Appoint consultants to provide specialist services on aspects of the project as agreed with the
architect.
• Instruct appointed consultants to cooperate with the architect, and give the him/her the
authority to instruct appointed consultants. Any delay in payment of fees can and is likely to
result in a delay to the flow of information on projects. We reserve the right not to move onto a
subsequent stage of a project where fees for previous work stages are outstanding.
• Hold the contractor or contractors responsible for the proper carrying out and completion of
construction works and for health and safety provisions on the site. It is expected that
contractors/builders appointed will be competent members of their profession.
• Pay the architectural professional within 15 (fifteen) days of presentation of their invoice.

The Architect shall:


• Use reasonable care, skill, and diligence in performing their duties, and act in accordance with
the Code of Professional Conduct of the Council of Architecture.
• Design the building(s) to comply with building regulations, and all other relevant legislation.
• Act fairly and objectively in terms of the applicable building contract.
• Not exceed the scope of authority given to them as the client's agent in terms of this agreement
and the contract between the client and the contractor.
• Examine shop drawings and/or approve samples, equipment, materials, or workmanship as a
precautionary measure. This does not relieve the contractor or subcontractors of their contractual
responsibilities in this regard.
• Inspect the works from time to time to inform the contractor of an acceptable standard of the
work.
• Use their knowledge and expertise to produce designs that meet the client's needs within the
agreed budget limitations
• These inspections will be reasonable routine visual inspections for self-evident defects. The
inspections do not imply that all elements have been installed to perfection, or that materials and
workmanship comply with the specifications in every detail.
• Advise the client of risks or additional costs that may result from the client's instructions and/or
requirements.
• Only make changes to the approved design during construction without the consent of the client, in case of
an emergency or necessity and shall inform the client as soon as possible of these changes.
• Not be responsible for the financial viability of the project.

The Architect shall not be responsible for:


• Any material, component, system, specialist design, or workmanship not performing in
accordance with the claims of the manufacturers, suppliers, contractors or subcontractors.
• Patent or concealed defects, but will assist the client in identifying such defects.
• The services provided by, or performance of other consultants and third parties, or any consequences
thereof, or for fees due to them.
• Delays due to reasons outside of the architect’s control.

Responsibility of Contractor
• Plan important project development and implementation in advance.
• Determination and estimation of various issues in the project such as needed materials, equipment.
• Anticipation of any potential modification in the project.
• Making sure that health and safety specifications are followed.
• Practicing excellent communication between all parties involved in the construction such as client and
subcontractors.
• Determine legal and regulatory requirements
• Main contractor is responsible to find and hire right subcontractors and individuals to complete the job.

• Manage generated waste
• Submit bills based on terms of contract documents.
• Monitor project in terms of time schedule, safety, work quality, and other project-related details as
specified in the project contract.
• Review, modify, and update the project prgramme dependent on latest changes and feedback.
• Making sure the project is in compliance with all the necessary legal and regulatory issues.
• Guarantee viable safety policy to ensure health and safety in the workplace. This may involve risk
management strategies, emergency response system, and other preventive means for construction site
safety.
• Make sure that all individual at construction site utilize safety equipment.
• Provide safety awareness to workers.

Client Acceptance
• You may accept this offer within 30 days after the date of this letter by:
1. Giving me written notice that you accept my offer
2. Returning a signed copy of this letter to me by email
