The Board reviewed and approved the meeting minutes from the October meeting. 4. There was next a discussion of Deerfield’s Financials a. Cash Balances b. Arrears i. Unit 4-4 new owner didn’t receive common charge bill ii. Unit 8-5 late on HOA Fees 1. FMG to follow-up iii. Unit 5-3 late on HOA fees 1. FMG to follow-up c. Payables d. Tax Certiorari i. Lillian spoke with tax attorney on 11/12 ii. Money won’t be received until next year 5. Legal a. Unit 6-2 (Klotz) – Lillian gave letter to FMG / FMG to follow-up with letter (Joe to speak with Robert) 6. Administration a. Certificate of Change – Lillian signed b. Annual meeting to be held on January 28, 2020 at Claremont School c. Potential By-law changes – Lillian provided handout of previously proposed changes, including staggered Board terms. Board discussed i. Jason to provide updated language for #5 of proposed by-law changes d. Donation o/b/o Victor Errico – approved 7. Unit Owner/Resident Issues a. 6-6 – walkway steps – Joe inspected, one slate piece on the step is loose, Joe will speak to Errico to have it addressed b. 122 Whitetail Circle – leak over door – Joe visited, needs access to understand issue, sent note requesting access c. 121 Whitetail Circle – tree removal – Board reviewed Errico Proposal ($1,600) and approved it d. 81 Deerfield – exterior pipe insulation issue – Blaha says Deerfield responsible but we can go into unit to do so to get entry into wall i. FMG to speak with owner e. 126 Whitetail Circle – shattered glass – FMG will look to see if addressed f. 124 Whitetail Circle – paint on rear lawn – Owner spoke with Joe, very nice and understands issue and will not do so again 8. Repairs and Maintenance a. Pyramid Painters i. Status of Unit 5-1 – Joey said work is okay ii. FMG to see if painted under decks with issues iii. FMG to get proposal from alternate painter for Spring work b. Ryan plumbing – awaiting info on building water shutoff valves c. Gutter cleaning discussed d. Street signs – FMG to confirm Errico fixed down sign e. Pump station fence – FMG will revisit subject with the Town f. Tri-level steps Deerfield Lane – Gomes expects to begin work in December g. Rail post fence repairs – discussed next steps 9. Future Projects a. Retention pond – FMG to get estimates b. Road replacement estimates – FMG to get estimates c.
