Microsoft Excel is a spreadsheet program that comes packaged with the Microsoft
Office family of software products. Just like the other programs by Microsoft, Excel can be
used for a wide variety of purposes such as creating an address book, grocery lists, tracking
expenses, creating invoices and bills, accounting, balancing checkbooks and other financial
accounts, as well as any other purpose that requires a spreadsheet or table.
Excel is much more than a basic spreadsheet program. It gives you the complex tools
and features you need to design professional spreadsheets, but all with just a few clicks of the
mouse.

The good news is that Excel makes everything easy. By learning how to navigate the
program, and where to find each feature, operating Excel can become a breeze!

You can use Excel to:


 Organize, sort and record data;
 Enter in text and mathematical data;
 Keep statistics
 Keep records;
 Create mathematical equations and functions to accurately keep records,
statistics and data.

Getting Started in Microsoft Excel

Running Excel is not different from running any other Windows program. If you are
running Windows with a GUI like (Windows XP, Vista, and 7) follow the following steps.
 Click on start menu
 Point to all programs
 Point to Microsoft Excel
 Click on Microsoft Excel

Follow the following steps below to run Excel on Windows 8.1.

 Click on start menu


 Search for Excel even before you even typing, all programs starting with what you have
typed will be listed.
 Click on Microsoft Excel

Exploring the Excel 2013 Interface

When you open Excel 2013 for the first time, the Excel Start Screen will appear. From
here, you'll be able to create a new workbook, choose a template, and access your recently
edited workbooks.

 From the Excel Start Screen, locate and select Blank workbook to access the Excel
interface.
1. Quick Access Toolbar - Located just above the Ribbon, the Quick Access toolbar lets you
access common commands no matter which tab is selected. By default, it includes the Save,
Undo, and Repeat commands. You can add other commands depending on your preference.

2. Title Bar - The title bar displays both the name of the application and the name of the
spreadsheet.

3. Minimize, Restore and Close Buttons – It minimizes/maximizes, restores and closes the
MS Excel application.

4. Ribbon – It contains commands organized in three components:


 Tabs − They appear across the top of the Ribbon and contain groups of related
commands. Home, Insert, Page Layout are the examples of ribbon tabs.
 Groups − They organize related commands; each group name appears below the
group on the Ribbon. For example, group of commands related to fonts or group of
commands related to alignment etc.
 Commands − Commands appear within each group as mentioned above.

5. Name Box – It displays the location, or name of a selected cell.

6. Formula Bar – In the formula bar, you can enter or edit data, formula, or a function that will
appear in a specific cell.

7. Active Cell - It is also referred to as a cell pointer or selected cell.

8. Cell – It is a rectangular box that occurs at the intersection of a vertical column and a
horizontal row in a worksheet.

9. Column – It is a group of cells that runs from the top of the page to the bottom. In Excel,
columns are identified by letters.

10. Row – It is a group of cells that runs from the left of the page to the right. In excel, rows
are identified by numbers.

11. Worksheets – Excel files are called workbooks. Each workbook holds one or more
worksheets. Click the tabs to switch between them, or right-click for more options.

12. Worksheet View Options – There are three ways to view a worksheet. Simply click a
command to select the desired view.

13. Vertical and Horizontal Scroll Bars – The scroll bars allow you to scroll up and down or
side to side. To do this, click and drag the vertical and horizontal scroll bar.

14. Zoom Control – Click and drag the slider to use the zoom control. The number to the right
of the slider reflects the zoom percentage.

Important Excel Shortcuts

Ctrl + P used to open the print dialogue window

Ctrl + N creates a new workbook

Ctrl + S saves the current workbook

Ctrl + C copy contents of current select

Ctrl + V paste data from the clipboard

Shift + F3 displays the function insert dialog window

Shift + F11 creates a new worksheet

F2 check formula and cell range covered
