TERMS AND CONDITIONS FOR STUDENT EXCHANGE-2010

This is further to your selection in the exchange programme scheduled for the fifth term. Please note the following:

1. You are expected to register for graduate level courses at the host Institute/University. You cannot register for core
courses/language courses/undergraduate courses/courses already completed at IIMB.
2. You must register for a full course load – a minimum of 150 class contact hours (minimum of 20 ECTS) - at the host
Institute/University. If you are in doubt about the courses/contact hours, get it resolved before the commencement of the VI
Term. You need to send Part A of the course registration form (attached) to the PGP office at IIMB within one week from
the commencement of the term at the partner Institute/ University. The form must be signed by the Exchange Coordinator at
the host Institute/University. If you are sending this by e-mail, please request the Exchange Coordinator to mail it to
pgpoffic@iimb.ernet.in
3. You can take only one CCS-type course. (not exceeding 5/7.5 ECTS)
4. You must complete all the academic requirements for courses taken by you before leaving the host Institute/University.
Please submit Part B of the course registration form (attached) duly filled and signed by the exchange coordinator to the PGP
office at IIMB. You can have this sent by e-mail as well.
5. You are required to obtain a passing grade at the minimum in each course taken at the host institute in order to maintain
your overall academic standing at IIMB. If you get an `F’ (Fail) grade in a course, you will be asked to take courses at IIMB
in the next academic year and will not be awarded the Diploma till completion of academic requirements.
6. You are required to register for Term VI at IIMB on December 11th. 2010. In case this is not possible, please get the
approval from the Chairperson-PGP before leaving India.
7. Please note that you will not get any attendance waiver either in the IV or VI Term in case you have to leave early or
arrive late. The missed attendance will have to come from within the 25% allowance available in the specific courses you
have taken in Terms IV/VI.
8. Please make sure that you have the appropriate visa for your travel and stay at the host Institute/University.
9. You must arrange to obtain sufficient medical insurance to cover your travel and stay abroad.
10. You are requested to make a presentation on IIMB at the host institute. Please contact the SEP Office in case you wish to
carry promotional material.
11. The responsibility of getting the Grade Sheet from the host Institute/University lies entirely with you. You need to
make all the efforts to obtain the Grade Sheets well in time, latest by 1st March 2011. Your participation in Convocation
2011 depends upon the arrival of exchange term grades in time for calculation of final CGPA for Term VI and your
successful completion of the academic requirements at the host university.
12. The grades obtained during exchange term at the host Institute / University are not used for calculating the CGPA
or Rank at IIMB. The grade sheet from the host Institute/ University is just attached to the IIMB grade sheets to indicate your
completion of the minimum academic requirements during the exchange term.
13. You are expected to take adequate care of your health. You are also expected to take adequate precautions against
injuries, accidents and mishaps. It is understood that IIMB cannot be held responsible for any accidents, injury or ill health
you experience during your stay abroad and that you have sufficient travel and health insurance cover for any unforeseen
eventualities.
14. You are expected to behave and conduct yourself in a manner that upholds the dignity and respect of IIMB and
India.
15. Make sure that all exams that you appear for as part of the exchange term at the host institution have the
approval of the Office of International Affairs (OIA) at the host institution. Insist that the question paper be sent by their
OIA to IIMB, if you are taking the exam here. These steps are necessary to ensure that the grades that you obtain are part of
the official grade transcript. Grades that are not part of the official transcript will not be considered by the PGP office at
IIMB / OIA as fulfilling the academic requirements of the exchange programme. Should it happen that one or more grades
are not considered for the purpose of deciding fulfillment of academic requirements you may run the risk of not being able to
graduate in 2011.
16. Clear all the dues before leaving the host institution. If you do not do this, arrival of your transcript may get delayed
and you may not graduate in 2011.
