Preface:
Every organization wants to excel to maximize their profit and employees of those
origination are also expected to perform excellently. From human resource perspective,
managing recruitment and selection of any organization with more than 100 employee
size becomes challenging and to make it much more effective, this S.O.P is designed and
made.

What Is recruitment and selection?


In a very simple way, it says to attract talent candidates to apply to us. So, there is one
basic process by which we can do this. From opening vacancy to receiving applications,
we can segregate as recruitment.
The Selection is the process of choosing the most suitable candidate for the vacant
position in the organization. In other words, selection means weeding out unsuitable
applicants and selecting those individuals with prerequisite qualifications and capabilities
to fill the jobs in the organization.

So, to make it clearer and easier to understand, what we need is policies, process,
formats and forms. Here every part of recruitment and selection for Hong fu have been
tried to include. Hope this document will provide you all information you want to know
about recruitment and selection.

General guidelines policies about recruitment and selection
 According to the company's goals, the human resources department shall make
human resources planning in stages, annually or for nearly three years, and
execute it after the approval of the general manager. And according to the actual
situation of each department to make corresponding adjustments at any time.
 Each department shall be determined according to the approved human
resources planning. Except for special needs, no department can employ any staff
than the staff size plan.
 Recruitment of the company shall be decided by the general manager. The
recruitment of extra personnel shall be completed by the employing department
in the form of approval for personnel addition, and shall be subject to the
approval of the human resources department, and the general manager.
 Employees of the company shall not be recruited under any of the following
circumstances;
o The employee is dismissed or leaves the company without permission;
o Misconduct or lack of professional ethics;
o Those who have violated laws and disciplines;
o Those who are physically unfit.

 When recruiting staff, the applicant should provide his/her photo, resume, copies
of graduation certificates and degree certificates, and the company should
conduct personality tests on employees.
 For the recruitment of non VBA personnel, the HR department will coordínate
the interview formally, organize the employees to fill in the employment
application form, personality test form and report to the personnel, head of the
employing department and the general manager to sign the employment opinions
in the application examination and approval form after comprehensive
consideration of various factors. Only after the employee goes through the entry
procedures which is carried by the human resources department, only then can
be formal staff. The recruitment of VBA staff shall be subject to the "VBA
recruitment process". The hired VBA staff shall be approved by the human
resources department before becoming a formal employee.

Process in Details:
Recruitment
 Demand Collection: As per size plan, functional head can hire people to achieve
their departmental targets. HR dept collects regular demand from functional head
every beginning of month. If they need staff extra then size plan, then need to
through special approval process where final approval will be general manager.
 Vacancy Announcement: After receiving demand from functional dept, HR dept will
see nature of required candidate and suggest to functional manager for internal
completion but if required position can not be hired from internal competition then
HR will prepare vacancy announcement notice and sample shown below:

channels like

 C.V screening: After vacancy announcement, HR will start receiving applications


and will maintain pool of candidates. HR will review all received c.vs on basis of job
details and do c.v shortlist.
 HR Interview: Among shortlisted CVS, HR will conduct phone interview to know
basic information and if found relevant then, will filter all c.vs and call them for
face to face interview with HR. Candidate will go through filling Job application
form, personality test form and logical test if necessary, Practical computer Test.
 Second Interview: Again, HR will filter cvs after face to face interview and will call
for second round of interview who passed face to face interview with HR. For this,
HR will confirm time schedule of functional manager first then inform candidates
accordingly. HR will send shortlisted resumes to functional manager with interview
details. And conduct interview accordingly. Candidate will go through face to face
interview, PPT presentation then decision.
 Final Interview: Finalized candidates will go through now final round of interview
with general manager. For this, functional manager or HR will confirm time
schedule of G.M for interview and functional manager (CHN) will explain about
candidate to G.M in details. Then inform candidates about timing details for final
interview.

Selection
 Back Ground checking: If candidate pass final round of interview, then back ground
checking is done and if everything is ok then will start salary negotiation. Here HR
will try to get info about his/her previous salaries as well.
 Offer negotiation: After having few information, HR will start salary negotiation.
Candidate will put forward his/her salary expectation. Here HR will highlight other
benefit parts of vivo which are mentioned below.
o Competitive salary with performance bonuses.

o Semi-Annually excellent staff assessment
o Staff insurances (medical and accidental), paid leaves (as per law), leave

 Offer making: After consideration, HR will offer salary package and if accepts send
offer letter and if doesn’t, HR will talk to HR head about maximum possible offer
that vivo can make to him/her and again offer making and still doesn’t accept, look
for other candidates.
 Offer letter: If candidates accept our offer, they will sign offer letter with tentative
date of joining and revert us, HR will archive it.
 On boarding Procedure: Once date of joining is confirmed, HR will arrange working
location, and on day of joining, candidate needs to submit HR are education
certificates, 2 Photos, Experience letters, clearance letters from past company, copy
of citizenship, PAN certificate if have, PP copy if have. Candidate need to read and
sign employee instruction policy (For Non-VBA staffs). HR will do necessary work
for WeChat and ding talk enrollment.
 Induction: HR will introduce candidate to all staff members and also circulate
welcome note to WeChat group and then handover to functional dept. HR will
make sure about pre-work training from functional dept. And HR also will provide
HR related pre-work training within 1 month of joining.

parts inventory, apply for accessories on time, and timely deliver out-
of-stock parts;
