Delegate Safety Plan

Pre-Conference Safety Guidelines

1. The delegates will be sent an online “health and safety” survey in order to check
that they do not have any symptoms, which has to be submitted 2 weeks and 1
week prior to the conference.
2. The delegates will have to obtain a medical certification by a medical doctor/PHI
2 days prior to the conference, certifying that they do not possess any symptoms
and that they are in a good health condition to participate in the event. The
delegates will be asked to submit a copy of the medical certification to the form
that will be sent to them by the organizing committee.
3. The hotel premises will be fully sanitized prior to the conference and the frequent
hand sanitization facilities and temperature checks will be facilitated by the hotel.

In-Conference Safety Guidelines

On Arrival -
1. The delegates are strictly advised not to use public transport when attending the
conference. The delegates are expected to select a safe transportation method
(either facilitated by the entity of the respective delegate or by means of their
personal transportation.)
2. All the delegates’ temperature will be checked upon arrival.
3. The delegates will have to sanitize their hands and feet upon their immediate
arrival.
4. The delegates’ luggage will be sanitized upon their arrival to the hotel premises.
5. The delegates will have to fill out a declaration form upon the arrival, confirming
that they haven’t been exposed to health or safety threats recently and that they
are in good health.
In-house safety plan -
6. The delegates will be going through a mandatory daily temperature check before
each of the meals.
7. The hotel will have ample sanitizers available in multiple stations in the hotel
premises and the delegates will be required to frequently sanitize their hands for
the safety concerns.
8. It will be mandatory for the delegates to wear their masks throughout the
conference in order to ensure safety.
9. The delegates will not be allowed to leave the hotel premises without the
approval of the organizing committee during the dates of the conference. This
measure will be taken to prevent any sort of harmful exposure that could tend to
evoke any symptoms in delegates.
10. Since the delegates are not allowed to leave the hotel premises, the delegates are
advised to bring all the necessary items that they will need for the 3 days of
conference.
11. Social distancing concepts will be highly enacted upon; during the sessions,
delegates’ activities and room allocation etc. The delegates will be advised to
abide by the social distancing guidelines.
12. In any situation where a delegate will have been reported to be unwell, isolation
rooms will be available and the respective delegate will be directed for the
necessary medication.
13. An on-site doctor will be available to provide the required medical assistance if a
needful situation arises, in order to ensure the health and safety of the delegates.
Post-Conference Safety Guidelines

1. The delegates will be going through a temperature check before leaving the hotel
premises.
2. The delegates will have to submit another health report 7 days after the
conference confirming that they do not have any symptoms.
3. The delegates will have to submit a final health report 14 days after the
conference confirming that they are in good health condition.
4. The Local Committee Vice Presidents - People Management of all the AIESEC
entities will be responsible to keep a record of the health condition of the
conference attendees of their particular entity, in order to monitor that all
delegates are safe.
