LINEAR RELATIONSHIPS – CHARITY EVENT

This assessment will be a group project. Groups will be assigned in class. For
this project you will be planning and hosting an event for the charity of your
choice. You will describe, in writing, the charity you chose and explain why
you chose it. Next you will choose the venue, vendors, ticket price, and
create a business proposal explaining why I should sponsor your event.

Your final business proposal must include:


 Information about the charity, why you and your group chose it and at
least 2 images of the charity or two images showing what they do (two
paragraphs minimum).
 The Number of people you and your group plan to attend the event,
make sure you pay attention to the number of people allowed at each
venue (cannot be more than the maximum capacity).
o Explain how you and your group came up with the number of
people to attend the event and how reaching this target amount
helps total profit earned.
 The total cost to host the event (which must include all the expenses
listed on this sheet. For example, the venue, food & beverage, dessert
and entertainment).
o Make sure you and your groups total costs calculation includes
the total number of people that will be attending.
o Make sure to explain why you and your group chose each vendor
and how that helps you bottom line (total money earned from
hosting the event)
 Graphs to represent EACH vendor total costs (use Desmos to create
the graphs).
 Price per ticket (to attend the event) that will make you and your
group a profit (remember the goal is to get the ticket price as low as
possible).
o You and your group explain how you came up with the price per
ticket to attend the event and how charging this amount effects
total revenue earned.
o You and your group come up with the total profits received
(revenue – expense) from hosting the event (all profits will be
donated to the charity of your choice)

You & your group will present your business proposal in class. You must use,
Microsoft PPT or any presentation tool of your choice (as long as it has been
approved ahead of time). You and your group can make a video, brochure,
poster, etc., the more creative you are the better. The team to charge the
lowest price per ticket and raise the most money for their charity will receive
10 extra credit points.
Venue:
You are looking at three places/venues that you plan to host your event
 Location 1: Occupies a maximum of 120 people and the total costs is
$1,000 to rent for the night
 Location 2: Fits 250 people total and costs $2,500 to rent for the night
 Location 3: Fits 330 people total and costs $3,000 to rent for the night

Food & Beverage:


You will be serving food at your event, so you narrowed down the catering
services to the 3 restaurants listed below:
 Restaurant 1: Rosemary’s Cafe charges $10 per person plus a one-time
catering fee of $300
 Restaurant 2: Sharp’s diner charges $15 per person plus a one-time
catering fee of $100
 Restaurants 3: Valentine’s tavern charges $ 12 per person plus a one-
time catering fee of $200

number of meals that will be served and y being the total cost.

Desserts:
You will also be serving dessert at your event, for dessert you are deciding
between the three companies listed below.

 Dessert shop 1: Bella’s Bakery charges $2 per person plus a one-time


preparation fee of $50
 Dessert shop 2: Calle’s Cake Shop charges $1.50 per person plus a one-
time preparation fee of $75.00
 Dessert shop 3: Charlie’s Chocolate Factory charges $1 per person plus
a one-time preparation fee of $100

You have decided to hire live music for the event. You are deciding between
the three bands listed below.

 The jazz band charges $30 per hour plus a $500 deposit
 The folk band charges $85 an hour plus a $200 deposit
 The classic rock band charges $60 per hour plus a $350 deposit

number of hours the band will be performing and y being the total cost
