on Institute Management System’. Our horizon of knowledge has expanded and has made

Chapter I : Introduction
Background
Educational Institution is any place where people of different ages gain an education,
including preschools, childcare, elementary schools, and universities, vocational training
schools, etc. Generally, it is an organization which carries out educational activity. An
educational institution refers to an administrative unit with a principal or other head,
which has teachers and other personnel in its service (role of employers), and which is
liable to keep books and compile other documentation, in which students are registered,
whose activities are regulated by a legal act or decree, which follows a national
curriculum, and which is financed and controlled by a public authority. The main
objective of the educational institution is to provide the learners and students skills and
knowledge for development of their well being, along with success in the educational
sectors. In today’s time, with the ever changing environmental pace, and different
advance technological changes, the institutions cannot last long if the changes are not
taken into account. So, many institutions are now shifting towards automation of their
functions and utilizing their own technological software or management system software.

This project report is based on Standard Institute of Technology (SITE) Kawasoti, and it
is the project about the type of management software that the institution uses to perform
its functions, i.e. Institute Management System software. Standard Institute of
Technology (SITE) is a renown Technology Educational Institution , which is located in
Kawasoti – 03, Nawalpur. The missions of this institution are :

1. Loksewa & Shikshaksewa Aayog Preparation


2. Train for CCNA Networking and ethical Hacking
3. Train for accounting and banking
4. Coach for different languages course including English, Japanese
5. Computer Hardware knowledge and train for web designing and digital
marketing
6. Coach the learners about existing technologies and their applications in
today’s world
7. Create information based learning environment through out the city and
country

Methodology
The research should be controlled rigorous systematic, valid, empirical and critical. It
helps to analyze, examine various aspect of works, such as gather information, data and
collection, data and information sources, etc. Research is the systematic and organized
effort to determine ongoing trends and their functions, and investigating those to find
problems and then conclude and suggest solutions.

Research Design
It refers to the systematic framework under which the research is conducted. The research
design serves as a framework for study, guiding the collection and analysis of data. The
research design focuses on the data, collection methods, the research instrument utilized
and the sampling plan to be followed; it is planned structure and the strategy for research
investigation. It involves selecting the most appropriate method or techniques to solve the
particular problems under the investigation.

Data sources
Statistical sources refer to data that are gathered for some official purposes . And non-
statistical sources refer to the collection of data that are generally reviewing the
surrounding, function and characteristics of a sector or organization.

Introduction to Institute Management System (IMS)

Institute management system software is a complete solution for managing a


technological educational institution. In other words, it is an enhanced tool that assists in
organizing the day-to-day activities of the coaching institutes.
Coaching institute management system centralizes institute by providing features to its
Administration, Students, and staffs. The attendance review shows all students,
staffs absent today and students absent for the current marking period, select students and
parents for SMS communications, click on student's name to see demographic
information to call parents, detail level absenteeism, comments entered by teachers/office
staff.

Data in the systems can be analyzed, graphed and reported in the format of user's choice.
Administrators of the institution are provided with a full control over this software.
Administration can send announcements of the events to all users in the institute. Students
are provided with user ids and password. Students can access their full details regarding
marks, fees, examination results. Parents can access the details of their wards report card,
performance, comments from teachers and everything related to their ward.

This system provides a simple interface for the maintenance of student and staff
information. It can be used by educational institutes to maintain the records of students
easily. Achieving this goals is difficult using a manual system as the information is
redundant, can be scattered and collecting relevant information may be very time
consuming.
The paper focuses on presenting information in an easy and intelligible manner which
provides facilities like online registration and profile creation of student’s thus reducing
paper work and automating the record generation process in an educational institution.

Chapter II: Features of Institute Management System

In this project, we are introducing the system which contain the following features:

1. Enquiry Management :-

This module will help you to make the enquiry system well organized in terms of look
into & intensify utilization of time as it works on automated system. Since admission
depends upon the number of enquiries & how it is being handled & followed up on.

 Online enquiry form.


 Course wise inquisition system.
 Maintain direct or head-on enquiry, telephonic enquiry & online enquiry.
 Automated email/SMS follow up system.

2. Students Management : -

The student module enables you to accumulate all personal, academic, professional and
history data regarding the students.

 Maintain record of all important details about every student. Record can be edited
as per requirement.
 Change of course & batch can be done simply.
 Students’ record can be filtered based on the course & batch.

3. Fees Management :-

 Online Billing
 Easy Counter payment process

4. SMS Module :-

This module is more useful to deliver the important information to students, parents, staff.
This module can be attached with some other module like fee, attendance, examination,
staff, etc.

 According to their requirement Institute, management would have a right to send


SMS.
 Management can send SMS to one student, to a group, to whole class.
 Send reports automatically of every exam and test conducted in the whole
session.

5. Manage Attendance :-

 Manage attendance course & batch wise.

 Summarized attendance can be viewed.
 Overall absentee reports with remarks can be viewed.

Chapter III: Objectives of INSTITUTE MANAGEMENT
SYSTEM

The main objectives are:

1. To provide a proper registration channel/system to the new students

2. To maintain all the accounts of the students in digital form from enrollment up to
the end of the study

3. To make the information accessible to the admin at the desk, in just a click away.

4. To have a centralized control over the records of the students, staffs and monitor
changes in these records.

5. To make learners aware about the importance of current and upcoming advance
technology and use of information system in business strategies.

6. To utilize the different data from different sources , and process them, and then
achieve required information for the institution

7. To make data readily available to all the staffs and learners and students in real
time

8. To backup data in the cloud server system and to connect different servers in a
single framework.

Chapter IV: Literature Survey - INSTITUTE MANAGEMENT
SYSTEM
In the existing systems all the work is done manually and all the data is stored by using
files and registers. The record of every student, courses, teachers are handled manually. If
we want to access any student information then all the details can not received in one file
only.

There is need to search lots of records and files register. In current mode of working first
all the information is received and then fill up in the registers. If we want to check any
student details like update or delete information it is very difficult to search all records
also it is very time wasting process. Same case happens to staffs. When any student will
pay the funds or fees than it will also stored manually.

A. Existing System

Existing system was carried out through manual process. Maintenance of the records in
the existing system is difficult. Lot of time is taken to search for a particular record. There
is a chance of occurrence of errors. Updating and retrieval of information in this existing
system takes more time. Thought it has used a information system, but it is totally a
manual one and hence there is a need of upgrade of the system to that of the computer
based information system.

Chapter V: Management Information System as institute
management software
Management Information System (MIS) differ from regular information systems because
the primary objectives of these systems dealing with the operational activities in the
organization. In this way, MIS is a subset of the overall planning and control activities
covering the applications of humans, technologies, and procedures of the organization.

MIS make it possible for organization to get the right information to the right people at
the right time by enhancing the interaction between the organization’s people, the data
collected in its various IT systems, and the procedures it uses. It brings together the raw
data collected by the various business areas of the organization. MIS allows information
to move between functional areas and departments instantly, reducing the need for face-to
face communications among employees, thus increasing the responsiveness of the
organization.

Chapter VI: CONCLUSION
Institute Management System software developed for an institute has been designed to
achieve maximum efficiency and reduce the time taken to handle the storing activity. It is
designed to replace an existing manual record system thereby reducing time taken for
calculations and for storing data.

The system is strong enough to withstand regressive daily operations under conditions
where the database is maintained and cleared over a certain time of span. The
implementation of the system in the organization will considerably reduce data entry,
time and also provide readily calculated reports.
