13. SMS records management

One should not confuse safety records with recorded operational safety
data, such as communications between pilots and controllers. ‘Safety
records’ is the documented output of the safety management processes
and activities, such as:
 Incident and Accident investigation reports
 Safety recommendations, related remedial actions and their follow-up
 Safety assessment reports (safety cases) and supporting material
 Safety surveys reports and Audit reports
 Statistical data related to safety
 Personnel licensing data
 Personnel safety training records
 Minutes of safety meetings;
 Management decisions aimed to improve safety
 Any documented measure taken to control risk and to ensure that
adequate levels of safety are maintained.
Safety records should be maintained in sufficient detail to ensure
traceability of all safety-related decisions. The Safety Manager is
responsible for maintaining safety related data. As per company policies
the records should be stored for at least three years.
a) ACPL’s SMS records or archiving system are maintained at the Hangar
Office. Records and archiving system ensures that the retention of all
records generated in conjunction with the implementation and operation
of the SMS.
b) Records kept include hazard reports, risk assessment reports, safety
action group/safety meeting notes, safety performance indicator charts,
SMS audit reports and SMS training records.
c) Records are maintained as a hard copy at the Hangar Office and soft
copies distributed electronically so records are traceable for all
elements of the SMS and are accessible for routine administration of
the SMS as well as internal and external audits purposes.
