Subject: Research on potential work-place factors contributing to musculoskeletal disorder

Dear sir,

As per the discussions of the last management meeting on 1 st October 2020, I was charged with the
responsibility to investigate the potential work-place factors that are contributing to the rise of back-
related musculoskeletal disorder amongst our employees. You can find the research points and a
few recommendations to alleviate the issue in the report below.

INTRODUCTION

Our company has always taken proactive measures to boost our employees’ work-life balance,
promote a friendly culture and look after their health with insurance covers in place. However, in the
last 6 months, we have marked a notable increase in the number of employees taking sick leaves
due to back-related musculoskeletal disorder.

METHODOLOGY

Keeping in mind the gravity of the situation, I formed a team of 4 members from the HR department
specifically dedicated towards this report. To substantiate our report, we floated a survey form
(questionnaire attached) to our entire team of 500+ employees. The questions were work-related
(absenteeism, working hours, travelling time, screen time) and personal life (exercising habits,
smoking status). We also interacted with 67 employees who reported this health problem in the last
year to understand its root cause and its effects on productivity (transcripts zip file attached).

KEY FINDINGS

 Over 80% of the affected employees believe backaches were either caused or worsened by
long working hours in front of the computer. More than 400 employees experience neck and
back pains at least once a week due to long working hours.
 Backaches, stiffness and soreness of muscles increase the feeling of tiredness, dullness and
irritability leading to lower productivity.
 It increases absenteeism among employees. As per the survey conducted, though common
cold and fever remain the number one cause of leaves, it is immediately followed by
backaches and fatigue.
 Upon investigating the medical data of our company, we realised over 30% of the healthcare
expenses are arising from musculoskeletal disorder and the allied chronic problems. Severe
and prolonged musculoskeletal disorder leads to chronic problems and even depression.
RECOMMENDATIONS

 Move towards ergonomic work environment by providing better chairs or lumbar support
back pillows to ensure a proper posture. Around 45% of the employees reacted positively for
standing work stations around the office as well.
 We can conduct a 7-minutes stretching session in each work station. 1-minute desk
exercises can be scheduled thrice a day to remind employees to stretch themselves. The
training cost is minimal and this would increase the workforce efficiency.
 E-mail communications and posters can be put up around the office to promote awareness
of correct posture, regular breaks and exercise for a healthy life.
 We can install 2-3 massage chairs in the lounge area to help employees unwind after long
hours before the computer.
