General Use of Computer Labs

 No food or drink at computer workstations.


 No bicycles or bike parts.
 No disruptive behavior.
 No moving the lab equipment and/or cables.
 No laptops on the wired network (exception: Instructors for instructional
purposes). It is okay to have laptops in the labs and be on the wireless network,
they just can't be physically plugged into our jacks.
 No illegal copying of ANY materials.
 Keep sound levels to a minimum.
 The labs are for UCSC students, staff and faculty ONLY. We reserve the right to
check IDs.
Computer Laboratory Policies

1. Proper conduct must be observed inside the computer laboratories at all times.

2. Loud or obscene language is not allowed.

3. All users are responsible for their belongings while inside the computer laboratory. (ITD do
not encourage leaving of personal belongings on the shelves as we do not monitor them).

4. DLS-CSB student IDs must be presented / validated upon entering the laboratory.

5. Users must logoff their Infonet account after use [everyone is accountable for their username
and password].

6. Bringing of computer laboratory equipment into or out of the laboratory is not allowed
unless approved by the IT Department.

7. No free slot users shall be accommodated during scheduled class hours, seminars, or
trainings, unless authorized by the class faculty for that laboratory schedule.

8. Free slot users are only allowed to use a workstation for a duration of 1 ½ hours to give way
to other users especially during enrollment. However, this does not apply in non-peak hours.

9. Only authorized IT Department personnel are allowed to alter the settings/configuration of


the computer and facilities.

10. Misuse of Laboratory facilities that results (or could result) in damage to the College
software, equipment, data, or facilities will be subject for disciplinary or possible legal action.
11. Eating and/or bringing in food and/or any liquid inside the computer laboratory is strictly
prohibited.

12. Loitering inside the computer laboratory is not allowed.

13. Playing games, unless authorized is strictly prohibited.

14. Vandalism is not tolerated.

15. Accessing of pornographic, violent, and other inappropriate contents are strictly prohibited.

16. Cellphones and other communication devices must be switched off or put in silent mode
while inside the computer laboratory.

17. Computer laboratory faculty PC is strictly for faculty use only, unless student is authorized
by the faculty on schedule or IT Department.

18. Only one (1) computer is allowed for each student’s use unless authorized by the faculty
and/or IT Department.

19. The IT Department performs regular maintenance. Users must save their files in their
personal storage devices [such as flash drives].

20. The computer laboratory printer is intended only for class and official academic use. Non-
class related printing will be charged on a per-page basis.

Steps

Establish the perimeters of your computer lab according to your organization's rules. You
may need to decide what search terms or websites you want to deny to your lab users. You will
also want to establish the criteria for your firewall.

Seek the help of an IT service or IT department, if you are not knowledgeable about
computers. Ask the users to seek the help of the administrator or IT staff if they have a problem.

Post a "Computer Lab Rules" sheet that clearly states computer lab restrictions. These may
include prohibition of food and drink, downloading software, opening attachments, removal of
equipment, access to illicit sites and more. Many labs maintain that anyone caught breaking the
rules is removed from the premises.

Plug all your computer equipment into a surge protector. Spikes and surges in electrical
power can break or damage electrical equipment, as well as lose lab users' data. This is especially
important in country computer labs and places that are prone to lightning storms.

Set up a firewall. This is a protections system for your computer lab. Choose a network layer
firewall that will deny access to sites or programs that don't fit into the acceptable criteria you
have chosen.

Set up weekly updates or automatic updates for your lab computers. Many computer
programs, such as Microsoft Office Suite, update their software and protection regularly. You
will want to schedule these updates for a time when the computers are not in public use, and you
may be able to do them from 1 central computer.

Install an anti-virus program on the computers and/or network. This will usually stop a
program from downloading if it suspects a virus. You can run daily or weekly reports on the
computers to check more carefully for viruses.

Install an anti-spyware program on your computers and/or network. Spyware programs
install themselves onto computers to gather personal information. Anti-spyware programs can
stop these harmful programs from corrupting or filling up your computer.
 Some computer labs choose to download a spyware program purposefully onto
their lab computers. These programs are sometimes called "keyloggers," and they can
gather data about how the lab computers are being used for the system administrators.
 Anti-virus and anti-spyware programs are especially important for Windows
operating systems. Schedule scans on both programs every week. Apple computers
have been less susceptible to viruses in the past; however, they are increasingly under
threat.

Back up your computers on a regular basis. If your computer lab becomes corrupted by a
virus, you can return to the previous backup to restore it.

Use the hard disc cleanup and defragmentation utilities regularly. These Windows utilities
regularly remove temporary files and keep the hard drive from fragmenting. If done on a weekly
basis, the processes will be shorter than if you do it on a monthly basis.
 Go to "My Computer" and right click on the "Local Disk" icon. Under
"Properties" select "Disc Cleanup."

Do not unplug printers, scanners and other connected machines when the computers are
on. Eject any USB devices before unplugging them. You may need to post this on your "Lab
Rules."

Turn off all computers by selecting the shut down option on the desktop. Avoid pressing the
"Power" button to turn off computers. If this is necessary, run the computer in safe mode until
you know what the problem is.
 Ask your users to press the "Control," "Alt" and "Delete" buttons if their
computer freezes, rather than shutting it down with the "Power" button.

Clean your computer lab regularly. The following are effective ways to clean a computer lab:
 Dust computer screens using a thin, soft microfiber cloth. Dedicate 1 cloth to be
used only on the screens. If dirt and debris from other surfaces gets caught in the cloth,
it can scratch the computer screen.
 Vacuum the floor every day, if possible, so dirt and debris is less likely to gather
around the computers.
 Dust all surfaces of the computer. If the fans in the Central Processing Unit (CPU)
fill with dust, the computer can overheat. Use a thicker microfiber cloth to pull the dust
from the surface. Some types of microfiber cloth have been shown to attract and trap
dust.
 Use compressed air to clean out keyboards. You may also choose to use a
disinfectant sprayed on a lint-free cloth on the keyboard and mouses, for sanitary
purposes.

General Access Computer Lab


Policies & Procedures
1. This lab may be used only by members of the Willamette University community,
including current students, staff, and faculty. If you wish to use a computer, but you are
not a member of the Willamette University community, public computer terminals are
available at the Mark O. Hatfield Library.
2. Please carry your Willamette ID card with you while using the lab. You may be
asked to present it at any time, and if you don't have it with you, you may be asked to
leave the lab.
3. You must have a valid Willamette network account in order to use lab computers.
If you are new to the university, please see this page for instructions on setting up your
account.
4. You may not share your username or password with another user, and you may
not use your network account to log another person into a lab computer, even if that
person is a trusted friend or family member. To do is a violation of the university's policy
on Acceptable Use of the Campus Computing Facilities and Network, which you agreed
to abide by when you created your network account.
5. Academic work by current Willamette students takes precedence over all other
uses of the lab, including but not limited to non-academic games, chatting, email, or
web surfing. A user engaged in non-academic activity may be asked to give up his/her
computer to allow another user to carry out legitimate academic work.
6. Equipment is first come, first served, and cannot be reserved. Please do not
attempt to reserve a computer by leaving your belongings around it. If a station is left
unattended for 15 minutes or more, WITS staff may log you out of the computer, move
your belongings, and another user may have access to the computer.
7. Please do not leave your personal belongings unattended. WITS staff are not
responsible for lost, stolen, or moved items. It is your responsibility to keep your own
property safe and secure.
8. Lost & Found items are stored for a short period of time at the Help Desk, and
then they are delivered to the Service Center, located in the University Services
Building.
9. You may not install software on lab computers, including but not limited to
games, ICQ or instant messengers, media players, etc. If you need a specific piece of
software for academic purposes, please talk to a staff at the Help Desk to find out the
appropriate procedure for having it installed.
10. Please do not reconfigure computers, personalize desktops, or alter another
user's files. Please do not move computers or tamper with their cables. If you have a
legitimate reason for wanting to alter a computer station, please ask a staff member at
the Help Desk to find out the appropriate procedure.
11. Please do not save your files to the lab computers' hard drives. Instead, save
them to your Home Directory (H: Drive), Google Drive, or a removable media such as a
USB flash drive. Files saved on the lab computers are regularly deleted.
12. Use of the computer facilities should not hamper or interfere with the ability of
other students to do academic work. Activities to be avoided include but are not limited
to excessive computer volume, loud conversation or laughter, use of offensive
language, viewing of offensive or explicit imagery, cell phone calls, and other disruptive
behavior.
13. Be courteous to your fellow lab patrons by silencing your cell phone, and by
taking all personal conversations and/or cell phone calls outside the lab.
14. Please do not print multiple copies using lab printers. A photocopier is available
in the Hatfield Library or you can consult the Print Center for high-volume duplication.
15. Please do not put special paper into the paper trays of the lab printers. The
wrong paper can cause printer problems. If you would like to print on special paper,
please ask a staff member at the Help Desk for assistance.
16. Keep our computer lab clean! Please dispose of your own trash, and pack out
any items that you brought in.
17. Food and drink are not permitted in the lab. 
18. No alcohol, tobacco or other drugs are allowed in the lab.
19. Children under 10 years of age are not permitted in the lab without adult
supervision.
20. Viewing of pornography or other sexually explicit materials in the lab is not
appropriate. If anyone in the lab sees you engaging in such activity, you may be asked
to stop the activity immediately and/or leave the computer lab. If you have legitimate
academic need for viewing such materials (as verified by your instructor), please ask a
staff member at the Help Desk about a arranging a more private location where other
lab patrons will not be disturbed by your activity.
