Some documents are encoded into a computer such as attendance records and student

grades but they are stored in an unorganized manner and can easily be corrupted. Sometimes, the

computer they store these documents bug down. Without backup, their files will no longer be

retrieved. Other documents not encoded are stacked and stored traditionally, making it difficult

to retrieve these data when needed. In addition, this traditional manner consumes a great deal of

time, paper and effort. Furthermore, payments of students are not definitively recorded and

receipted. Monitoring of students’ payments and fees could be tampered with or miscalculated.

Chances are there will always be room for human errors that causes frustration,

misplaced record or receipts that makes the reliability of data questionable.

ince manual inventory consumes a lot of time and is prone to errors, it would be helpful

to build a system that will computerize the transactions from acquisition of the product

description to updating the inventory database. The computerized inventory system will improve

employees’ work efficiency by computerizing routinely and time consuming tasks such as the

time spent in taking down product information. As a result, the time can be used in more
productive activities. The accuracy of the current system will also be improved, since the

computerized inventory system would eliminate the need of constantly encoding lengthy details

of products by having an inventory database.

Therefore, our project will address the issues above mentioned by creating a system that

will help manage their products in their storage. It will help store, organize and sort the products

for easy query and retrieval. Important details like expiration dates will also be included. When a

customer purchases, the system can record the transaction made including the items purchased.

The number of item of a specific product will automatically updated, including when they

replenish certain items. The system will also help monitor the stocks and alert the user if their

stock is running low, and imply the number of stocks available.
