How to create SharePoint Meeting Workspaces using

Outlook 2010 (SharePoint 2010)

 Synopsis

This guide will show you how to create SharePoint 2010 Meeting Workspaces
using Outlook 2010.

 Applicable to

All PlexHosted hosted SharePoint 2010 accounts.

 Prerequisite
o a PlexHosted hosted SharePoint account
o Outlook 2010
o a SharePoint site

 How to

Note: You can create a Meeting Workspace site whenever you create a
meeting request in Outlook. A Meeting Workspace can be used to share
your meeting objectives, to publish documents, to track tasks and to do
other collaborative actions pertaining to that specific meeting all from one
central location.

o Open Outlook.
o Go to Home - New Items - Meeting.
o Type the e-mail address of the people you want to invite to the meeting
and complete all other necessary information.

o In the Details window, select the drop-down menu for the Quick Access
Toolbar and select More Commands.
o From the list of available commands, select Meeting Workspace and then
click on Add and then click on OK.
o Click on the Meeting Workspace icon and then click on OK.
o A Meeting Workspace task pane will appear to the right. Click on Change
Settings.
o Click on the down arrow next to Select a location and then select Other.

o The Other Workspace Server dialog box will appear. Type the URL of
the SharePoint site. The Meeting Workspace site will be a sub-site of the
SharePoint site you type here. Click on OK.

o Back to the Meeting Workspace task pane, click on OK.


o Click on Create.
o Outlook will create the workspace in the SharePoint site. A URL to the
meeting workspace will be automatically included inside your Outlook
request. Click on Send.
