TOPIC 1.1 WORKPLACE STANDARD
OPERATING PROCEDURES

BRIEF INTRODUCTION:
Every task inside the classroom should be managed systematically in order to
fulfill the task safe, effective and efficient. Following Standard Operating
procedure is one of the most important thing that a student should learn. This
will practice students on outside world of industry.

WHAT IS STANDARD OPERATING PROCEDURE?

When we buy something like a mobile phone, there are usually two user
documents:
- A manual – 20 pages or more detailed text
- A quick guide – normally one piece of paper with graphics
We can consider the standard operating procedure as our ‘Manual’ and the
one-point lesson as ‘quick Guide’.

Standard Operating Procedure – detail on how the each step of the task is
performed, used as a reference.

DEFINITION OF A “STANDARD”
A standard is the “best, safest. And easiest way to do a job or task
which ensure consistent quality, cost and delivery to the customer”

WHY USE SOP’s


Every company, business or organization has a Standard Operating
Procedures that should be follow by the members or workers. Why do you need
to use SOPs? The following are some of the reasons:

- A successful business needs committed workers who complete work


procedures consistently and accurately.
- It also requires all involved to contribute their experience, knowledge and
ideas to constant improvement for the future.

- Standard operating procedures get anyone driving toward outstanding
performance and success.
- Well-written standard operating procedures provide direction. Improve
communication, reduce training time and improve work consistency.
- Most importantly, standard operating procedure keep the employees to
be safe in a workplace environment.

Let’s brighten your imagination…….

• An airplane crew and technical contractors, taking delivery of a new


passengers aircraft, choose to test engines near a hangar.
• As the aircraft neared take off power, alarms sounded. A member of the
crew removed a ‘ground sense’ circuit breaker to silence the alarms.
• The aircraft’s computer, thinking it was in the air, then automatically
released the brakes (a safety feature to prevent landings with brakes on)
• The 200 million dollar aircraft hit a concrete wall at a full power and was
written off.

The SOP development process is an excellent way for managers,


workers and technical advisers to cooperate for everyone’s benefit. It is
used in combination of planned training and regular performance
feedback lead to an effective and motivated workforce.

Managers and teams benefit from consistent work performance and


predictable results. It is also required to comply with ISO (international
Organization for Standardization). It should be kept live and relevant to
what is actually going on in the workplace – updated where and when it is
necessary.

IDENTIFYING OPPORTUNITIES FOR STANDARD OPERATING PROCEDURE

WHAT ARE THE SIGNS THAT A STANDARD OPERATING


PROCEDURE IS NEEDED?

1. If a Team is unable to complete a task because the individual with the


knowledge is absent – why doesn’t everyone else know?
2. If there are Consistent delays or errors due to lack of what other team
members would consider basic knowledge – how can we make sure
everyone knows what to do?
3. If there are frequent request for the same set of information or
training – do we need something people can refer to?
4. If ‘ near misses’ – narrowly avoided potential failure with the product
quality or safety – what is the best way to stop it from happening
again for real?

HOW STANDARD OPERATING PROCEDURES ARE IMPLEMENTED?
1. A written document or instruction detailing all the steps and activities
of a process or procedure.
2. All quality impacting processes and procedure should be documented
in Standard Operating Procedures (SOPs)
3. SOPs should form the basis for the routine training program of each
employees.
4. SOPs should be regularly updated to ensure compliance to the
regulatory requirements and working practices.
5. Procedural changes or adjustment should be reflected by updates to
the SOP.

Management system are made up of procedure, which in turn are made up


of individual step.

• Management systems are made up of work procedures. For example,


before production can begin, the line must be correctly set up. After
production, changeover and possibly cleaning will need to take place.
These are examples of procedure that when put together make up the
production management system.

• Finally, steps are smaller actions that when put together form a
procedure. The small steps are there the variation among different
workers takes place if procedures are not standardized.

• Managers can use standard operating procedures to help ensure
everyone performs each procedure the same way every time.

How the STEPS are created?

Steps are created by indicating step by step procedure of a job or task.


The following parts should be at least included in the STEPS document:

TASK – it is the work that needs to be done.

METHOD – it is how the work should be done.

STANDARD – it is the standard operating procedure to be done before


starting the task/work.

OBJECTIVE – it is the aim or target of achievement of the task to be


done.

QUALITY/SAFETY – it is the safety precautions to be done when


performing the task.

TIME ALLOTMENT – it is the time frame of the task to be done.

PHOTO/SKETCH – it is a photo or drawing of the task showing the


procedure needs to be done not described on the written steps.

BRIEF INTRODUCTION
When planning on making a project it is very important to the check
the quality of the materials that is needed for assembly.
The student must relate material properties to product and process
quality. These are the factors that must be taken into consideration when
choosing the right material for their components and assemblies.

Characteristic of common materials for increased security is also a great


factor in the design and planning process. Evaluation of longevity criteria and
assessment of site environmental factors are important to project planning.
Specific knowledge about the project and general common sense must
dictate design and material selection. Although many materials can offer
enhanced protection, often the most cost-efficient and readily available material
that provides reasonable life expectancy for the project must be considered.

FACTORS TO CONSIDER IN CHOOSING THE RIGHT MATERIAL FOR AN


ELETRONIC PROJECTS:

1. SELECTION OF MATERIAL – Material selection is one of the most


common tasks for design engineering. The ability to assess the material’s
impact on the performance of a product is important for reliable
performance. Sometimes, buyers are also considering the label or name of
the company which are producing great quality of materials and are known
in the market. Examples are the name DEECO, an electronics store for
any electronic project.

2. TESTING OF MATERIAL - The testing of material properties is widely


understood to be the key to obtaining data for a project, performing failure
analysis, or understanding material interactions. Material testing also
provides information on the quality of incoming and outgoing products.
Inspection test equipment and techniques are demonstrated for a wide
range of materials and assemblies during the class. This provides the
participants with both knowledge of the common failure modes.

3. COST OF MATERIAL - The cost of material is also considered when


buying or selecting materials for a specific project. The amount may vary
but never taken for granted the quality and the reliability of the material.
Will you buy material which is less expensive but worst quality? Will you
buy material which you cannot afford? People look for places which can
meet their standards and right cost for materials to buy.

EVALUATION OF RECEIVED MATERIALS

Before planning and designing takes place, you should evaluate the
material options and system requirements. Teachers should add several useful
reference manuals to their libraries such as installation of hardware, networking,
troubleshooting as well as basic PC Operation and Internet for additional
information that the students may use in their projects.

The characteristic of the materials to be used for specific project must be:

1. of good quality - This is the most important factor when choosing


materials to buy. Products with good quality are long-lasting and safe to
use because you know that it follows certain standards before being
commercialized.

2. reliable - It means that you can be sure that it will perform its function
well, will operate safely and will give the best it could give.

3. suitable for the application/purposes - Choose the materials which are


very necessary to make the project possible. Making a list of
products/materials to buy is a good trait of a wise consumer. Products
which are not to be used must be crossed out.

4. low cost - It doesn’t mean that you will choose for the less expensive one
and exclude the quality. Low cost means you can afford to buy the
materials without hurting your pocket and assure of better quality.

STANDARD IN RECEIVING A PROJECT MATERIAL

When checking the received materials, you should at least fill up a form
that describe the materials handed to you. Received materials should be
properly inspected to avoid waste of goods, labor and money.

Usually, delivery receipt includes details of quantity (number of each


item), unit price (price per piece), total price and number per item. At the
bottom of the form is a statement that confirming that the materials are
inspected and counted according to the information of the company / store
delivered to you. Below is the sample of receiving form that may be use in general
when receiving materials.

BRIEF INTRODUCTION
Regular maintenance of equipment and materials are an important
and necessary activity. The term ‘maintenance’ covers many activities,
including inspection, testing, measurement, replacement and adjustment,
and is carried out in all sectors and workplaces. It has a vital role to play
in reducing the risk associated with some workplace hazards and
providing safer and healthier working conditions. Insufficient/inadequate
maintenance can cause serious (and potentially deadly) accidents or
health problems.

WHAT ARE FAULTY MATERIALS?

In a legal context, a “faulty product” is likely to be one that is purchased


new, rather than an old or secondhand item. The term “product” covers an
almost endless range of items. Some of the most frequent instances of faulty
products include the following: Electrical/electronic equipment.

WHY FAULTY MATERIALS ARE NEEDED TO BE REPLACED?

Once a material is found to be faulty, the overall functionality of the


product will also be faulty. Also, it could also be a cause of injury to the worker
once the faulty material is used. Therefore, before any assembly or work starts,
the materials should be tested its reliability and quality.

FACTORS FOR REPLACEMENT OF MATERIALS OR EQUIPMENT:

1. Deterioration - It is the decline in performance due to wear and tear or


misalignment indicated by:
• Increase in maintenance costs.
• Reduction in product quality and rate of production.
• Increase in labor costs
• Loss of operating time due to breakdowns.

2. Obsolescence – Because of Technology is progressing fast, newer and


better equipment are being developed and produced every year. The
materials get obsolete due to advancement in technology and the
unwarranted manufacturing costs arising from such obsolete equipment
will:
• Reduce profits.
• Impair competition.
• Cause loss in value of machinery.

3. Inadequacy - When the existing equipment becomes inadequate to meet
the demand or it is not able to increase the production rate to desired level,
the question of replacement arises.

4. Working Conditions - It may be thought of replacing the old equipment


and machinery which creates unpleasantness i.e. give rise to unsafe
conditions for workers and leads to accidents, making the environment
noisy and smoky etc.

WHAT SHOULD YOU RECOMMEND IF YOU PURCHASE A FAULTY


PRODUCT?

Every consumer has the right to secure their purchase with quality. It
sometimes happens that the product or item delivered is faulty or defective. The
following are the recommendation based on the Republic Act No. 7394 or The
Consumer Act of the Philippines:

1. CONTACT THE RETAILER. Tell the retailer about the problem and ask
for the goods to be either repaired or be replaced. You can specify which
you’d prefer but it is ultimately a question of what is more economical
from the perspective of the retailer.

2. COVERED BY GUARANTEE - Alternatively, if the faulty goods are still


covered by their guarantee, contact the manufacturer, tell them about
the problem and ask for the goods to be repaired or replaced.

3. IF THE RETAILER OR MANUFACTURER DOES NOT HELP - Write to


the retailer and make a more formal request. Say that you are
exercising your rights under the Republic Act No. 7394 or The
Consumer Act of the Philippines “is the policy of the State to protect
the interests of the consumer, promote his general welfare and to
establish standards of conduct for business and industry.”
