Title: DREESMNHS ALUMNI E-TRACKING SYSTEM

INTRODUCTION

Major business breakthroughs that shift the Information Technology (IT) industry
landscape are built on great technology innovations. Smart technologies come up with technical
inventions, which have high potential to become a mainstream consumable product or service.

Then this new product or service goes through a market maturity journey, where the
concept moves from idea to sustainable business that adoption and fitness determine the success.

DREESMNHS Alumni E-Tracking System plays a vital role in every higher education
institution for it traces the performance of the graduates and helps in acquiring a more detailed
understanding of the alumni career development. This is also to track if the alumni’s found work
in related to their course hence, it serves as a communication between the school and the
graduates.

DREESMNHS Alumni Tracking System is designed specifically for educational


organizations to help contact, solicit, and better manage the alumni association office. Through
this system, the institution can track the alumni and their educational status.

Moreover, the DREESMNHS Alumni Tracking System is needed by the school to


communicate, verify, archive and research the past graduates who are part of the alumni
graduates. This is also used to validate the gap between the knowledge and skills possessed by
the graduates and the required qualifications needed by the industries.

Currently, some of the institutions struggle in collecting and maintaining personal and
professional information from alumni. They apply different methods in building connections
with the graduate students like constructing and administering surveys through email and paper
methods. Sending information regarding school events and updates is through mobile medium.
However, these methods take several weeks, months to distribute, collect and encode for
analysis. It is unreliable and not effective.

Manual operations will be disregarded and computerized operations will be done. Bulk of
papers which contains School Alumni records, much effort and time exerted and loss of data will
be avoided.

Hence, School Electronic E-Tracking System is a study that uses Technology in tracing
personal and professional information of alumni. This system aims to address both the individual
and institution’s problem. Administering and collecting information can be done via internet. It
builds communication between institution and the alumni in a fastest and reliable way. These
will also provide opportunities for the alumni to be reconnected with former colleagues and be
updated about the school’s latest events. It also generates reports like alumni information, survey
questionnaire, and summary of both employed and unemployed alumni.
Importance of Framework

This study is anchored on the concept of de la Cruz (2014) about Online Alumni
Tracking System of which this system is a well - based system intended for the Alumni to
communicate and be updated about their alma mater. It also contains updated information board
for the alumni that include events, career service opportunities, alumni activity and others. The
system has its own gallery of pictures. This enables the alumni to see how their classmates have
been, professionally. The graduates also can even communicate with their former colleagues
through chat.

This system has its idea presented in the conceptual framework of the study that can be
shown in the schematic diagram. This figure is composed of Input, Process, and Output. The
Input-Process-Output model is a graphical representation of all necessary factors in the study. It
includes all the information required for the process, details of the process and the outcome
resulting from the process.

The input serves as the parameter variables of the study. It caters different modules such
as alumni module, administrator module, communication module and report module. Alumni
module contains survey-questionnaire, communication module and personal information.
Administrator module contains system’s maintenance like event manager module, report
generation, and alumni management. Communication module provides messages to be sent and
received. Report module is for alumni information report generation which included in the list
both employed and unemployed students, survey-questionnaire and alumni personal information.
These modules are the system’s functionalities.

The process of the study evolves around the software tools that are being used during
system’s development such as XXAMPP which contains Apache server and MySQL for
database management system. Macromedia HTML for programming language editor and
interface designs. It displays also the waterfall development methodology as research design
used.

The output of the study which is the system that the researcher is expected to provide is
capable of tracking alumni information and building connections to every graduate in a fast and
effective way.

Project Objectives

General and specific objectives are identifying before the gather and analyze
requirements.

General Objective

The study aims to design and develop the Alumni E-tracking System with its
functionalities.
Specific Objectives

The following requirements are being laid down to determine the level of efficiency of
the system:

1. Alumni Module
2. Administrator Module
3. Communication Module
4. Report Module

Scope of the Study

The following are included as part of the scope of the project.

1. Alumni Module

The user can:

1.1 Answer questionnaire, add and edit personal information.


1.2 Post images, provides likes and comments.
1.3 Send and receive messages to/from other registered alumni.
1.4 View School’s events.

2. Administrator Module

The user can:

2.1 Confirm or cancel registration request from alumni.


2.2 View, search and print alumni information.
2.3 Add, edit, post and delete event’s information.

3. Communication Module
3.1 User and administrator can send, read messages and comments.

4. Report Module
4.1 Administrator can generate alumni information report, questionnaire and
summary of both employed and unemployed alumni.

Limitations of the Study

The System do not include management of survey questions particularly the


administrator cannot add new questions, modify and delete existing questions.
Significance of the Study

This part of the study discusses the importance of developing a system to the following
individuals and groups:
1. Alumni. The system may provide benefits for the alumni for they can be updated as to the
school’s events, answer survey-question in a user-friendly interface and communicate
with their schoolmates in a fast and less expensive way.
2. Future Researchers. This system is subject for improvement in terms of its scope and
functionalities, and may be used for further research.
3. Alumni Coordinator. The system is designed for Alumni Coordinator for fast, effective,
efficient and less expensive Alumni E-tracking system.
4. Administration. The system is beneficial for the school for it reduces the cost of tracking
graduates and it enhances the process of tracking the previous alumni especially in
situation like; Alumni Homecoming Activity, Conduct Tracer Studies, Alumni Election
and other Alumni events.
