ASSESSMENT 2 – Written Report

Report 1:
Executive Summary- Innovation doesn’t happen itself and sometimes it’s the necessities that is
responsible for innovation and other times it’s the creativity. However, it’s always an idea that
acts as a seed for innovation. Any idea when put into practice for the first time brings innovation
and promotes creativity. The report will outline how new ideas and new thinking can be
generated in a workplace. A real organisation has been chosen here to analyse company’s
current and future thinking and practice. On discussion with different stakeholders at
Tascollege, ideas to promote creative thinking techniques to foster personal and team
innovation are also generated and discussed in the report.

m
er as
There could be several reasons for people not bringing out their creative sides to the workplace

co
eH w
and thus it is important to ensure that in an organisation all employees are given an opportunity
to be creative and innovative. At first a meeting was conducted to discuss the college’s ideas on

o.
generation of new ideas and innovation. Afterwards the data collected in the meeting is used to
rs e
ou urc
suggest a range of techniques and tools to identify further ideas for innovation. Various drivers,
enablers and the conditions for innovation impacting innovative thinking and creativity. On
identification of that, one innovative practice is also suggested to be implemented soon
o

Introduction- Tas college is very driven to bring innovation in every possible way. I then decided
aC s

to set up a meeting with the staff of the college with an agenda to discuss three innovation
vi y re

related practices at workplace. Three of the staff members who are working in the organisation
are part of this meeting and a healthy discussion is generated to understand the significance of
creativity in innovation and to explain how the tools for creativity are used during a regular
ed d

innovation process where teams are expected to generate new ideas to further explore their
ar stu

feasibility as proper business models. This consultation meeting process involved 3 personnel
and the meeting was organised in the college campus.
is

Report analysis- To evaluate the innovative thinking and creativity ideas for the overall context
to workplace it is important to get the insight of company’s policies and approach towards
Th

innovation. The meeting began by discussing its policy for generating new ideas at the college.
Although the company doesn’t have any specific policy for innovation however it does use
several techniques to generate new ideas. In the meeting, strategies to generate new ideas by
sh

Tas College were discussed as below-

Thinking out of Box- Thinking patterns can easily influence the working. At Tas college this is
encouraged by various means. The location and layout of the college influence the thinking
process of an employee. To think out of usual, employees and all staff is given regular breaks
and opportunities to express their views. All staff is encouraged to think opposite the norms.

Brainstorming Session- At Tas college brainstorming session are organised regularly which
involve all staff and sometimes students as well. These brainstorming session plays a major role
in collecting different ideas and opinions. This simple brain activity can help in astonishing ways
if conducted in appropriate manner.
Expression through different media: Tas College uses multiple modes of expression through
media. There are several ways employees can express themselves such as emails, telephones,
word association games, and letters. Some people tend to be shy to express themselves easily.
Different expression might spark off different thought patterns. And these new thought patterns
may yield new ideas. Besides these, there are other tools to identify further ideas for
innovation.

In addition to the above discussed in the meeting, I also approached the college’s academic
coordinator to provide the gathered information and suggesting on using a range of techniques
and tools to identify further ideas.
Following range of tools and techniques are suggested-
Divergent tools-All the creativity tools focused on divergence contribute to generate as many
ideas as possible during a short time span, usually a few minutes during an ideation session.
College should ask itself the following questions-
 What would happen if the college target on different pool of clients?
 What would happen if the college has a separate policy for promoting innovation?
 What would happen if Tascollege change its values and strategic operations?
Convergence tools- Convergence thinking tools are intended for a clear purpose to help the
company to organize, filter and select all the ideas generated during the divergence process.

m
er as
Mind maps are usually a great way to organize ideas which Tas College can use to explore

co
associations and divergences between ideas, clustering all those concepts coming from

eH w
ideation.

o.
Ta college’s current and future thinking and practice keep changing with innovation. The
rs e
innovative thinking and creativity ideas for overall context to workplace can be evaluated
ou urc
through many ways. Following are some drivers of innovation at Tascollege-
o

Rewarding for Innovations- College boosts the confidence of employees by giving them
certificates or other awards in order to appreciate their efforts towards innovation. This
aC s
vi y re

encourages the employees to actively initiate creative practices at work.

Hiring for culture- Tas College has a team that shares one vision and works together helps the
organization run smoothly. It encourages different perspectives.
Easygoing with employees- A relaxed and flexible work environment increases team's
ed d

productivity by letting ideas flow. College encourages a relaxed environment which acts as a
ar stu

driver for innovation.

Encourage diversity- Tas college has put together a team with different backgrounds, passions,
and capabilities. To create a positive atmosphere some of the enablers that can help are:
is

 Workplace culture: The culture and the climatic factors at workplace stimulates
Th

creativity in the workplace.

 Management and leadership style: The leadership style in the organisation ease
collaboration between departments and external parties to support innovation.
sh

 Change of environment: Sometimes changing the setting can change the whole thought
process.
 Shutting out distractions: Keep thinking space both literally and mentally clutter-free.
Shut off the Blackberry, close the door, divert your phone calls and then think.
Following Ideas are generated after discussion with different stakeholders of Tas College-

 New ways to be used to seek employees’ ideas and opinions.

 Eliminating manual handling of data with a new, time saving approach
 Giving opportunities to employees to learn different knowledge from varied resources.
 Providing opportunities to students to contribute in innovate ideas.
 Setting up regular brainstorming sessions at workplace.
One innovative practice that Tas College can implement –
Questionnaires and statement-based questionnaires- These can be used every month or every 2
months to collect valuable feedback and ideas from all internal and external stakeholders. These
are easier to use than real-time methods and enable large volumes of data to be collected.
These help in assessing the outcome of specific scenarios, or to assess the respondents’ or
others’ perception in certain scenarios.

Conclusion – All in all, creativity doesn’t happen in an organisation just like that, all employers

m
need to create the right environment to promote creativity. It isn’t wrong to say that the need

er as
of generating new ideas is inevitable as it ranges of techniques and tools to identify further

co
eH w
ideas for innovation. Moreover, this innovation process is not a linear path. We can go through
the divergence and convergence process as much as we need, looking for new and potentially

o.
feasible ideas.

Implementation of New Ideas:

aC s
vi y re

Executive Summary- Organisations that do not implement the new ideas of their employees are
assumed to be following the traditional set of way. To break done those outdated ways, it is
necessary to bring in new changes. A change once implemented well always bring good results.
ed d

On contrary if the company is resilient to change, it doesn’t succeed. Sociologist Karl Weick
ar stu

described this phenomenon as the “enactment of limitations,” the passivity of managers in

accepting the limits of their own private boxes.
Implementation of new ideas may sound an easy task but, it requires a lot of research and
is

planning beforehand. The below report is the progression or the continuation of the report one
Th

where ideas were gathered after consultation with different stakeholders. This report will now
elaborate how these accumulated data and new ideas are implemented in the organisation to
bring creativity and to promote innovation.
sh

Introduction- Since I chose Tas college to conduct my research on, there was a meeting
organised with its stakeholders to generate new ideas for innovation and to understand
college’s approach towards creativity and innovation. This was all discussed in detail in the
above report. The staff and the employees of Tas college were very participative in my research
and provided some unique ideas for making the college’s operations more efficient and

smoother. Although the internal processes are well established, however with the use of these
new ideas the college will benefit in many ways. Noting that, it is important to implement the
ideas in a very structured way. Successful implementation of the business ideas is also very
important to evaluate. Poor implementation can lead to failure. That’s why it is necessary to
analyse the pros and cons of all new ideas before these are implemented.
Report analysis- Once the college has incubated its best ideas, it is time to focus on an issue, a
solution, or a set of sensible parameters and implement your idea fully. From the ideas
generated both internally and externally, the situation of the college can be well understood.
Several tasks are designed in the report that will help the college to attain its goals in relation to
innovation and creativity. These are further implemented or put into action to seek the best
results.
Situation: From the discussion with the internal stakeholders it is noted that the college is
maintaining a lot of student and staff data manually which could result in some errors. There is

m
er as
a lack of system software which makes it difficult and time consuming to store so much

co
information. It is also observed that students are not involved in the process of innovation and

eH w
creativity at the college. Besides, there is no set time for setting a survey or a brain storming

o.
session. During low business times, team felt unenthusiastic due to less work and expressed the
rs e
need to learn different skills of varied roles.
ou urc
Gathering Resources for implementation of ideas- Several types of resources are required prior
to implementing new ideas such as physical, human, technological and other resources. Besides
o

there are several resources online as well such as free listings, online directories, and social
aC s

media which can be used by the company in the process of implementation. At Tas college,
vi y re

technological resources will be required to upgrade the software. A mentor or human resources
are needed to train and impart knowledge in employees. Financial resources will be required to
design and publish surveys or questionnaires.
ed d

Task: To address all the issues related to innovation and bringing creativity at work, the college
ar stu

has decided to set some tasks which would help in promoting creative thinking at workplace.
These tasks cover the following areas-
is

 Facilitate cross skilling to promote creative thinking at workplace.

 Involving students in the process of generating new ideas.
Th

 Organising brainstorming sessions every month.

 Organizing surveys and questionnaires seeking employees’ ideas and opinions.
 Installing customer database in all systems rather than manual handling of data.
sh

These tasks were set by the college academic coordinator (Mr. Karan Rajput) himself when I
presented the gathered information to him. He along with other assistants is responsible for the
implementation of these tasks at Tas College.

Action: All actions rests on the company CEO and the directors, however in this specific case the
college coordinator who is acting in charge of promoting innovation in the company holds
himself responsible for actioning. When implementing the plan, it is necessary to mitigate all
types of risks. Risk management is also a part of the process.
Risk Assessment and Mitigation- In operational context, there is potential of following risks
while implementing the above tasks-
 Installing new customer database requires imparting knowledge in employees of using
the software in the right way. Without proper knowledge no one can make the best use
of it.
 Cross skilling can be hard if the employees don’t show their interest.
 Students might not feel comfortable reaching out in person to express their new ideas
and concerns.

m
Following actions are set with the consent of college stakeholders to mitigate and manage the

er as
risk well.

co
eH w
 Once the new software is installed, training sessions will be organised for team members

o.
to easily adapt changes. Right training to use the new tools is collectively agreed upon.
rs e
 Team members who initiate the request to management for cross skilling will be asked
ou urc
about their areas of interest. Nothing that an action plan will be created to decide when,
how, where and which team members will be cross- skilled.
 Timelines will be set for each team member to finish survey and questionnaires.
o

 Students will be provided with extra time for creative activities other than their
aC s

academic delivery hours.

vi y re

Result: On implementation of the above ideas, Tas college will be attaining the following-
 Equal participation of employees and students in the creative project of company.
ed d

 Improved employee awareness about organization's innovation procedures.

ar stu

 Upgrading to better technology and software will improve college efficiency. On

introducing the new equipment and implementation of the new work processes, the
efficiency increased. Employees will be motivated to accept new technology easily with
is

right training and coaching.

Th

 Employee advancement through cross skilling. Employees will continue learning new
skills through assignment rotation.

innovative practices at workplace. Leadership plays an important role in enhancing

organizational creativity. Thus, a leadership style can directly impact the innovation in
organisation. In my understanding my leadership style is Transformational leadership. It has
generally been understood as a further development of charismatic leadership; some studies
even use the two concepts almost interchangeably. The main motivation of transformational
leadership research in the conceptualization of an appropriate style to transform organizations.
Strengths of transformational leadership style- It is the most actively researched leadership style
regarding innovations and change. Transformational leadership also increases self-efficacy,
raises intrinsic motivation, and contributes to employees’ psychological empowerment;
influences followers’ attitudes optimistically and creates an overall positive culture and raises
followers’ performance expectations, transforms their personal values and self concepts, and
moves them to a higher level of needs and aspirations. In addition, some authors have found
that transformational leadership could increase the level of trust. Transformational leadership
seems to be more appropriate for stimulating creativity and generating ideas than for

m
er as
implementing innovations.

co
eH w
Weaknesses of transformational leadership style- Transformational leaders, being motivators
and movers of change, are passionate about their goals. This is an effective way to communicate

o.
rs e
better to their subordinates and followers. However, this can also be a reason for them to ignore
ou urc
what the real problems are as well as the truth. Critics of this leadership style say that followers
or subordinates of a persuasive and charismatic transformational leader can be made to fulfill
the vision of their leader even if this is deceptive and without merit.
o
aC s

Corrective/ improvement actions which you will take to adjust the leadership style- I can
vi y re

improve this present leadership style if I combine it with transactional leadership and
charismatic leadership styles that can bring several benefits to the organisation as it will not
only give a false hope to the followers but will inspire them in many ways.
