ASSESSMENT TASKS
There are two tasks to complete for this unit of competence:

Task 1 – Written responses and completion of two activities 1) resource estimation and 2) network analysis

This task comprises of two parts which consists of Part A, written responses and Part B, time management
activities, to assess your knowledge and understanding to manage time within a project of your choice. The
time management activity, Part B, also has sub-activities (B1 & B2) that requires you to apply your skills
determining and implementing the project schedule, and assessing time management outcome that reflects
effective planning and control and use of project scheduling tools and techniques to identify schedule impact
on project time management. You are required to respond to all the tasks by demonstrating your skills and
knowledge within the assessment guidelines and requirements. Certain tasks have been developed with
templates, tables, and sections with appropriate spaces, in which you will have to complete and/or provide
information to ensure you demonstrate the skills and knowledge of the units. Marking criteria have been
provided to support the student’s understanding of the requirement for each task.

This activity has been designed to assess your knowledge and understanding of managing project time
within projects.

This task consists of questionnaires which reflect the knowledge of project management (PMBOK). The
responses should include the following:

 Must be relevant to your project as stated in BSBPMG511 Manage Project Scope, unless otherwise
stated. Responses should link to the theoretical aspects of project time management followed by
relevant experience / exposure of your nominated project you recently or are currently working on to
progress both your studies and your projects simultaneously. Your response to the questionnaires
must relate to the same project topic chosen for BSBPMG511 Manage Project Scope subject unit.
 However, if you have started with this subject topic as an initial attempt of this course, you must
negotiate and discuss with your Assessor to consider a project that you recently or are currently
working on or a project that you have worked in the past.

 If workplace project exposure does not apply to you, you must negotiate with your assessor to use a
scenario/case study examples that you will find on e-learning. However, case study examples are a
suitable substitute where workplace examples cannot be provided. Case studies are available on e-
learning. Theory answers without reference to your experience will not be assessed as satisfactory

Task 2 – Portfolio of Evidence

The portfolio of evidence comprises the assessment of the application of your project time management
knowledge. You will need to demonstrate your management skills to manage time which includes
determining and implementing the project schedule and assessing time management outcomes during
project which is based on the project you have chosen for BSBPMG511 Manage Project Scope subject
unit. It should state relevant experience / exposure of your nominated project you recently have or are
currently working on to progress both your studies and your projects simultaneously.

If you have started with this subject topic as an initial attempt of completing this course, you must
negotiate and discuss with your Assessor to consider a project that you recently or are currently working
on or a project that you have worked in the past.

If workplace project exposure does not apply to you, you must negotiate with your assessor to use a
scenario/case study examples that you will find on e-learning. However, case study examples are a
suitable substitute where workplace examples cannot be provided. Case studies are available on e-
learning.

To such a degree they must negotiate with you to use a scenario/case study examples that they will find
on e-learning.

Students nominated project must be agreed between them and you so that its methodology, tools and
techniques accommodate to the performance requirements of each Unit of Competency prior to start of work
on the unit.

Question 1: Describe the main planning tasks performed as part of project time management.
State how this can be discussed to plan and achieve an agreed schedule baseline with

The main planning tasks involved in the kitchen renovation project are Plan Schedule
Management, Define Activities, Sequence Activities, Estimate Activity Resources and
Durations, Develop Schedule and Control Schedule.
Plan Schedule Management makes clear how the project schedule will be developed,
executed, and controlled as well as how changes will be integrated into the project
schedule. We have utilised the project management plan and project charter as well as
references to similar renovation projects in the past.
Define Activities process is all about determining how the project work breaks down into
activities. Tasks are easier to assign, estimate, schedule and control if they are broken down
into smaller units of work. This is executed after the creation of the WBS.
Sequence Activities process builds project schedule network diagrams that visualize the
logical order between all the activities and milestones already defined and point out their
dependences. Example: Creation of PERT diagram, identification of dependencies (approval
of design prior purchasing of materials)
Estimate Activity Resources process is the forecasting the number of all the resources—
human and materials—needed to complete each activity of the project. The activity resource
requirements are necessary to decide the length of time each activity will take to complete.
Example: Demolition works requires 3 sub-contractors, Painting needs 20L of paint and
Electrical needs 20 metres of cable wires.
Estimate Activity Duration process estimates work effort, work resources, and number of
work periods required to complete each activity, with progressive elaboration. Example, the
demolition will be completed in 2 days with 8 hr a day duration.
Develop Schedule process is where a project manager takes all the information gathered in
the previous processes—Define Activities, Sequence Activities, Estimate Activity
Resources, and Estimate Activity Durations—and combines them into one final schedule for
the whole project. Example: Based on the analysis on the previous processes, the kitchen
renovation will start on 11 Feb and completed by 15 March 2019
The Control Schedule process is a monitoring and controlling process that keeps all of the
documents elaborated during the Develop Schedule process up to date and turns Work
Performance Data into Work Performance Information. Through this, the project manager
determines the current schedule status of the project and responds appropriately to any
observed and measured variance.
To get the approval of the Project Sponsor on the schedule baseline, I have compiled all the
deliverables from all the Planning Stage activities into a Schedule plan management
document. Then, I shared Project baselines to the Project Sponsor and other appropriate
stakeholders. I have scheduled a meeting with Project Sponsor and other relevant
stakeholders to review the baselines and made any changes from the formal review and
finalize the schedule plan. Then I requested the Project Sponsor to acknowledge the
baselines and approve the project to proceed.
Question 2: Describe the critical path for a project and explain why it is important to know which
tasks are on the critical path. Include how you applied this within your nominated project.

The critical path method is used to identify the most important tasks and ensure your
project doesn't fall behind schedule. It provides a visual representation of project activities,
clearly presents the time required to complete tasks, and tracks activities so you don’t fall
behind. Adapting the critical path method is essential as it allows project managers to
identify the important activities that needs close monitoring. Apart from that, it helps in
reducing the timelines of activities. If there is a delay on a certain task that falls on the
critical path, it is easier to visualise which activity could be adjusted to bring the project
back to schedule. Lastly, the critical path can be used to compare the progress of activities
based on the planned and actual progress. It helps identify tasks that have already been
completed, the predicted remaining durations for in-progress tasks, and any planned
changes to future task sequences and durations.
In this kitchen renovation project, the critical activities that fall into the critical path are from
getting the designs and materials approved, start of renovation activities (demolition and re-
construction) and the installation of new appliances. If any of the tasks gets delayed, it
would delay the entire renovation. But having a visual representation of the tasks, it helped
me adjust the other activities to bring back the project to schedule. For example, our
demolition task was delayed for 1 day. In order offset the delay, I was able to re-schedule the
painting 1 day earlier without conflicting with other activities. This adjustment has brought
our renovation back to schedule.

Question 3: Describe the tools and techniques you have used to track and manage time for

The tools and techniques I have used to track and manage time for our renovation projects
are combination usage of Critical Path, Network Analysis, and Gantt Charts. The Critical
path allowed me to identify the most crucial activities in our renovation project. These
activities needed more monitoring and control as it has a direct effect to the target
completion date of our project. For Network Analysis, I was able to calculate the earliest
start/finish and latest start/finish dates. I have determined the floats on the project, and was
able to create a more logical sequence of activities. Another tool I have used is the Gantt
Charts. This is a visual representation of all the activities, schedules and milestones of our
project. I was able to use the chart to measure our performance based on the actual
progress against the planned progress. We also adapted a Control System to measure and
report any deviation from scope, schedule and budget. With these system in place, we could
make necessary adjustments to bring the project back to the original baselines. For
example, when we knew that the demolition has been extended for 1 day, we have made an
adjustment in the succeeding activity (Painting) to be executed 1 day earlier to bring back
the project on schedule.

You must use the same project for all units in this course and must be relevant to your project as
stated in BSBPMG511 Manage Project Scope, unless your nominated project changes during the
course or cannot adapt to the performance requirements of any of the units of competency. If
either or both events occur during your course, you must contact your assessor to find out what
you need to do to continue to satisfy the course performance requirements and achieve
competency.

The project must be in an organisation, business or you are operating as a project manager.
Your nominated project must have:

For this task, you are required to review your Work breakdown structure (WBS) created for
BSBPMG511 Manage Project Scope and determine if it has satisfactory element to enable
effective planning and control.

You are to complete the information table as provide below and then provide a schedule for your
nominated project. Using your nominated project, you may choose to do this using a simple table
or creating a Gantt chart. You need to include:

2. Critical Path Analysis 5 Marks

Provide a critical path analysis for your nominated project. You are to use the Gantt Chart and
Network Analysis tool to complete this task. You must demonstrate how you have identified the
Critical of your project schedule by performing perform a network analysis to identify the early and
late starting and finishing times for each activity. State any floats (TT or FF) that are necessary to
identify your critical path. Also state how it assisted you make decisions on your schedule.

Being able to identify the activities under the critical path, I was able to figure out which tasks
deserve the most attention in our renovation project. Based on the above diagram, the critical
activities that fall into the critical path are from getting the designs and materials approved,
start of renovation activities (demolition and re-construction) and the installation of new
appliances (highlighted path). I have utilised this information in optimising the efficiency of
our resources by adjusting it depending on the task’s importance.
3. Communication of schedule baseline 5 Marks

Discuss how you will communicate the schedule baseline to stakeholders. (BSBPMG512 – 1.4)
<1 mark allocated to identify the communication targets and methods and 4 marks allocated to discuss ways to
communicate the schedule baseline.
50% marks will be given for providing theoretical aspect and remaining 50% marks for providing the relevancy on how the
information fits in within your project time management functionalities>

Following our communication plan, the Project Manager is responsible for communicating
the Project Baseline, including the schedule baseline, to all Stakeholders. Once all the
baselines have been drafted, it will be submitted to the Project Sponsor via email. There will
be a meeting between the Project Sponsor and the Project Manager to review and evaluate
the baselines. If the Project sponsor agrees with the baselines, then it will be authorised
and documented. Then, it is still the Project Manager’s responsibility to update other
stakeholders (Project Team, Foreman, Sub-Contractors) about the baselines to ensure that
everyone is informed about the renovation requirements, which will also be the basis of
performance measurement. This will be done thru meeting. If however, the Project Sponsor
finds some baselines needed to be revised, the Project Manager will evaluate if the
suggested revision is practical to the renovation and proceed to raise a Change Request
form to document the detail, if the request is valid. Then the change will be implemented,
and all the relative project plans and documents will be updated. The revision on the
project baselines will also be communicated to other Stakeholders (Project Team, Foreman,
Sub-Contractors) through a meeting.

B. Implement project schedule 30 Marks

aspect and remaining 50% marks for providing the relevancy on how the information fits in within your project management

Task I has a variance of +1. Instead of finishing on 28 Feb, the demolition task was completed
on 1 March. The delay of the activity was due to staffing issues. One of the 3 sub-contractors
hired to demolish the place did not turn up, thus delaying the entire activity by 1 day.

2. How did you know there was a variation in schedule as stated in the above Task 2 B 1? What
tools and techniques did you use to identify the schedule variation?

The variance was identified thru the use of performance reviews and schedule variance
analysis. In the above table, there is a +1 variance on activity I, because of staffing issues.
Thru variance analysis, I was able to identify the source of the delay, and the corrective
action taken in order to bring back the project in schedule. Also thru performance review, I
have compared the performance of the renovation project against the schedule baseline.

3. What options are available to bring the project back on schedule? What option was selected and

The options we have for bringing the renovation back to schedule were to hire additional
sub-contractor to do the demolition or to fast track the painting of the wall by 1 day. In
this situation, we have opted to fast track the painting, as this would save us on labour.
We have started painting the kitchen walls 1 day earlier, to clean the area and tape the
edges, and to apply the primer coating. This was done while the electrical and plumbing
activities were underway.

After the initial meeting with the Project Sponsor, I have identified all the required deliverables
of the project. Based on these, I established the schedule baseline and performance
requirements. The method used to measure our performance is schedule variance analysis.
We compare the actual progress against the planned progress. We also measure our progress
through the Gantt Chart and review the Milestones Chart. We also use Exception Logs to
record all the issues or important events that occur during that day. These are analysed at the
end of the project to make necessary adjustments and improvements for future project. The
progress of the project is reported by the project manager during the fortnightly meetings with
the team and the project sponsor.

5. For the change request documented in BSBPMG511 Manage Project Scope, describe what you
would need to do to implement agreed schedule changes. Include within your responses how you
interact with others and ensure they came into agreement with the actions taken.

Note: If you have not completed the subject unit BSBPMG511 and have started with this course with
this subject as your initial subject unit, then consider a change within your project that has been
requested (either by you, your project team member or Sponsor) that may impact/have impacted on
your project baseline. Using this information respond to the above question.

If there are any request for changes on the schedule plan during the course of the project, it
can be revised by following the Change Control System in place. The required change needs
to be documented using a change request form. The form consists of the detailed description
and justification of the propose change needed. Impacts of change will also be included
(Scope, cost, quality, resources, etc). This will be reviewed and evaluated by the project
manager, for approval and authorisation by the Project Sponsor. Once approved, details will
be cascaded to the team and changes will be implemented.

It is important that all the necessary changes must be identified and planned for before
implementation. Impacts of the change to the project in terms of resources, schedule, cost etc,
must be thoroughly tested and evaluated.

C. Assess project time outcomes 15 Marks

Our time management processes are considered effective since we have completed the
renovation project within the required timeline of the Project Sponsor. The team has worked
steadily in working towards achieving our goals. However, to ensure continuous improvement
of schedule management, we should adapt more tools and techniques to have more precise
estimation on effort and duration of activities, as well as proper impact evaluation of changes
in the overall project. Also, our schedule performance needs to be reviewed more frequently to
determine the effectiveness of our time management activities, not only at the completion of
the project, but during a completion of a milestone and major deliverable.
