Executive Summary
Now a day, people in Myanmar are able to afford to go to schools and
universities because of our country stable economic and technologies development
in our country. Therefore, we believed that it is time to renovate our universities
campus in Yangon because more and more people will attend to universities and
live campus to studies.

Our project goals are to make Dagon university campus a better environment for
living and studying and create an environment to improve overall academic and
social growth.

1. The Business Case

Our project is renovation for proposal for student accommodation university of


Dagon located in North Dagon, Yangon city. The reasons our team take this
renovation project is because we want to create to improve, clean and healthier
environment by bring a refreshing and new atmosphere to the campus.

By doing this project for the renovation for university of Dagon, we can have
gaining experience and knowledge from this project. We can also create a better
environment for living and studying and create an environment to improve overall
academic and social growth in university. However there were some limitations and
difficulties because of time limitation and budgets.

We have estimated that time period our renovation project will take is 1 month and
2 weeks. We will first conduct several maintenance programs, and then start the
enhancement part of the project, and finish off with a few minor changes.

There are three steps in our projects and they are inspection, maintenance and
enhancement. For inspection, our team inspects the campus and mark down the
rooms and location we needed to renovate and repaired. For second step, our
team polish and repairs rooms, rooftops, kitchen and gym. For final step, we
replaced old and damage light bulbs and water spray in restrooms and paint the
walls in campus.

During our project of renovation, we have expected benefits and disbenefits from it.

 Encourage staff to follow appropriate hygiene procedures
 Go green by reducing waste (tissue papers)

2. Project Time Management

In our renovation project, time management is important because we have 3


months dead line for renovation for campus. Therefore, time Management is
important the tools to organize and plan the time spent on activities of project for
renovation of campus. The good time management can give our team the result of
improves effectiveness and productivity of project. It is a key aspect of project
management in and involves planning, organizing, setting objectives and
prioritizing activities for a better performance in project. [ CITATION App15 \l 1033 ]

During our project, we have used every available tools and techniques to better
decision and management in our time management.

 Use latest task management software, such as Asana software, to manage


time and tasks for project.
 Created a timetable and schedule which included all tasks and their
duration.
 It is important to focus on task at hand when renovation take place in
campus since there would be a lot of noise and distractions in tasks.
 Track list and organize the project activities through priorities. This can
identify hard and easier tasks in project. Then we can do harder on first and
easier tasks later because harder tasks are more complex and time
consuming and easier tasks take less time. [ CITATION App15 \l 1033 ]
 Double checked our equipment and materials that we use in renovation so
that we would make mistake.

3. Project Risk and Quality Management

Risk Management

Risk management is very important in our project because it can show in early
stage whether our renovation project is possible to pursue or not. As a complex
project, the success or downfall of the renovation will be depend on the nature of
risks that we identified. [ CITATION Har \l 1033 ]

Before we start the project, we have identified the risks through brain storming
with team, brainstorming, inspecting throughout the campus, calculation result of
expense and materials cost, discussion with school board council, Review
documents of project.

Through our risk identification, we have find risks for renovation that involve with
our justification and cost-effectiveness (project benefits, present worth, rate of
return, etc.), financial, cost estimation, schedule and milestones, environmental
impact statement and execution plan for our project.

Risk Planning and Respond

Through the identifying of risks in our project, we have come with plans and
respond to deal with risks. They are:

• Plan for indoor renovation in case of bad weather during project.


• Make contract agreements if the owner has change of decision for design.
• Hold pre-construction meeting before starting project.
• Find and plan for any ITs renovation relative problems and risks for project.
• Rent a generator in case of electrical outrage.
• If there has been lack of resources and funds for project, negotiate with
owners or get more sponsors for project.

The effectiveness of risk management

The renovation project will face various issues from internal and external factors
and influences during our project. Therefore, risk management is important and
helpful for managing the project because it can help our team to prepare and adapt
to the change and difficulties. By going through risk identification and its responds,
it ensure that change and back up plans are likely to be successful and waste less

Quality Management

Quality management ensures to the degree to that the product or the service
performed meets the customer's expectations and requirements. However, quality
management procedure is a complex concept because it is required to delivering
high quality products and services, on time and within budget. Therefore, it is
important for the project team to use time and money wisely during renovation.

In our renovation project for university’s campus, we have ensured to:

 Set out the quality policies and how these policies will apply to the project.
 Describe the resources and activities necessary to make renovation and the
order in which they will be carried out.
 Back up procedures for dealing with defects.
 Inspect every materials and process during renovation.
 Handle material receiving and inspections.
 During renovation, monitor work in process.
 Complete the renovation due deadline.
 Verify that completed work meets project specifications

Furthermore, there are various procedures that our team develops to monitors the
quality of service to improve our performance for our customers. We are
confidence that it will help us to improve our project team’s performance in Dagon
university renovation.

4. Stakeholder Management and Communication Strategy

Stakeholder Management

Stakeholder management is important for renovation project because there are


people who have a stake or an interest in a project and they will be affected in
some way be the project and so have some interest in influencing it. Therefore, it is
important to build a relationship with these people.

It is best advice to monitors these stakeholder because their interest in project


can hinder the process of renovation. For example, noise from the renovation can
disturb the university staffs and students or board of directors had change of
decision in renovation. This can delay or increase the expense the operation of our
projects.

Stakeholder Communication Plan

o What needs to be communicated?

During the period of our renovation project, we will need to communicate several
things with our stakeholders because we need to report our team process and
activities. These include activities information include daily, weekly, and monthly
reports, new information on the project, changes, updates and expense for the
project operation. There emergency meeting would be needed in case of
unexpected incident occur during renovation.

o How the plan will be communicated?

Our team has come up with different method of communication for difficult group
of stakeholders.

For Internal Stakeholders, such as project team, students, managing staff, other
non-managerial Staff, board of directors, will be communicate on will be person to
person, social media, telephone, and by using e-mail.

However, for the External Stakeholders group, the communication methods and
techniques used will be different and less than the Internal Stakeholders because
internal stakeholders carry a greater interest and stake on the renovation project
than the external stakeholders in the renovation. This can reduce time waste in
communication.

We will choose to use phone call and emails to communicate with the local
authorities and government while we choose use social media for the non-
managerial staffs.

5. Review of lessons learnt from working within groups

I have learned several important lessons from this project. At first, we have little
experience and knowledge on anything that is related with renovation. Through
difficulties, we have work together and learnt the traits of renovation and how it
work in business and finally did our best in this project. Though this, I have learnt to
corporate, proactive, and productive to be helpful in this tea.

During the project, we have many discussions and debate about this project. We
brainstorm and discussion about the ideas, theories, concept, risks, and factors to
implement the renovation project.

Each of the team members has different skills and talents to contribute in project
and help each other to make this project successful. Therefore, we decided to
divide our parts and works in this project to be effective as possible. Through
obstacles, we have learned how to use available resources and opportunities
within limited budgets and timeline to make this project successful as possible.

However, there were many issues and problems within the team during the
project. Firstly, since we have little experience and knowledge on renovation
project, there will a lot of doubts and dispute when we had discussion about the
project. These had led to the arguments and fights in our team. This had led to
time delay and waste of effort in project. However, we had learned to step aside
our disagreements and work together. We had learned to respect each other
decisions and ideas while not criticize each other too much.

If I had a chance to redo this project, I would have argued less with my team
mates because we had waste so much time on the arguments and fight for our
project and we could have do better and improve if we hadn’t.

6. Personal reflection on Individual learning

My main contributions in this project were identifying risks and constraint for the
renovation. They are important because project on them for whether it can
continue or not.

Since I had a little experience and knowledge in renovation, I had my doubts in


this project. However, I have search online, read books and interviews with a lot
people at construction site and companies about the risks and legal constraints to
gather my knowledge to be used project. After this, I had gathered and met my
teammates and discussed with team members with what I managed to gather.

After discussion and made through agreement with my team members, I wrote
down about project risks, risk respond, risk matrix, risk register and constraints
from the knowledge I had gathered with my team.
