Tomás phones a travel agency to book their flight to London.

Anthony: Sunset Travels. Anthony speaking. May I help you?

Tomás: Ah yes, hello. I’d like to enquire about flights to London from Jerez airport in Cadiz, please. Two people are travelling on a business trip during the middle of next month. – Monday 15th
until Thursday 18th. I need information about flight availability and prices.

Anthony: Right. Let me check. You said two people are travelling. Do you prefer economy, business or first class?

Tomás: Both of us will go business. Is there any discount rate for regular customers this month? I´m calling from Bodegas Holden.

Anthony: I think we still have a 10% for more than ten bookings a month, but I can check that for you. Will this be one way or return?

Tomás: Return.

Anthony: Okay, …There is a direct flight ..Jerez-London to Stansted Airport.

Tomás: How much is that?

Anthony: That´s 140 euros.

Tomás: Does the price include airport taxes?

Anthony: Yes, that´s the final price.

Tomás: Could you tell me the flight times?

Antony: Well, departure time is 20:55 and arrival time is 22:40. As for the return, you leave London at 16:40 and get to Jerez at 20:30.

Tomás: Sorry. 20:30, you said?

Anthony: That´s right.

Tomás: Okay, do you mind if I book it provisionally for now and I'll call you back later to confirm?

Anthony: That's fine, sir. May I have your name, please?

Tomás: Tomás Lara.

Anthony: L, as in London, A-R-A. Is that correct?

Tomás: That´s right.

Anthony: Can I help you with anything else? Hotel booking or car rental? We offer very good rates.

Tomás: No, thanks. That's all for now. I´ll call you back later this evening.

Think about it
When travelling by air, we must first purchase a flight ticket that allows us to fly to our destination. There are a number of available options for us to choose from. To get the most out of your travel
experience it is important to understand these choices and how they work.

The situation

Tomás will have to travel to London with Mr Powel and there are quite a few arrangements he has to make in advance, so that everything goes well.

Read the text and find out.

Secretaries are often the ones in charge of making travel arrangements for other members of the company. They know how to make flights and hotel reservations, keep travel documents in order -passports, credit
cards, travel cheques…etc. But do secretaries know what to carry on a business trip? Sometimes promotions or offering to travel along with managers come unexpectedly.

Some travel arrangements before the trip are:

Finding out how much credit you have on cards, -we never know how
much money we may need; saving important numbers on the mobile – the
travel agency’s number, emergency numbers, etc; checking the frequent flyer
program, perhaps we have accumulated enough mileage to travel first class;
printing our flight confirmation in case the book system fails.

What should we put into our suitcase?

Business people are normally in a hurry; that´s why many of them only take carry-on luggage and prefer not to check-in anything. Luggage carriers or suitcases with built-in wheels can be very useful for long
walking in airports. Comfortable shoes may also help.

In order not to forget important things, using a packing list has proved useful to many people. Some important items we should carry are:

Business cards: we never know when we can make new contacts.


A small amount of money: we may have problems to find an ATM or find that credits are not accepted.
Travel toiletries: shower gel, deodorant, shampoo, toothpaste, comb, brush ..are not always provided by hotels.
An interesting book or magazines to read in case our flight is delayed or just to relax during long trips.
Extension cord for our laptop.
A map of the town we are travelling to; we must know where our hotel and workplace are located.
A folding umbrella.
Earplugs for snoozing on airplanes.
One suit and several blouses; shirts or ties to change its look. They should resist wrinkling.
A wallet or money belt around the waist to carry important documents: passport, plane ticket, traveller’s cheques and cash.
A small flashing for emergencies at night.
Safety pins and a pocket sewing kit.
Medications, charger, mobile, laptop, pen and paper and a bottle of water.

If we want to enjoy our business travel and feel relaxed, we must plan it in detail in advance. We will give a better impression to local executives and it will be good for business in the end.

1.1.- How to book and confirm a flight: Ticket agent's language

In this section we are going to study some phrases which are quite useful when booking a flight.

Ticket agent’s language:

Good morning/ evening/ afternoon. …….Airlines. May I help you? / Welcome to ……..Airlines. Can I help you?

Do you want to fly economy, business or first class? / How would you like to fly? Economy/ tourist ? Business? First class?

What is your destination?

Which airline would you like to use?

We have (number) flights to (destination) weekly:…..One is a direct flight, another has one (two) stopover / you have to transfer at (city).

Which flight would you like?

When are you thinking of flying to…? When will you be returning?

How many passengers will be travelling? Are you travelling alone? How many seats would you like?

4.1.-Boarding card

The boarding card or boarding pass is the official document the airline's staff will ask you to show when you are going to get on the plane.

These are the most frequent words you may find in a boarding card.

Flight: It is the name of the flight, always containing letters and numbers.
Destination: The place where the passengers will be taken.
Passenger: The name of the person who is travelling.
Gate: The door through which the passenger will access to the boarding area.

Boarding zone: The area where passengers wait to get on the plane after handing in their boarding card and passport.
Tracking: It is the computerised code in order to follow the route of any flight.
Options/class: Different categories for the passenger when purchasing a flight ticket.
Seat: The number and letter of your seat.
