Secretary: Yes, that´s fine. Go ahead.

Tomás: I have already booked our flights, Julia. Do you need to write down the flight details?

Secretary: Yes, please. Let me get the diary….ready.

Tomás: Our flight is LS 963. We are arriving in Stansted airport at 22:40 on Monday 15th.

Secretary: Fine I’ve got that. I will arrange for a company car to pick you up.

Tomás: Thanks. About the hotel, which do you recommend?

Secretary: What exactly do you have in mind?

Tomás: Mr Powell just told me somewhere close to your offices with good business facilities.

Secretary: I know the perfect hotel. I will email you their webpage.

Tomás: Just one more thing, Julia. Could you put me through to Mr Evans? I need to set up our first meeting on Tuesday morning.

Secretary: I´m afraid he´s in a meeting now, but I’ll just look in his diary. What time is convenient for you?

Tomás: Mr Powell is visiting some other clients early in the morning. What about 11:00?

Secretary: Mr Evans is free after 11:30. So, shall we say... 11.45?

Tomás: Yes, 11:45 suits me fine.

Secretary: Okay, then. I will put it in his schedule.

Tomás: Okay. Thanks. I´m looking forward to meeting you.

Secretary: So, am I. If you need anything else, don’t hesitate to call me again. See you on Tuesday, March, 16th.

1.- Reading exercise.

Let's read the following text to find out about ....

PRICE TRANSPARENCY

New EU regulations have recently come to force and European airlines will have to publish more real prices and they will have to include all taxes and charges when
advertising air fares.

Consumers who booked flights online complained because airlines companies advertised fantastic offers without mentioning a number of hidden charges they ended up
paying at the end of their booking process.

A final price now must include all taxes and the airline website has to provide the options for consumers to opt out “optional subcharges” such as priority boarding and seat
allocation, insurances, checked baggage, sport equipment or musical instruments, and infant fee.

If you are a musician and are married to a professional skier and you need priority boarding because you have a little baby, you will have to pay the following extra charges: 8
pounds per bag (one-way trip), that makes 16, 4 pounds for priority boarding, 10 pounds for infant fee, 40 pounds for your pair of skis and the guitar, plus an airport check-in charge of 4 pounds. This couple will
need 74 pounds for these optional extras and the same amount for the way back.

We still need to add the so called “handling fees”, that is what airlines charge for using debit and credit cards. This can be around 4 pounds per one-way flight.

The existing consumer protection legislation wants to put an end to misleading information, but are airlines companies actually offering price transparency?

As we know, “rules are meant to be broken” and airlines give you the cheapest fare possible, taxes included, when you search for a flight but that price is never available on the day you want to fly. Some other
companies will only offer the price for one-way ticket to make the flight look as a bargain.

All being said, the situation has improved and we have a more realistic idea of how much we will pay, but the first price we see on screen is still often far from the amount we will pay in the end.

4.- Writing exercise.

The situation
When a company's representatives travel for business, it is common practice to do it with an itinerary template.

Tomás has prepared it for Mr. Powell on his trip to London.

How to Use a Travel Itinerary Template

A travel itinerary template is designed to cover all of the basic details that need to be included on an itinerary for a business trip. It may change from trip to trip and traveller to traveller. We must remain flexible.
Here are some tips:

1. Personalize the HEADER (encabezado) information on the template:


a. Include your executive’s name and your company name/logo.
b. The travel dates.

2. Update/add all AIRLINE information:


a. Dates, times, flight numbers, airline 800 numbers, travel agency numbers.

3. Update/add the GROUND TRANSPORTATION information:


a. Include car service info or shuttle/taxi contact numbers.
b. List on the itinerary where the car service or shuttle will pick the passenger up.
c. The confirmation number.

4. Update/add the HOTEL information:


a. Include a hotel contact number.
b. Street address and driving directions if necessary.
c. Confirmation number and room rate.

5. Insert all pertinent MEETING INFORMATION (dates/times).

6. Check the data of the itinerary as though you were the traveller. What additional information would you want to know? These can be some examples.
a. Restaurant options and/or locations.
b. Entertainment venues.
c. How to dial in to get voice messages.
d. How to access email (or webmail) remotely.

Print a final copy for your executive and a copy for your file so you have the same information if they need travel assistance while they are away.

If your executives have e-tickets for their flights, print a copy of the flight reservation from your travel agency or online booking service and staple it to the back of the itinerary just in case there are any issues
they need to check at the airport.

Look at the example. We have filled in the template for Mr David Powell’s trip to London.
