Chapter 3: Four management Functions of
“SQ Group”

8|Page
The major functions that a manager completes can be categorized into four different functions
known as planning, organizing, leading, and controlling is given below:

Planning
Planning is the process of thinking about the activities required to achieve a desired goal. SQ
Group has several kinds of planning as they deal with various company and they maintain
their several company. They have to take a “Master Planning” for all their companies.

They make “Contingency Plan” to cope with any difficult situation. A contingency plan is
sometimes referred to as “Plan B”, because it can be also used as an alternative for action if
expected results fail to materialize. This is a component of business continuity, disaster
recovery and risk management.

The time frame of their planning is 6 months. Therefore, they use short term planning for
their sectors.

While making a plan they consult with all the supervisors and subordinates so that a better
result comes out. Top level managers discuss about their problems with their subordinates
and then the main planning comes out. They also make decision in this way.

Planning is actualized by the subordinates. Therefore, if top level managers consult with
them, the subordinates become more sincere to do their duty. So SQ Group takes this kind of
initiative to make planning.

They also have Policy, Process, Procedure and Technique of their own. They try to maintain
their policy to solve any problem properly. As SQ Group manages several company of their
own they have different mission and vision for their companies.

A mission statement defines what an organization is, why it exists, reason for being. And
vision is a description of what an organization would like to achieve or accomplish in the
mid-term or long-term future. It is intended to serves as a clear guide for choosing current
and future courses of action.

Organizing

Organizing is the process of defining and grouping the activities of the entire process and
establishing the authority and relationship among them. In SQ Group’s organization chart we
see that there is Board of Directors at the top. Then next place is Chief Executive Officer of
SQ Group. Then their companies in the organization chart. We can see SQ Celsius Ltd, SQ
Birichina Ltd, SQ ColBlanc Ltd and SQ hues Ltd which are under Core Operations Leaders.
Then by the Leverage teams their Marketing Design & Development Merchandising works.
Then comes Shared Services group. Here lies Chief People Officer, Chief Supply Chain
Officer and Head, IPCA (Internal Process Control & Adult)

Leading

Leading is the third step that is accomplished by communicating, motivating, inspiring, and
encouraging employees towards a higher level of productivity. Leading is considered to be
the most important and challenging of all managerial activities. Creating a positive attitude
towards the work and goals in among the members of the organization is called leading.

SQ group is always trying to influence or prompt the member of the organization to work
together with the interest of the organization.

SQ group puts a great emphasize on leading as it helps to serve the objective of effectiveness
and efficiency by changing the behavior of the employees. To them leading involves a
number of different processes and activities.

The functions of direction, motivation, communication, and coordination are considered a

part of leading process or system.

The below structure broadly structures the hierarchy layout , business sharing and operational
responsibilities of the Board and the leadership teams of SQ group -

BOARD

The board, led by the founder Muhammad Ghulam Faruq, comprises the natural team - his
family. Being a family business the board is fearless in taking decisions and emotionally
honest in expressing opinions. For them, uniformity and speed is the key. The board
estimates and sets the directions of the business. It empowers the leadership teams to build
their strategic proficiency, set standards and define the core values and culture of SQ group.

LEADERSHIP TEAM

The leadership team consists of a strong combination of national and international apprentice.
It is designed to provide SQ group the capacity to profitably sustain in the global business.
The team acknowledges and enjoys working in the friendly environment of the organization.

Controlling
Performance standards are often stated in monetary terms such as revenue, costs, or profits but
may also be stated in other terms, such as units produced, number of defective products, or
levels of quality or customer service.

The measurement of performance can be done in several ways, depending on the performance
standards, including financial statements, sales reports, production results, customer
satisfaction, and formal performance appraisals. Managers at all levels engage in the
managerial function of controlling to some degree.

Controlling consists of three steps, which include-

(1) Establishing performance standards, (2) comparing actual performance against standards,
and (3) taking corrective action when necessary.

SQ group uses KPI for establishing performance standards. KPI stands for Key Performance
Indicator. It is also known as performance metrices and performance measuring tools. KPIs are
the primary parameter by which performance of a business is assessed.

One of the most important, but often overlooked, aspects of KPIs is that they are a form of
communication. As such, they abide by the same rules and best-practices as any other form of
communication. KPIs are an effective tool to help build better performing teams. For this SQ
group is one of the leading manufacturing knitwear company in Bangladesh.

Chapter 4: Findings and Conclusion

13 | P a g e
Findings

• We should use contingency planning dealt with any difficult situation. As our circumstance is
always changing so contingency planning is must. By using this kind of planning we can
overcome any changing situation without facing any lose.

• We should take opinion from our subordinates so that we can get a better outcome. Because
our planning is actualized by the subordinates. So their opinion is sometimes important. As
their opinion is taken they can think the company as their own and try to provide a better result
to the company.

• Master planning is important to link up all the companies under any Group of Company. By
this kind of planning all the planning of the group can be linked up and actualization become
easier.

• Straight line organizations are effective. So that the scalar chain of order is kept in any
organization. By straight line organization the command of the top level managers can be
properly flowed to the mid level and lower level managers. And if there is any complain or
other issues it can be went up to the top level easily and steps can be taken faster to solve any
kind of problems.

• Leadership team must provide the capacity to profitably sustain in the global business.
Leadership is about mapping out as a team or an organization.

• Controlling includes three steps. One of the most effective establishing performance
standards is KPI. It's a performance measuring tool to help build better performing teams.

Conclusion

A manager firstly plans for his/her organization. This is the 1 st task of management process.
Then he/she has to organize all the objectives and human resources of the organization. For
this he/she have to think about many aspects. Thirdly he/she have to lead all the employees of
14 | P a g e
the organization so that their planning can be fulfilled. Leading is a must for any
organization. This is the responsibility of the leader or manager. If he/she can lead employees
properly a better outcome will result. Lastly he/she has to do the controlling process. By this
process a manager can set a standard of output, can measure the output. Then he/she can
compare the outcome with the standard. It there is any mistake he/she can take proper steps
to overcome that mistake. By this the controlling process ends. By this functions an
organization works.
