Entrance Exam Day Guidelines

This document will serve to give the basic guidelines on how to appear in online entrance exam
for Year 1 to Year 10.

Introduction

Ever since the new normal began with the pandemic outbreak, PISJ-ES has been successfully
functioning in Virtual Learning Environment. MS Teams has been instrumental in the remote
learning and for assessments.

Keeping the safety measures intact, Entrance Exams for the academic session 2021-22 will also
be conducted online on MS Teams. This brief guide will serve as a walkthrough for the online
Entrance Exams to be conducted on MS Teams.

Therefore, it is essential for the Prospective Parents and candidates to familiarize themselves
with the basics required for sitting in the online entrance exam as mentioned in this Guide.

It is advised to read it carefully and practice the steps mentioned before sitting in the exams.

Joining the Exam Meeting
1. You must join the exam meeting 30 minutes prior the start time of the exam so that
attendance can be taken, and minor issues can be resolved.

2. You have to join the Exam Meeting from the calendar. Click on “Calendar Tab” on your
left navigation panel. Click on the Exam Meeting and click on “Join".

The following window will appear:

3. Click on the ‘Computer audio’ radio check button and then click ‘Join now’ button at
the bottom. Make sure the Camera is on by checking the camera option.

4. A gallery of multiple images will appear showing the candidates along with the
invigilator.

Interacting in the Exam Meeting
There are several controls which will help the candidates to interact with the invigilator like
Chat, Raise Hand etc.

1. To use the online exam chat, click the Chat icon.

2. Candidates can type the message in the chat box and send. Be sure to follow invigilator's
instructions for what type of messages are appropriate for the online exam.

3. If a candidate wishes to ask a verbal question, use the ‘Raise hand’ option. State the
query after the invigilator asks.

NOTE: The camera and mic MUST be switched on all the time throughout the exam meeting.

Accessing Entrance Exam Assignment/ Form
1. Without leaving the meeting, toggle to the other window of Teams. You can do this
either by minimizing the meeting window or by clicking the other Teams window
shown in Taskbar at the bottom.

2. Click on the Teams Icon on the left navigation pane.

3. Entrance Exam 2021-22 Team would be visible on the dashboard. Click on the Team.

4. After clicking on the Exam Team, the following screen will be displayed, click on the
view assignment, and start attempting the Entrance Exam.

5. There will be separate assignments for each subject. Please follow the invigilator’s
instructions. Also note down the due time before which all subject forms must be
submitted.

6. A question paper will open which is called a ‘FORM’. It will be referred to as a ‘FORM’
instead of question paper throughout the exam.

NOTE: The child must not access the form/exam until and unless the child is under the
invigilator supervision. Accessing or attending the exam when not in meeting will lead to
disqualification.

7. Attempt the questions by selecting on the right options. A sample assignment of
different types of questions (MCQs, sequencing etc.) will be uploaded for candidates in
their Entrance Exam Team to familiarize them with question patterns.

8. At the very end of the form a ‘Submit’ button is given. Make sure to click the submit
button before the given time ends which will automatically hand-in (submit) the paper.
IF THE CLOSING TIME IS MISSED, THE BUTTON WILL DISAPPEAR AND THE
PAPER CANNOT BE HANDED-IN(SUBMITTED). Thus, leading to
disqualification.
9. Make sure to start handing-in (submitting) the form 5 minutes prior to the close time so
there is enough time to resolve any last moment glitches.

10. Once the form is handed-in, the below message will be displayed, the candidate will
click on the ‘Close’ button, the window will return to the previous Assignment screen.

11. It will show the time the Form was handed-in.

12. When all the Forms are submitted, the candidate may inform the invigilator and leave
the meeting.
13. Make sure to sign out from the Teams after the exam is submitted by clicking on the
circle on the top right of the bar. The candidates will have a random number or their
name initials as the picture by default.

14. The result of Entrance Exam 2021 – 2022 will be announced on the school website.

Exam Check List

This checklist will aid you in preparation for the Entrance Exam:

 Log in through a Desktop / Laptop (NO mobile or tablet).


 Remember the username and password correctly.
 Be sure to:
o know the correct date and time of the Exam through Calendar Meeting Link.
o know how long the duration of the Exam is.
o know any other important, “need to know” factors outlined by the school
administration through school website and team notifications.
 Log in 30 minutes before the exam on MS Teams.
 It is expected that the student will be familiar with the online exam environment by using
the tools of MS Teams and attempting the sample assignment prior the entrance exam.
 Check your Team and your General Channel for necessary announcements.
 Read and understand the exam guidelines that will be posted in General Channel.
 Connect the video meeting through Calendar Meeting Link. Check camera and mic before
joining.
 Read the title of the exam to verify you have opened the correct subject form.
 Review your answers before you submit the exam. Ensure that every answer appears as
you intended.
 Click submit once. You should only need to do so once, but if you have a problem, try
once more. If you still have a problem submitting the exam, let your invigilator know
immediately. You can do this by informing her verbally or by sending her/him a message
on meeting chat.
 Keep an eye on the time constraint and stick rigidly to it.
 Keep admissions support email address handy with you so that no time is wasted in
looking for it.

Logging a Complaint

1. Do not panic when you face a technical problem.


2. Contact Support immediately on:

3. Mention the exact problem that occurred and any error messages you might have
received. You can do this by sending a message on chat immediately.
4. Take the screenshot with the time and date visible. Send the screenshot to your
invigilator via chat. If they ask, send it to above mentioned email address too.
5. Such queries/issue reports will only be accepted within the 15 minutes of the incident
occurring.
6. Without relevant evidence the student will be marked as absent. No complaint will be
entertained without plausible reason and supporting evidence.
