PART A:

After reading this blog posting, there seems to be a number of issues with
this post that the manager could’ve and should’ve presented differently to
get their point across and achieve a better result. First and foremost, the
tone of the blog post is very negative and accusatory. From the first
sentence to the last, the manager is condescending and without explicitly
pointing fingers, is actually doing so by saying ‘I don’t care if you girls had
to shop’ which is clearly calling out his female employees in front of
everyone, which is a very bad approach. They also use threats as a means
of a way to try to scare their employees into doing what they are asking
or rather, telling them to do. Though the issues the manager is presenting
are legitimate issues that need to be addressed with their employees, they
could’ve presented their case in a stern yet respectful and tactful manner.
These are basic communication skills that managers must have in order to
be successful and clearly, this manager is lacking in those skills!

Subject: Time Cards

Hi Team,

I would like to address an issue that has recently been brought to my


attention regarding time cards. Company policy instructs us to record our
in and out punches to the minute, each and every time we begin or finish
our work day. I know in some instances we may forget the time we
arrived or left, or we may be in the middle of something and can’t record
our punch right at that moment but unfortunately this seems to have
become a chronic issue that we must address. To assist with this effort in
mitigating these types of time card issues, we will be instituting a new
system that will survey and monitor building entry and building exit times
for all employees. These in and out times will be logged every time an
employee presents their key card at the building entry, to enter or exit.

In order to ensure that we are all adhering to our scheduled start time in
the morning and our scheduled 30 minute lunch breaks, we will be
enforcing a three strike rule that will hold all of us accountable for our
punctuality, as we need to make sure this is a priority companywide
moving forward. In the event that the three strike rule is exceeded, that
employee will receive a written warning and puts themselves at risk for
termination with additional violations.

This notice’s intent is not to threaten or to point fingers,


it’s simply something that needed to be addressed as it is every
employee’s responsibility to adhere to our company’s stated policies
regarding timeliness. Not only do these issues eat into our profits but they
also show a lack of respect towards our colleagues, as we are ALL held to
the same standards and it is not fair to those that respect and adhere to
company policy. Also, our clients expect us to be ready to go as soon as
the clock strikes (your scheduled start time) every morning and if we
aren’t at our desks ready to assist when the phones begin to ring or the
first e-mails of the day arrive, this creates an environment of uncertainty
for our clients and shows them that we may not value their busy
schedules as much as they thought we did. These are the reasons why
this is so important for us, we want to build our clients trust by being
there for them when they need us, time and time again.

If anyone has any questions at all regarding the information contained


within this letter, please contact me ASAP so I can provide any additional
clarity that is needed so we are all on board with a clear understanding of
the expectations moving forward.
