Vacancy of Program Assistant

(Training Section)
JICA Indonesia Office is an active development partner of the Government of
Indonesia, located in Jakarta. The Office is now seeking one qualified and
experienced candidate for a position as follows.

Program Assistant (PA):

Under the supervision and guidance of the home staffs and national staffs in
charge of JICA training program, the Program Assistant (Permanent Staff) in
Training Section (hereinafter referred to as “Program Assistant”) executes the
various works for managing JICA training program, especially, “Group and
Region Focused Training Course” including online training course.

In the actual situation that many training courses are running in parallel,
throughout the following works 1 - 4, Program Assistant is required to execute
the schedule and process management of each training course carefully so that
application form submission and visa issuance are completed by the designated
deadline date.

1. Works on Candidates Recruitment

Program Assistant executes the operation to recruit training course candidates


from the Indonesian Government based on the training course information
documents (GI: General Information) from JICA Domestic Centers in Japan.
Program Assistant drafts and sends GI letters to the Indonesian government
and facilitates the submission of application forms from candidates.

Program Assistant is required to make careful time-schedule management and


frequent communications with candidates and related Ministries in order to
complete the submission of application form before the designated deadline
date.

2. Works on Notice of Acceptance (or Non-Acceptance)

Program Assistant executes the operation to prepare Notice of Acceptance (or


Non-Acceptance). Program Assistant sends the information of application forms
to JICA Domestic Centers by registering application form information in JICA
KCCP System, and sends acceptance letter or non-acceptance letter to the
Indonesian Government based on the selection result by JICA Domestic
Centers.

Program Assistant is required to become proficient in the operation of JICA
KCCP System and make careful communication with Japanese staffs in JICA
Domestic Centers.

3. Works on Overseas Trip Preparation

In case of on-site training course in Japan, Program Assistant executes the


operation to prepare overseas trip for training course participants. Program
Assistant collects necessary documents to apply visa including the documents
that should be prepared by participants.

Program Assistant is required to make careful time-schedule management and


frequent communications with candidates and related Ministries in order to
complete the issuance of visa before the designated departure date.

4. Works on Online Training Course Implementation

In case of Online Training Course in Indonesia, Program Assistant executes the


operation to prepare appropriate internet circumstances for participants. The
Program Assistant checks each participants’ internet access circumstance and
takes necessary arrangement in accordance with the “Online Training Course
Guideline in JICA Indonesia Office” so that participants can take online training
course without any internet access trouble.

Furthermore, Program Assistant is the first contact person from participants and
JICA Domestic Centers when any problems happen in the duration of online
training course.

QUALIFICATIONS

1) Good verbal and written communications skill in English. Especially, written


and reading English skill is essential requirements.

2) Proficient computer skills (e.g. Microsoft Excel, Word, Power Point.)

3) Minimum Bachelor Degree (S1) with working experiences preferably on


development cooperation or government services. Working experiences in
Japanese Institution is advantages.

4) Good interpersonal skills, adaptable, and willing to learn in the multi-cultural


environment. Strong interest and good knowledge of international development
issues are advantages.

5) Age: preferably maximum of 35 years old.

6) Limited to Indonesian nationals.

of related certificates including work-related references, in a sealed envelope with
the subject of “PA” on the address, by either postal mail or hand-carry, to JICA
Indonesia Office at Sentral Senayan II 14th Floor, Jl. Asia Afrika No. 8, Jakarta
10270. The application deadline is June 16th, 2020 (Wednesday).

• Start 1-year contract, followed by the opportunity of permanent staff


subject to performance.
• Evaluation of applicants shall not be limited to the above-mentioned
qualifications. JICA may consider other relevant work criteria in
recruitment of said position.
