Factors affecting selection & evaluation of Computer


Selection of Computer:

In order to select a computer a person should considered the following factors. These factors are:

1. Objective of the organization: This is a key factor that effects the selection of a computer for any
organization. In the market different types of computer with various configurations are available in the
market. So before purchasing a computer we must consider the purpose and objective of the
organization.

2. Cost of computer: Cost of the computer is a vital factor for selection of a computer. In the market
there are various brands having different configuration and different prices are available in the
market. So you have to choose such a computer so that it will fulfill the requirement of the firm within
the budget.

3. Availability of hardware and software: We have to choose such a computer so that its hardware and
required software should be available in the local market so that these hardware and software can be
purchased easily from the local market.

4. Possibility of upgrade: Before purchasing a computer we have to ensure that the computer should
have upgrade facility so that the organization can upgrade the computer when it required.

5. Software compatibility: We have to choose such a computer so that it can accept all type of operating
system as well as maximum type of software which are available in the local market.

6. Service and support: Before purchasing a computer we have to ensure that the manufacturer and the
vendor must have to provide the proper and quality service and support to the customer.

The manufacturer must have to provide free service during the warranty period and after the warranty
period the manufacturer should provide extended warranty for next two to three years.

7. User friendly: we have to choose such a computer so that it can be handle easily and the user should
not face any problem while using the computer at any time

Evaluation of Computer:

A computer can be evaluated in such a way so that it can full fill the requirements of the user as well as the
organization. The major criteria for evaluating a computer are as follows.

1. CPU: It stands for Central Processing Unit. It is a vital component of a computer. It plays a major role in
evaluation of computer. Before purchasing a computer we have to verify the configuration of a CPU
like Processing Speed, Frequency of the CPU, Types of CPU (P4, Dual Core, Core2 DUO, i3, i5, i7 etc.).

2. Mother Board: It is the most complex component of a computer. We have to choose latest Mother
Board which is designed using latest technologies. While choosing a mother board we have to consider
the CPU and RAM frequencies. During purchase of a Mother Board the following factors must be
considered.

 The Mother Board must support the CPU as well as RAM frequencies.
 The Mother Board should have on board graphics facility.
 The Mother Board should have separate memory for graphics.
 The Mother Board should have various types of I/O ports like PS/2, VGA, Communication,
Printer Port, NIC, USB, Audio ports etc. in the back panel.

3. RAM: It stands for Random Access Memory. It stores input data for CPU’s processing. It handles the
performance of the computer. It is very important component of a computer. Without having a RAM a
computer can be switched on but the computer cannot start functioning. Greater the RAM size faster
the performance of the computer. While choosing a RAM we have to go for a maximum capacity with
high frequency RAM stick so that the performance of the computer can be increased.

4. Hard Disk Drive: It is the main storage device of a computer. In the HDD Operating System, All the
Software and user data can be stored permanently. Other than the RAM it is also responsible for the
faster performance of the computer. Greater the speed of HDD faster the performance of Computer.
So for the huge storage of data and the faster performance of computer we have to choose a huge
storage capacity with high speed HDD.

5. Cost factor: It is always a main factor while evaluating a computer. During purchase a computer cost
factor must be consider. We will get value for money for a computer by comparing configuration and
price list of various vendors. In other words we will get best computer by making a comparative
statement.

Different types of industries and their computer requirements


There are mainly two types of industries using computers for their requirements. These industries are:

1. Large-scale Industries: A large scale industry possess huge amount of resources like Various Machines,
Tools, Raw Materials and Men Power. So to manage and maintain these resources they are taking the
help of computer with different software. Using computer large scale industries performing various tasks
like:
i. HR Management: This group is responsible for managing men power of an organization. This
department maintains staff details, provides various job assignments to employees, manages
salary etc. So to perform all these tasks they need a latest computer with higher configuration and
some database package to keep all records of employees.

ii. Finance Management: This department is responsible for day-to-day financial activities of the
organization. They are preparing balance sheet of the organization and also they are purchasing
various things for organization. So for their requirement they need a standard computer with
financial package and some word processing software like MS-Office.

iii. Production Management: This department is the backbone of any organization. Now days all the
production units are computerized. It is responsible for entire production line of the organization.
So this department needs a special type of computer and special type of software to run and
maintain the entire production unit. This type of computer is not available in the market. The
organization must have to place an order for this special type of computer. This type of computer
can be designed for a particular type of production unit.

iv. Stock & Inventory Task: This department maintaining all the detail stock of every item that are in
the organization. So to maintain all the stock they need a standard computer with a inventory
control software.

v. Raw material Management: This department is responsible for maintaining the day to day raw
material status of the organization. So for their requirement a standard computer and some
inventory software is enough.

vi. Research & Development: It is also known as R&D department. This is a very important
department for any type of large organization. The staff of this department always involving them
in research work to invent new products and new technologies for the organization. So for their
requirement the company must have to provide special type of computer and special type of
software which is a very huge investment.

2. Small Scale Industries: in small scale industries computers are used mainly for performing day to day
activities. Some of the primary areas where the computers are used as follows:

i. Managing payroll: In small scale industries there are limited numbers of employees. For
providing salary to these employees the industries must have to maintain a payroll system for
which the industry needs a standard computer with a accounting package like Tally.

ii. Managing inventory control: this is one of the major area where the small scale industry must
have to use a standard computer with a inventory control software to maintain raw material,
issue of various materials like spare parts, tools etc. and detail stock material.

iii. Finance department: in small scale industry the finance department place major role. This
department is responsible for day to day financial activities of the industry. So for their
requirement a standard computer with standard financial software may be provided.

Selection and evaluation of appropriate configuration for different levels of industries

Computer Configuration for Large Scale Industries: CPU- i5 or i7, MOTHER BOARD- Latest with on board
graphics facility and built-in I/O ports, RAM- 4gb or more, HDD-1TB or more, OPTICAL DRIVE- DVD R/W with
16x speed, Standard USB Key Board and optical Pointing device.

Computer Configuration for Small Scale Industries: CPU- CORE 2 DUO or i3, MOTHER BOARD- Latest with
built-in I/O ports, RAM- 2gb, HDD-500gbB or more, OPTICAL DRIVE- DVD R/W with 16x speed, Standard USB
Key Board and optical Pointing device.
