Assessment Task 1: Plan and prepare for


a meeting

Instructions for assessor


The candidate will demonstrate the skills and knowledge required to prepare for a meeting in
accordance with organisational requirements. The candidate will identify meeting
requirements, write and send meeting invitations, develop a meeting agenda, develop an
action plan for preparing for the meeting, and prepare and distribute meeting papers.
The work completed for this task provides the basis for Assessment Tasks 2 and 3, where the
candidate will conduct the meeting they are planning during this task, and then write a
reflection.
You will need to assist the candidate by providing simulated business information for the
Adept Owl Games Company; assigning learner roles for the simulated business so the
candidate can conduct their role-play; and providing the candidate with a meeting scenario.

Assigning roles
You will need to divide the key organisational roles among your learner group. Print out the
provided A3 Adept Owl organisational chart and allocate a learner to each role in the space
provided.
Display this chart in the learning environment so that all candidates have access. Once you
have provided candidates with a scenario, they will need this chart to identify who they need
to invite to their meeting.

Providing meeting scenarios
You will need to provide each candidate with a meeting scenario. Use the Adept Owl
simulated business information as a base. Some example scenarios are provided below:

Chairing a meeting to identify key job requirements for recruiting for a newly created
position: a specialised role to develop educational games for pre-school children.

Chairing a meeting to select a theme and design options for the Adept Owl mid-year
product catalogue.

Chairing a meeting to negotiate a new medium-term contract with the paper stock supplier.

Chairing a meeting to review the current Adept Owl privacy policy.

Planning the assessment


● Recommended date for assessment: After Session 2.

● Time required for assessment: 3–5 hours.

● The candidate must submit:

○ a completed Meeting Requirements Form (Appendix 1 of the


Assessment Task)
○ a completed Meeting Preparation Action Plan (Appendix 2 of the
Assessment Task)
○ a meeting invitation
○ a completed meeting agenda
○ a meeting minutes template
○ at least one meeting paper required for the meeting.

Adjusting assessment for distance learning

This assessment task can be adjusted for distance learners.


Recommended adjustments are provided below.
Preparation

Procedure
● No variation of the task is required.

● A follow-up interview may be required (at the discretion of the assessor).
