 SALES SAMPLES

Sales Samples are required for every article once per season from the order with the first ISW –
In shop week - (store or online) and used for pictures online. The samples are picked from bulk
WHAT?
production (at no extra cost) and must 100% match the final bulk production in every aspect
(labelling & packing).

Sales Samples are ordered through a unique order sheet in the purchase order package.
HOW? Sales Samples are confirmed with the purchase order confirmation.
Sales Samples are picked from bulk production and shipped by DHL.

Sales Samples are ordered at the same time as the purchase order.
WHEN? Sales Samples are picked from bulk production after the final inspection.
Sales Samples are sent by DHL H&M Group (H&M and all the brands) cost on the first TOD.

WHERE? Sales Samples are sent directly from the supplier to address found on Sales sample
order sheet and in ”Sending Sales Sample guideline” in Supplier Portal.

From season 4 Sales Sample Type can be China and/or Global

The Sales Sample order number is to be used in all communication around the Sales Samples.

100% of the Sales Sample orders must be shipped by DHL.

The destination is the photo studio in Stockholm for 100% of the Sales Sample orders.
The address is pre-set on the DHL account number.

Legal terms that all suppliers must commit to.

Deadline to send the Sales Sample is Monday of the first TOD week.
Pls note that it can be different TOD for China and Global Sales Samples

Picked Sales Samples must correspond with this specification.
Please note that China samples should be taken from China bulk with China Labels.

 ADDITIONAL SALES SAMPLE PACKING INSTRUCTIONS FOR ZALANDO
A. Samples to be sent from supplier with correct information. If Price Tag is not attached
to the Sample, then instead add an additional A4-paper per sample + sample hangtag
(picture 1) with below information needed.
- Monki, Weekday or ARKET o/n for Zalando 1
- Monki, Weekday or ARKET product no. and name
- Monki, Weekday or ARKET color
- Monki, Weekday or ARKET size

B. All samples should be packed in a box.

A delivery note (packing list) should be made (picture 2).
Two packing lists should be printed, place one inside the box and one outside the box.

 SUPPLIER WORKFLOW

— Confirm the Sales Sample order in the purchase order package.
— Secure the Sales Sample deadline according to the set deadline in
the Sales Sample order sheet.
— QC or NQC pick the Sales Samples from the bulk production after
approved final inspection.
— Send Sales Samples on the first TOD, with DHL according to info in
Sales sample order sheet directly to address in Sales sample order
sheet.
Inform about the Sales Sample sent date and AWB number on
the same day as the shipment.
• Suppliers that have access to iOFU can update this directly in
the order details page.
• Suppliers that don’t have access need to give this information
to Production office QC and merchandiser instead.

▪ Account number for DHL is stated in the Sales Sample order sheet.

▪ Address where to send sales samples is stated in the Sales Sample

order sheet and pre-set on the account number for the courier, for
brands having more than one address for different receivers see
”Sending sales sample guideline” in Supplier Portal.

Sales Sample orders with the same order deadline and with the
same receiving address can be combined in one shipment.

 DELAY REASONS - SOLUTIONS

Failed final inspection Notify Production Office and follow same procedures as for the purchase order
and order follow up and send sales samples according to Sales Sample Order in the order sheet.

Partial Sales Sample delivery Send available Sales Samples and complete with the missing Sales Samples as soon as possible.
