HOSPITAL MANAGEMENT SYSTEM

1.0 INTRODUCTION
Our project deals with hospital management system. This system is intended to be
applied on Durame General Hospital. As discovered by our group the hospital runs almost all its
activities manually. This called for computerized system which will help to perform the
hospital’s various activities more accurately.

1.1. BACKGROUND
A Hospital is a place where patients come up for general diseases. Durame hospital was
organized in 1998 and until now it offers different services for the community it is situated in
DURAME TOWN. On average, around 200 patients per day tend to visit the hospital. With a
diverse range of services offered. Health care in Durame as in many other towns is
confronted with growing demand for medical treatment and services : Durame general hospitals
provide facilities like: Consultation by Doctors on Diseases, Diagnosis for diseases, Providing
treatment facility, Facility for admitting Patients (providing beds, nursing, medicines etc,
Immunization for Patients/Children.

Various operational works that are done in this Hospital are:-

 Recording information about the Patients that come.


 Generating bills.
 Recording information related to diagnosis given to Patients.
 Keeping record of the Immunization provided to children/patients.
 Keeping information about various diseases and medicines available to cure them.

1.2. STATEMENT OF PROBLEM


Problems with conventional system are: The information is very difficult to retrieve and to find
particular information like: - To find out about the patient’s history, the user has to go through
various registers. This results in inconvenience and wastage of time. Lack of immediate
information storage: The information generated by various transactions takes time and efforts to
be stored at right place. Lack of prompt updating: Various changes to information like patient
details or immunization details of child are difficult to make as paper work is involved. Error

prone manual calculation: Manual calculations are error prone and take a lot of time this may
result in incorrect information. For example: - calculation of patient’s bill based on various
treatments. Preparation of accurate and prompt reports: This becomes a difficult task as
information is difficult to collect from various registers.

1.3 OBJECTIVES
1.3.1. GENERAL OBJECTIVES
The general objective of our project is for medical practitioner/physician to keep track of all
patient’s medical record/information such as diagnosis, drug prescribed, admission and
discharged, etc . It makes the process time and cost effective and efficient. Time minimizing,
Cost (resource) minimizing

1.3.2. SPECIFIC OBJECTIVES


The specific objective of our project is:-
 To enable patient to use their time properly while they are visiting to a doctor.
 To provide an interface through which patients can see their results online.
 To enable Doctors save their time while preparing patients information.
 To increase security of the patient detail through authentication.

1.4. MOTIVATION:

Our initiation to study this project is:-

 To make the society understanding the effect of information system quality on service
quality, job satisfaction, system performance AND To establish indices for information
system will help hospital management to make further decisions.

1.5. SCOPE AND LIMITATION

1.5.1. THE SCOPES


The range of our project is: - It can be used in any Hospital, Clinic or Dispensary for maintaining
patient details and their test results. The system handles all the operations, and generates reports
as soon as the patient seen is finished, that includes name, diseases, time spent to recover. It can

be used to solve many problems occurred in the hospital on visiting patients. It can enable
Doctors to easily prepare patient details and see the result of patient.

1.5.2. LIMITATION

When this study was conducted the problem such as: budget or financial and time constraints
such as:- taxi payment when we were going to collect information about the hospital were faced
and the unwillingness of society and hospital employees to give brief information about this
hospital was the difficulties for us.

1.6 BENEFITS AND BENEFISIERY OF SYSTEM

1.6.1. BENEFIT
The benefit of the developing system is: -Accuracy: The level of accuracy in the proposed
system will be higher. Increase Reliability:- The reason for the increased reliability of the system
is that now there would be proper storage of information. No Redundancy: In the proposed
system utmost care would be that no information is repeated anywhere, in storage or otherwise.
It used for immediate retrieval of information and immediate storage of the information.

1.6.2. BENEFICIARIES
The beneficiaries of the system are patients and doctors, Patient have any problems, so they can
send their problem to the doctor through internet from their home then doctor will send reply to
them and the doctor can ask opinion of a doctor in another hospital. so patients and Doctors can
exchange information easily.

1.7. METHODS AND METHODOLOGY


We use different methodologies for gathering information from the hospital. This are as follow:-
Interview: - We used open interview for gathering various information from the hospital, having
interview with few managers and workers in the hospital, as well as patients, AND making
questionnaires and observing in the around the problems in the hospital. Also we collected raw
data or documents which are useful for the project. We also, referred related books, searched
from an internet that is related to our project. Also we have referred other senior projects. For
example: - Minase define medical, health record, or medical documentation of a patient’s
medical history and care as “medical record” used both as the physical folder of patients
and for the body of information which comprises the total of each patient’s health history.

He explain to us the way of information stored in hard copy and soft copy in the folder such as;-
in PowerPoint, word and excel.

1.8 DEVELOPMENT ENVIRONMENT AND PROGRAMING TOOLS


1.8.1. FOR DEVELOPMENT, HARDWARE USED IS:-
We various hardware requirements, such as: -

 One server computer with :-


 500MB of RAM,
 2.97GHZ of Intel Pentium processor speed
 about 50GB hard disk size
 Network Interface Card for each computer on the network
 8-ports switch(s).
 Two or more client computers: -
 Operating System: Windows 10.
 RAM: 256 Mb or more
 Output device:
 Monitor –with highest resolution
 printer
 External storage devise:
 Flash disc 1-16 GB
 Compactable CD-ROM 700 MB
 External hard disc 300 GB

1.8.2. FOR DEVELOPMENT, SOFTWARE’S USED ARE:


We will use the following programming tools:

 UNIX OS:-This OS is installed on the server computer, by which can manage client
computers on the network.
 Windows 10 ultimate or later versions OS: - this operating system is installed on the
client computers enable to join the domain of the network.
 My SQL: - on which the records and all other data stored on.

 Driver software is also needed for the server and client.
 UML 2.0 designer (Visio):-to design and UML modeling the system
 Notepad ++ to edit PHP codes.

o PHP to develop user interface prototypes (front end).


o My SQL to make the back end (database part)
o Microsoft Office Visio 2003 for UML Diagram
o Microsoft office 2010 for documentation.
1.9. FEASIBILITY STUDY

 During feasibility analysis for this project, we following primary areas of interest are to
be considered. Investigation and generating ideas about a new system does this.

1.9.1. TECHNICAL FEASIBILITY


 We used different equipment and software that will successfully satisfy the user
requirement.
 Processor: Pentium III or 2.0 GHz or higher.
 RAM: 256 Mb or more
 My SQL: - on which the records and all other data stored on.
 Driver software is also needed for the server and client.
 UML 2.0 designer (Visio):-to design and UML modeling the system
 Notepad ++ to edit PHP codes

1.9.3. OPERATIONAL FEASIBILITY


The points to be considered are after doing this project :

 The system will be brought with more accurate, reliable and easy to use by the users.
The user needs computer skills to satisfy their requirement. Also the existing staff
members must have these skills. If not, they can be trained in due course of time.

1.9.5. BEHAVIORAL FEASIBILITY

 The behavioral feasibility of our project is as much about “can they use it” and “they use
it”. The existing system and the new system will work simultaneously for a period of
time. That is both system will process as the same data as the same time and the output
are compared. Since the system is comfortable and easy to use by the customer they will
used.

1.9.7. LEGAL FEASIBILITY


This project is makes public involvement and acceptance even more critical to success. However
the process is physically intact in many places, this process might be easier and simpler to use.
When we gather information we used a legal way to interview and questioning peoples
peacefully and legally.

2.0. EXISTING SYSTEM DESCRIPTION


The procedure involved in the current system is that, when a patient visit the hospital for
medication, the patient will first of all buy the identification card which contains name, and
other relevant information needed, and card identification number. The patient will
then waits for the card to be processed together with a file jacket that holds the card that has
column for diagnosis made by physician, drugs prescribed, and date at the waiting room for
the arrival of the card. When the file arrived, the patient joints the queue to see a doctor. In this
current system, file cabinets are used for keeping individual patient card enclosed in a file.
This system is so tedious in tracing a record files slow in processing of records.
