COVID-19 has required us to be flexible in how and where we work.


As an innovation-based company, we believe in the power of direct
interactions and understand that great collaboration leads to a
better customer experience.

Return to Workplace - February 1, 2021

So, starting February 1, 2021 we are implementing Phase 1 of RTW


and will welcome some of our colleagues to office. The aim is to
return to the workplace in a controlled and safe way, ensuring the
health & safety of all, while approaching this in a phased manner.
Recently, the risk level for India market has changed from High
to Medium risk. This encourages each one of us to play a role in
ensuring a safe and collaborative workspace.

RTW is not mandatory and the employee has to first discuss with
the manager. After carefully assessing personal situation / conditions
and the collaboration needs of the team, one can decide to return
to workplace.

Philips Innovation Campus Bengaluru (PIC-B) welcomes you back


to a safe and healthy workplace. PIC-B workspaces (M0, M1, M2)
are being constantly cleaned and sanitized as per updated safety
norms. We have adapted our premises to enable safe collaboration,
creativity and innovation.

safety facilities
Available workspaces, which are operational

• Weekly fumigation of all floors and daily fumigation of parking area


are being conducted on a regular basis
• Inter office shuttle service is available as usual
• Tuck shops (Tea / coffee / snacks) are available at M0 & M2
• Emergency cab services and night adhoc cab request will
be available
• Medical staff support is available only at M0. Please call 41890000
• Ambulances are available on standby at all times
• Isolation Room at PIC-M0 in MR block is set-up for emergencies
• Clinics at M1 (Aster) and M3 (Columbia Asia) are open for any
personal medical services
• Manyata BMTC services will not be operational

General guidelines

• Thermal screening will be conducted across all PIC offices M0, M1, M2
by building management and Philips security
• Installing ArogyaSetu App is mandatory
• Wearing of masks is mandatory all times at the workplace
• Always maintain social distance (1.5 m) in the workplace
• Parking space is available in all the 3 buildings. Park your vehicle ONLY
in designated areas (incl. 2 wheelers) – Building security will assist
• Enter PIC-M0 ONLY from main reception. If you park in the M0
basement, please use the stairs to reach the reception. Employees of
M1 will need to enter from main reception & M2 can access through car
parking / reception
• Sanitize your hands at automatic hand sanitization stations
• Philips Self-Declaration Web App has to be updated every day prior to
entering office & shown to security personnel
• M3 (E1 tower), Embassy bus service, external parking, newspaper and
magazines, library, gym and all other recreational facilities shall remain
closed until further notice
• Visitors / vendors entry is restricted. Kindly seek prior approval by
informing respective team’s EAs one day before the visit. This process is
effective from January 11, 2021 (Interviews will happen virtually)
• Smoking zone is closed in M1 only
• E-commerce & online food delivery – ONLY at the respective building
security gate

Before you leave home

DOs
• Carry office ID card
• As much as possible, use your own vehicle to commute
• Wearing a good quality face mask is recommended at all times
• It is mandatory to wear a mask when in an area other than your
work desk
• Please register in the Philips Self-Declaration Web App. You will
receive a mail with password and login details. Kindly use the
details to login to the app
• Carry your own water bottles and coffee mugs

DONTs
• Avoid public transportation whenever possible. Even if you have
to, ensure social distancing (1.5 m) while traveling and proper
sanitization while you enter office
• As per Government guidelines, women who are pregnant,
individuals who have cardiovascular, pulmonary, respiratory
ailments are mandated to stay at home

When you are in office

DOs
• Co-operate with all the guidelines
• Wear masks at all times
• Sanitize hands at regular intervals
• Maintain social distancing (1.5 m) at all times
• Have food at designated areas only
• Use only those seats that are marked as: Assigned Desk
• Co-operate with security during the random temperature check
• Use touchless water dispensers, safe and automated toilet seat
cover & auto flush system and sensor taps while using wash rooms
• Follow floor markings and signages for directions while you
are in office

DONTs
• Avoid visiting places that are not absolutely necessary to visit
• Do not consume any eatables at work desks
• Avoid using shared mugs / tumblers etc
• Do not pull additional chairs into meeting rooms
• Do not sit in places marked as ‘X’
• Do not use seats that are not demarcated to be used

While using elevators

DOs
• Do not overcrowd elevators, follow the elevator instructions
• Maintain social distancing (1.5 m) while using elevator cabins
• Stand only in designated areas within elevator cabins
• Use stairs as much as possible while in office maintaining
social distancing (1.5 m) norms

DONTs
• Crowding in elevator cabins is not allowed
(Only 4 people are allowed at a time in one elevator cabin)
• Do not use elevators for shorter distances between floors
• Do not use elevators from basement. It is for restricted use

While using cafeteria

DOs
• Limited cafeteria services (lunch only) are available at M0 & M2
buildings only
• Use cafeteria in batches
• Please finish your lunch and move quickly so that others can use
the cafeteria
• Please get your own water bottles
• Maintain social distancing (1.5 m) in handwash areas
• Follow floor markings to ensure social distancing (1.5 m)

DONTs
• Do not spend too much time in cafeteria as we have limited
seating capacity
• Avoid using cafeteria for social gathering and meetings

Sanitization &
hygiene protocols

DOs
• Use foot handles to open / close doors while using washrooms
• Use hand sanitizers at automatic hand sanitizing stations, if you
touch any other surface
• Use disposable wet-wipes to sanitize your keyboard, mouse etc.
• Discard wet-wipes only in dustbins

DONTs
• Do not touch / use door knobs
• Do not shake hands with colleagues
• Do not touch different surfaces without sanitizing your hands

Team meeting guidelines:
The hybrid model
From February 1, 2021, some of our colleagues will be working from
office while the rest will continue to work from home (WFH). To
ensure smooth and productive meetings, here are some guidelines.

Prior to the meeting


• Kindly schedule the meeting, considering the travel times and
schedules of team members commuting / in office and WFH
• Inform the team if you are in office or WFH. Update your status on
MS teams
• At the start of the meeting, the organizer can share the agenda
and mention that this is a hybrid meeting with team members
working from office and home
• The organizer of the meeting can also mention in the meeting
invite that this a hybrid meeting
• Share goals and agenda of the meeting prior, for the team to be
prepared
• As a best practice, please limit your meetings to 25 minutes or
45 minutes. Start and end on time
• If the meeting is in office, ensure you use a bigger room / open
space to maintain social distance (1.5 m) and wear mask at all
times
• Avoid meetings during lunch time

office) can put forth their points
• Kindly use the ‘raise your hand’ feature for smooth discussions
• There will be a delay given the bandwidth, hence pause for a few
seconds and then speak to avoid overlapping of conversations
• Use chat window also to share views
