CMC Maritime Academy Chennai - Instructions to candidates for All Courses (V-4; As on 24-Mar-2021)

Dear Candidate,

We welcome you to CMC Maritime Academy Chennai, and thank you for choosing us as your preferred
training-partner. We hope to serve you in the best possible manner and improve the quality of training,
while adding value to your experience and knowledge.

1. For Candidates with Practical Courses (MFA, AFF, FPFF, HV-M, HV-O etc, or the Refreshers for these
courses): PLEASE READ AND FOLLOW ALL INSTRUCTIONS CAREFULLY!

2. For Candidates with Non-Practical Courses (PSSR, PSCRB, TASCO, CHEMCO, GTFC, OCTFC etc): Please
ignore STEP-3 section marked as “Instructions for Practical Classes”

STEP-1: GENERAL INSTRUCTIONS TO ALL CANDIDATES:

1. Applications to enroll for course may be filled up online and the following documents attached: INDOS,
PP, CDC, COC, PREVIOUS COURSE CERTIFICATE (for Refresher Courses Only), PHOTO.
2. If unable to attach the documents, same may be emailed to: infochn@cmcacademy.ac.in
3. Fees may then be paid online. Candidates who have not paid the fees are not eligible to attend the
online classes, as this will deprive other seafarers who need to do the same course.

PROCEDURES AND INSTRUCTIONS FOR ONLINE CLASSES:

1. Please ensure your photo & signature is updated in the DG profile as per DGS requirement.
2. Please ensure your name is correctly updated in the DG profile, as the same will be reflecting in your
certificate.
3. To start a course as per DG approval, first you need to register, study and complete the e-learning
assessment module which is available in the DG website.
4. Have a proper laptop or desktop computer. Mobile phones may be used but some make/models of
mobiles and Tablets (Tabs) are NOT SUPPORTED by the Internet Server of the Training Module Service
Provider!
5. Please have proper net or wifi-connection as stand by. Make sure the data pack is full, and has a top-
up data pack purchased and ready in case the daily quota is exhausted.
6. Keep yourself isolated from back ground noise / other noises during the classes.
7. Please ensure that you are decently dressed. All classes are recorded and all recording are accessible
by DG, now, as well as in future. Therefore, full-attendance is also a critical factor for all
classes/sessions.
8. If you want to take a phone call or want to talk, please ensure you are in mute. Please keep calls short,
so that you do not miss the information being given in the sessions.
9. Proper power supply or back up or battery charged full. You may need to remain online for 8 hrs a day.
10. Please join the session 3~4 minutes before the scheduled starting of the class and check that your
connection is proper. Improper connections may cause automatic logout / drop-out during the
sessions.
11. Check your audio & video are in proper condition.
12. Once the recording of the class is commenced by the instructor, please ensure your video is running
with your webcam switched on. In case of video-drop by your webcam due to poor connectivity,
please re-start this at the earliest.
13. Your attendance starts automatically when you login to the class. Attendance will stop the time you
logout. Both the times are recorded automatically by the system. You need to only login/logout.

14. Attendance and video recordings are CRITICAL for DG exit exams. (Attendance-videos may also be
checked by DG a long time after the issue of any certificate, and if any intentional-irregularities are
found in the same, DG may take action against the candidate or their course-certificate.
15. CMC Maritime Academy will not take any responsibility, nor will it bear any liability for the
candidate if it is found that the attendance was skipped/found inadequate due to non-technical
issues.
16. Faculty engaged in teaching may call forth individual candidates to answer queries, ask doubts or
follow particular instructions. The selected person may un-mute their microphone and interact with
faculty or type out their message in the chat-space, as required.
17. Chat box is used frequently for question and answer between faculty and students.
18. After class hours for any queries with respect to exit exam, please use your whatsapp group. Faculties
and Admin are also part of these groups.
19. With respect to exit exam, procedure and guidelines are given in STEP-4 of this manual.
20. For any additional guidance call / send whatsapp to us. We will guide you.

STEP-2: PROCEDURES TO LOGIN AND JOIN THE CLASS

1. In order to login for the online class, each candidate will be provided with a login ID which will be same
as their email address given to CMC.

Please NOTE: The login ID is used only for login to the session.

2. The login IDs will be stored into the class by late-evening hours one day prior to the start of the course.
(Example, if your course begins tomorrow AM at 0800 hrs, then the login ID will be stored today, by
evening 2100 hrs). This is done to accommodate fellow seafarers such as your good selves, who may be
late in joining the required course/batch. You will receive an invitation on your email ID, after this
procedure is completed by CMC Admin.

3. Use the following link for getting onto the training provider’s website:

(If an updated/changed/different password has been sent by CMC Admin team on whatsapp, please use
that password instead of this one.)

4. Once you login, you will see the option for your course-name as follows (example: PSCRB 20-Mar-2021):

CLICK ON “CHANNELS” BUTTON.

5. After clicking “Channels” Button, you will go to the class of your course. Please click on “Start session
through zoom app” button, as shown below:

If you don’t see above sessions on your screen, please press F5 (refresh the page). If, before or during class
there are technical issues at the server and nobody is able to join, same will be informed on the group.

Join the session via Zoom, once the faculty has commenced the session. Switch on your webcam but please
keep your mike muted. You may un-mute to interact with the faculty. Do not switch off your Webcam!

Webcam recordings and Student attendance is mandatory as per DG instructions, and CMC may require to
submit these at any given time.

PLEASE MAKE SURE YOU ATTEND (AND ARE VIEWED WITHIN) ALL THE CLASSES FOR THE ENTIRE COURSE.
CMC WILL NOT BE LIABLE FOR ANY DISCIPLINARY ACTION TAKEN BY DG AT LATER DATE, FOR ANY
CANDIDATE MISSING THE CLASSES (especially where no technical-issues were faced during the sessions).

A. During the class, if you face any Audio/Video Issues, please logout and login again. Rejoin the session. If
your audio/video drops, please rejoin video as soon as signal is better. If you cannot hear the instructor
due to poor connectivity, please watch the slides and follow the videos.

STEP-3: INSTRUCTIONS FOR PRACTICAL CLASSES (Candidates whose courses do not involve any practicals
may skip this section).

1. Practical sessions will be scheduled for a date that lies after the theory sessions. Candidates will need to
travel to Chennai and report to CMC Maritime Academy premises on the scheduled date, in order to carry
out practicals. (Practicals cannot be done online).

2. Exit Exams for such courses can be attended only after all theory and practical classes/sessions have
been completed satisfactorily by the candidate.

3. Candidates who have not attended theory sessions in part or in full, shall be ineligible to attend practical
sessions till such time as those online sessions that were missed in their original batch are attended in next
available batch.

4. Due to the ongoing COVID-19 Pandemic, and the associated regulations by Govt of India, the entire
batch of candidates cannot be taken together for practicals. Hence, each batch will be split into smaller
groups and allotted different time-slots for practicals to be carried out by their particular group. The
specific details of each group of each batch, the timings for practicals, the schedule for practicals, the
reporting time at CMC, the address etc will be shared on whatsapp by the CMC Admin team.

EXAMPLE:

5. Candidates are not required to bring any documents with them for practicals. (Candidates ID Verification
and Attendance is marked using the face-detection, contact-less-procedure in the academy itself). Please
bring your own face-masks and small sanitizer bottles for Covid-protection.

6. Candidates are instructed to bring their own boiler-suit and safety shoes. CMC may provide boiler-suits
and safety shoes if candidates do not have their own. HOWEVER:
A) Size accuracy is not guaranteed
B) There is a small fees of Rs. 100/- (INR One Hundred Only) for this facility, due to the associated costs of
cleaning and sanitizing after use, so as to be made safe for future use without any health-risks to others.

STEP-4 (ALL CANDIDATES): Instructions for EXIT EXAMS

Candidates without satisfactory attendance (online theory classes, and practical sessions where applicable)
will not be eligible for attempting the Exit Exam.

Candidates may attend exit exam between 1000 hrs to 1700 hrs on any weekday (unless it is a National
holiday). The portal will be open in this timing only. Exit Exams should be completed as soon as practicable
after completion of the course.

PROCEDURE:

Please note that for Exit Exam:

i. You need to have proper lighting while attending exams.

ii. Your face recognition to be clear.

iii. You will allowed to make only 3 attempts.

iv. CMC maritime Academy Chennai will pay for the First attempt only.

v. If you fail, you have to pay for the remaining two attempts.

vi. Payment will be Rs. 295/- (INR Two Hundred and Ninety Five Only) per attempt.

vii. If you fail in all three attempts you have to redo the full course.

viii. It is advised to take mock test available at exit exam portal initially to sort out any basic issues you
may face.

ix. Please prepare yourself well before attending Exit Exam.

x. Please ensure no one moves behind you. (Family Members). System Software will fail you stating
violation of exam instructions.

xi. Do not minimize the window. System Software will fail you stating violation of exam instructions.

xii. Do not remove yourself from the Camera and do not move too much while giving the exam. System
software might fail you stating violation of exam instructions.

Xiii. The camera capture your body movements also. Please ensure you take up the exams accordingly.

Xiv. Using headset is not allowed. System Software will fail you stating violation of exam instructions.

Xv. You have one minute to answer each question. It is sufficient amount of time. Each question has four
options in the answer; choose the nearest correct answer. Questions may seem confusing, so please think
carefully before answering. Out of total 30 questions, you need at least 15 correct to pass the exam. Doing
multiple Mock test before actual exam will help you a lot.

STEP-5 for all candidates): COURSE-CERTIFICATES

1. As soon as the Exit Exam is successfully passed, the candidates need to take a screenshot/photograph of
the same and send it to CMC on their respective Course whatsapp group.

2. Where a candidate has not yet completed the e-learning module, the course-certificate cannot be
generated even if they have passed the exit exam. PLEASE ENSURE YOU HAVE COMPLETED BOTH.

3. After informing CMC about your successful completion of E-learning + Exit Exam, your course-certificate
will be generated within two working days. Same can be downloaded from the DG Site.

4. While CMC Maritime Academy Chennai makes all efforts to inform the candidate directly about the
successful generation of their course certificate, it may happen that some candidates’ certificates may not
be uploaded / generated due to various reasons. Candidates are requested to keep checking the DG site
directly (for two working days after their exit exam) at regular intervals to see if their certificate is available
for access by them.

5. In rare cases where the certificate may not have been generated even after two working days of clearing
the Exit Exam, please inform CMC Admin team regarding the same.

We at CMC strive to improve our services with every batch that passes through the academy. We request
all candidates to fill in the faculty feedback forms that the Admin Team will forward on whatsapp at the
end of every course.

Please ensure that the same is filled and submitted online, before proceeding for your Exit Exam. This
feedback form is a mandatory requirement for all.

IN CONCLUSION, we hope to have provided you with the best quality education that our profession so
